RefWorks is the reference management software tool supported by LLR. It is designed to help you gather, manage, store and share your references. RefWorks integrates with Microsoft Word, allowing you to insert formatted references into your work and automatically compile your bibliography. The software is web-based and can be used both on and off campus. You will need your Athens username and password to log in. RefWorks provide a number of tutorials to help you get started using the software on their website – select the help option to access them. Setting up a RefWorks account

1. Log on to RefWorks using your Athens username and password. 2. The first time you log in you will be asked to provide a few basic details

to complete your registration. Click on Register when done, to complete your account details.

Adding references

There are several ways to add references to your RefWorks account.

Some databases can be searched from within RefWorks e.g. the Library Catalogue

1. Click on Search - Online Catalog or Database 2. Select Nottingham Trent University (Library Catalogue) from the drop-down menu.3. Enter your search terms in the quick search area and click on search.4. Your results will appear in a new window.5. Import selected records or all on ‘Page’.6. Close the search results page and return to RefWorks. The records will be in your ‘last imported’ folder.

Importing references directly from databases (in their native interface)

Using an Import Filter: Land, Life and Leisure

1. In a separate browser window open Land, Life and Leisure and carry out a simple search.

2. From your search results, select items to save by clicking in the checkbox to the right of the appropriate citations.

3. Select Marked Records from the options at the top of the screen. Then choose to Save or Print; the records will now be reformatted for importing.

4. You have two options. First (and easiest) option: copy and paste the text into RefWorks. Select everything on the page and open RefWorks.

5. In RefWorks, select References - Import from the toolbar.6. Select Edina as the data source and Land, Life and Leisure as the

database.7. Paste the marked records into the Import data from the following

text box. 8. Click Import. Your records should appear in the Last Imported

Folder.

9. Second option: save the marked records by clicking on Save, then File and Save As.

10. In RefWorks, select References - Import from the toolbar.11. Select Edina as the data source and Land, Life and Leisure as the

database.12.Use the Browse facility to find your saved text file and click on Import.13.Your imported records should now appear in the Last Imported Folder.

Using an Import Filter: Web of Knowledge/Science

1. In a separate browser window, log in to eSearch and open the Web of Knowledge database.

2. Carry out a search and mark relevant records by checking the box beneath the record and then click submit marks. (Please note – you must do this for each page of results as you go along. Any marked records on a current page will be lost when you move to a different page)

3. View marked lists and then click on view marked records.4. Click on Save to file and save as a text document when prompted. 5. In RefWorks, select References - Import from the toolbar.6. Select ISI (Institute for Scientific Information) as the data

source and Web of Knowledge as the database.7. Use the Browse facility to find your saved text file and click on

Import.8. Your imported records should now appear in the Last Imported

Folder.

9. If you are just searching one ISI product eg Web of Science (not cross-searching) then you don’t have to view marked records – the save options will appear on the screen. When importing, make sure you choose the correct data source.

10.Or cut and paste results as you did for Land, Life and Leisure.

Direct Export: Science Direct

1. Perform a search in Science Direct.2. Select several records to import by checking the box to the left of

the records you wish to add.

3. Click on the export citations link above your results.4. Choose either the citation only or citation and abstract, but make

sure RefWorks Direct Export is selected.

5. Select Export. If you already have RefWorks open it will automatically export your results, if not, you’ll be prompted to enter your Athens password.

6. Your records should be imported into your Last Imported Folder in RefWorks.

Importing records from an eSearch Metasearch

Perform your metasearch and click on the article’s title to see the full record. Click on the Save button.

Check it is set to RefWorks and click save to export the record.

Importing records from

Click on this symbol to find out if we have electronic or print access. Click on Advanced and then RefWorks to export your record. But – you will get a fuller record if you export from a proper database or Metasearch results.

Importing records from Google Scholar

1. In a separate browser window (keeping RefWorks open in a different window), go to Google Scholar.

2. Make sure that cookies are enabled to allow setting of preferences in Google Scholar, then select Scholar Preferences from the Google Scholar screen.

3. Scroll down to the “Show links to import citations into” option and select RefWorks. Remember to Save Preferences.

4. Go back to the search screen and run your search. Search results will now include an “Import into RefWorks” option.

5. For each relevant record, click on the “Import to RefWorks” option – please note that records can only be imported one at a time as Google Scholar does not offer a marking facility

6. The record will be imported into RefWorks in an editable format and you can make any amendments as required before saving it (see below). It does not give as full a record as importing from a database like Science Direct.

Adding a new reference manually

1. To add a new reference manually, go to RefWorks, select References from the toolbar, and then Add New Reference.

2. Select your preferred bibliographic output style (eg. NTU Harvard) by selecting from the drop down menu in the View Fields used by option.

3. Select the appropriate reference type (eg. book, journal article, conference proceeding) and fill in the required information. Fields marked with a green tick are required fields for your chosen output style.

4. Use the pop-up boxes in the Author, Periodical Title and Descriptor fields, to select from other entries already in your reference database.

5. Click on Save Reference or Save & Add New if you want to import more references.

Creating folders

1. Select Folders from the toolbar and then select Create New Folder.2. Give the folder a name and then click OK. Note that there are no

limits to the number of folders you can create.

1. From the View menu, select All References, to see a complete list. 2. Select the appropriate references and then click on Put in Folder, and

choose the correct folder.

1. Click on the Search menu on the toolbar and select the most appropriate search option.

2. From the list of references, select the ones you wish to move to a folder, click on Put in Folder and add. References can be assigned to more than one folder.

Viewing your references

1. Click on View then all references to see all the records you have added to RefWorks.

Creating references for your essays and bibliography: the easy way!

This is the simplest way to create references in the Harvard style for your essays and bibliography.

1. Click on Bibliography2. Make sure the output style is set to Harvard LLR. 3. Select “format a bibliography from a list of references” and select

“word for windows” in file type to create.4. In references to include, select all references or choose a specific

folder.5. Click on create bibliography.

6. You should now have a word document showing your references in the Harvard style. (You may need to follow the instructions on screen to download the document if this does not happen automatically). References can be cut and pasted into your essay.

Creating references for your essays and bibliography: Write-n-Cite

The Write-n-Cite facility allows you to cite references directly from your RefWorks database and create a bibliography within Microsoft Word.

On campus? Write-n-Cite is installed on all networked student computers. It will appear in the top right-hand corner when you open Word.

Off campus? Download the Write-n-Cite plug in from the RefWorks website, by clicking on Tools, Write-n-Cite and following the onscreen installation instructions. It will appear as an icon on your desktop.

Using Write-n-Cite to insert a reference in your text

1. Log in to RefWorks2. Open a document in Microsoft Word. 3. Click on the Write-n-Cite icon and then click on “Athens Users” and

enter your details when prompted.4. Place the cursor where you wish to insert your reference, go to the

Write-n-Cite list and click Cite next to the appropriate reference. The citation has now been inserted into your Word document. It looks strange at this stage e.g. {{82 Blanchard,Chris M. 2002; }} – all will be come clear by step 11!

5. Continue typing and inserting citations as required.6. When finished, save your document.7. Go to RefWorks and click on Bibliography.8. Select appropriate output style – Harvard NTU should appear as the

default, if not, follow steps below.9. Click on output style drop-down menu and choose “access output style manager”. Select the one you want and “add to favourites”. It is now your default option.10. Still in Bibliography, select “Format paper and bibliography”. Browse

for the document you want to format and click “Create Bibliography”.

A new window will open containing the reformatted version of your document, complete with full references. This second document will have the same name as your original document, but will have the word Final before it.

11. If you are happy with the document, save it again (changing the name if you like). If you need to make any amendments, go back to your original document and make the amendments there, before saving your document and formatting the paper again.
