HOW TO WRITE FORMAL LETTERS IN ENGLISH

Addresses:

1) Your Address The return address should be written in the top right-hand corner of the letter.

2) The Address of the person you are writing to the inside address should be written on the left, starting

below your address.

3) Date: Different people put the date on different sides of the page. You can write this on the right or the

left on the line after the address you are writing to. Write the month as a word. (Friday, March 18, 2016)

SALUTATION OR GREETING

1) Dear Sir or Madam, If you do not know the name of the person you are writing to, use this. It is always

advisable to try to find out a name.

2) Dear Mr Fayaz, If you know the name, use the title (Mr, Mrs, Miss or Ms, Dr, etc.) and the surname only. If

you are writing to a woman and do not know if she uses Mrs or Miss, you can use Ms, which is for married

and single women.

Ending a letter:

1) Yours faithfully If you do not know the name of the person, end the letter this way.

2) Yours sincerely If you know the name of the person, end the letter this way.

3) Your signature Sign your name, then print it underneath the signature. If you think the person you are

writing to might not know whether you are male or female, put you title in brackets after your name.

CONTENT OF A FORMAL LETTER

First paragraph

The first paragraph should be short and state the purpose of the letter- to make an enquiry, complain,

request something, etc. The paragraph or paragraphs in the middle of the letter should contain the relevant

information behind the writing of the letter. Most letters in English are not very long, so keep the information

to the essentials and concentrate on organizing it in a clear and logical manner rather than expanding too

much.

Last Paragraph The last paragraph of a formal letter should state what action you expect the recipient to

take- to refund, send you information, etc.

Abbreviations Used in Letter Writing The following abbreviations are widely used in letters:

• asap = as soon as possible

• cc = carbon copy (when you send a copy of a letter to more than one person, you use this abbreviation

to let them know)

• enc. = enclosure (when you include other papers with your letter)

• pp = per procurationem (A Latin phrase meaning that you are signing the letter on somebody else's

behalf; if they are not there to sign it themselves, etc)

• ps = postscript (when you want to add something after you've finished and signed it)

• pto (informal) = please turn over (to make sure that the other person knows the letter continues on the

other side of the page)

• RSVP = please reply

Handwriting TIPS

1 - Practice

Handwriting, like any skill, won’t get better without practice. We’re all great at typing, right?

It’s because we’re using it ALL the TIME. Why does our handwriting atrophy, you ask? Simply

because we are not practicing. It’s not being used in the everyday, so if you want to improve

your handwriting chops you’re going to have to carve out purposeful practice.

Spend at least 15 minutes a day writing out the alphabet, or writing your “to do lists”.

2 - Use the Right Tools

Handwriting isn’t as tool-intensive as calligraphy, but if you have crappy pens, you’ll have

crappy results. Use skinny pen, but the ink flows smoothly from the pen allowing for a light grip

and a light touch.

Sometimes you can’t control the kind of paper that you use, use good quality paper.

3 -Slow Down

This is something that I tell my calligraphy students constantly. You can’t expect consistent

results when you’re going too fast. The key is to go slow enough that you can anticipate the

next move before it happens and so you can create consistent movements.

“Slow is smooth and smooth is fast.” You’re less likely to mess up style or spelling if you’re

taking the time to think about each movement. Therefore you’re going to be faster than if

you rushed, messed up and had to start over.

4 -Proper Positioning

Hold the pen nicely between your thumb and index finger and rest the pen lightly on the

spot between the knuckle and tip of your middle finger. This light grasp will keep your hand

from cramping and fatiguing which leads to a deterioration in handwriting.

5 - Consistency

Practice doesn’t make perfect. Practice makes permanent. You want to practice with guide

sheets to maintain consistency. If you can hone in on your consistency, your handwriting will

get so much better.

What does this mean exactly? Use guides. Practice with guides. Ruled paper is your best

friend. You want your lowercase letters to stay within the same x-height (save for the

ascender and descender strokes). You want your uppercase and ascending lowercase

letters to be at consistent heights. You want your descenders to have a consistent height.

Practicing with guides will help ingrain that consistency into muscle memory. Download

Gerunds A gerund (verb + ing) acts like a noun in a sentence.

• Seeing is believing.

• My hobby is painting.

• Studying hard is not an easy thing to do.

• Watching TV is not good for students.

• Playing is always fun.

• I like listening to music.

• I wasted all my afternoon by taking a nap.

• I am afraid of singing a song on a stage. Often, a possessive noun or pronoun comes before a gerund.

• I think that you don’t mind my using your pen.

• Don’t be mad about my leaving early.

• I don’t want you misunderstanding.

• You will be shocked by my writing

Confusing Words in English

⚙Lightening

The present participle of lighten.

e.g. I was lightening the load on my camel because it was exhausted.

⚙Lightning

A streak of static electricity through the sky, usually accompanied by thunder.

e.g. You got struck by lightning? That must have been a shocking experience!

⚙Lighting

The arrangement of light, especially in photography.

e.g. The photo was dull because the lighting wasn’t good enough.

Advice / Advise The error with this pair results from mispronunciation and failure to distinguish between a

noun and a verb. The c in advice is pronounced with the sound of /s/. The s in advise is pronounced with he

sound of /z/. Advice is a noun meaning “recommendation regarding a decision.” Advise is a verb meaning

“to recommend”:

She always gives me good advice. (noun)

What do you advise me to do? (verb)

There’s a name for words that we repeat often. Words we always use even though they add no meaning or

value to the sentence are called crutch words. For example, in the sentence “Then I was like, OMG, then

like, he went there, and like…” it is pretty obvious that “like” is the crutch word. “Actually,” “honestly,” and

“basically” are also commonly used as crutch words
