How to Conduct Walk-ins

I am Phani Kumar Rachakonda, working as a Recruitment consultant from a Decade. I have conducted more than 1000 drives across the locations and that experience gives me an idea to publish this document. This is only my way of conducting any drive. Hope this document will be useful to you..

team
Types of walk-ins
• There are two kind of walk-ins • 1. Schedule walk-in • 2. Walk-in
In the first case as a HR you know how many people are coming for interview. Here you will be taking a confirmation from the candidate on his presence for the event.
Types of walk-ins
The second case is unscheduled one. Here you don’t know how many people are coming for interview. Here most of the recruiters will do Mass mailing to the candidates, Classifieds, advertisement on NEWS papers, Media etc.. As a HR need minimum presents now a days recruiters taking confirmations from the candidates for any drives.
Walk-in
Now we are expecting the Crowd for event and we need to arrange the things.
The first precautions what you have take is availability of the technical persons who can take up the interview.
Book an event location [It could be either your office or any other location]
Walk-in
• For event we need coordinators. So identify efficient coordinators. The coordinators we will be discussing step by step.
• We need Turnups of the day, so arrange an printed attendance sheet at the entrance. Below is the Example sheet.

Walk-in
• While preparing the above sheet date didn’t Mentioned because it will be decided date. To avoid confusion on top of the paper mention Walk-in/ Schedule drive dated : 27 May 2013.
• Top most corner of the Paper you have to mention the Page number
• If you are conducting for multiple Skill set, you have to prepare entrance sheet separately for each skill.
Walk-in
• You have to make sure to take the Pens, Pencils, White Papers, Staplers and arraigning the water bottles, Coffee/ Tea, sufficient chairs [You should prepare to order more at the time], Interview Cabins etc the day before of the event.
• For the coordination coordinators will play a major role. You have to divide them into deferent departments [Typically deferent role].
Walk-in
• One should maintain the entrance sheet. This person whole and sole responsible to take the complete details of the candidates one by one. The same document has to enter in the system by EOD to prepare report. Here you can increase the coordinators based on the turnups. This team has to write the Serial Number on top of the resume according the sheet and let them go inside.
• The 2nd Person has to receive the candidates and make the seat arraignments.
• Here the you have to predefine the cabins for each skill set separated by the technical panels.
Walk-in
• For two technical panel you have to arrange one coordinator. They have to collect the resumes along with the Photos and ID proofs stapled along with Technical & HR interview sheet and coordinate with the technical panel for interview as well feedback.
• For the candidates who ever you have considered for next level those people has to sit separately.
• There should be a coordinator which I called them as a Banker. This person should sit at a convenient place to all coordinators. This person will be holding all the resumes. This coordinator separates the resumes by skill and shortlisted wise and will prepare a sheet in below format. This person will be the key player for your final report.

• The above should tally with the entrance sheet.• There should be two coordinators who can explain the
rejected candidates why they have been rejected for a smooth transactions. These people has to discuss in the separate cabin to explain.

What you need to do
Few things you should execute perfectly • Must see the Tea/ Coffee/ water arraignments are access to the
people.• Must check the coordinators performance for every one hour. • Must see the entrance sheet details frequently whether every
one are entering the details or not. • Must announce the Lunch break .[Here I saw few companies are
arranging lunch to the candidates who are waiting for further rounds. Again it depends on budget]
• At the end you should coordinate with Banker and place the resumes separated by the skills and screenings after preparing the Report.
Final Conclusion
• End of the day you should cross very with the Entrance sheet and report with Bankers report and Resumes. Here every thing should mach, so to avoid last minute confusion you should cross very each and every moment these two areas frequently.
