Previous sales transactions on a product by product basis. A search facility is also provided to assist the user to locate an item, plus the user can sort by any of the columns. His-torical lines can be selected and added to the current sales order or invoice at the press of a function key, and you are able to drill down into the relevant documents Summary of the last three purchases of the stock item on the current order line. It also provides details of the current stock levels and iden-tifies when the next purchase order is due for delivery. This information can be important whenever stock shortages exist and delivery dates need to be quoted. Similar functionality exists for Purchase Order Processing in OPUS to assist the buyer when placing orders with a regular supplier. As part of our latest release Customer Product History and Products Supplied History are now available from SOP menu as well as within order-lines form. Similarly Supplier Product History and Previous Product History are now available from POP menu as well as within order-lines form.

Sales & Purchase Order History

Sales Order History in OPUS provides that information whilst processing a sales order so that an immediate answer can be provided and the process can be completed with speed and accuracy. The latest version of the software has been developed to allow the user to populate the history files from the outset, thus meaning that from day one of using OPUS you are able to drill down into true historical data. History can then be searched in 2 ways, by previous sales transaction on a product by product basis or by individual stock item depending on which is more relevant to the call. Together with a search facility, column sorting, plus the ability to add a selected item to the current purchase order at the press of a function key OPUS provides a wealth of information.

When processing a sales order or invoice, how often do customers ask for items that they have previously purchased, or quote from memory the last price they paid for an item which cannot be easily checked or verified?

The Minimum Margin % The Minimum Margin % provides a global setting for your order processors to adhere to when offering a special price. Further options exists within Stock Categories to fine tune the control of margins for particular items or groups of items. The Minimum Order Value The Minimum Order Value is a global setting which provides end user prompts at the point of saving the sales order or invoice. This can be set to suit you, your business and your customers. The added benefit to this warning is that it will encourage your order processors to sell more of an item! The Carriage Code The Carriage Code refers to a Product Reference which, if not included within the body of the order will also provide an end user prompt at the point of saving the order or invoice to include a carriage code.

SOP Warnings

Three warnings have been developed within Sales Order Processing (SOP) to help your actively warn your order processors when the order they are about to place falls out side of your pre set levels or if they have forgotten to add a vital line. All of these warnings are designed to work for you and your order processors to encourage them to create orders that are financially beneficial to the business. They also help to increase the level of customer satisfaction by the customer being aware of all costs before committing to an order and reducing the number of secondary calls and withheld payments. Of course all of these can be set to zero or empty to disable the warning checks if they are not suitable or applicable to your business.

Multiple SOP Pricing Both Pegasus Opera II and Opera 3 normally displays just a single selling price, based upon the customer settings and quantity breaks. This can be limiting when creating an order for a customer with a special pricing structure. This additional functionality in OPUS enables all prices for the current item to be displayed to the order processor and provides them with the opportunity to select the required selling price from a list, avoiding the need to look up the prices elsewhere, and cutting down on the time taken process the order. Your price lists can also be globally changed for the whole sales order or invoice from an option on the header form, giving you flexibility.

Copy Quote & Multiple SOP Pricing

Copy Quote Using this function any customer quotes can be highlighted on the Quote form for copying to either the same, or an alternative customer account, using a dialogue form. Selecting the Current Prices will then re-price the Quote based upon the price list attached to the customer. And if none exists then the RRP from the main Stock File or the Warehouse price will be used. The copied Quote will then be assigned the next Document and Quote Reference in sequence automatically. This process can dramatically increase productivity in an environment where similar order are placed regularly by either the same customer or different customers.
