TASKS: THE BASICS• To create a task, type its name in the “Add a new
task” field.
• To select a task, either click on its name, or check its checkbox.
• A selected task displays its fields to the right of the task itself in a floating panel connected by a thin, dotted blue line.
• Clicking on a field while a task is selected allows you to change that field.
• Multiple tasks can be edited simultaneously by checking the desired checkboxes.
TASKS: WHAT THE ^!*@#=When adding a task, you can use special characters to specify fields:
• Use a caret (^) to specify the time for a task:^today, ^8, ^6pm. (^number assumes AM)
• ! for priority:!1, !2, !3
• * for repetition:*yearly, *biweekly, *after 1 week
• @ for a user-specified, predefined location:@work, @grocery, @UNCG
• # for a list or tag. Unlike location, typing #something creates the something tag dynamically.
• = for time estimates. If everything in a list has a time estimate, RTM will calculate the total time required to complete the tasks in the list.
LISTS: • Lists allow you to view tasks that share specified
characteristics.
• Lists are mutually exclusive; a task on your work list cannot appear on your home list.
• By default, a task created without a list selected appears in your inbox.
• Usually, a task lives on the list where it was created.
TAGS:• Tags allow for organization inside, outside and
between lists.
• A task can have multiple tags.
• To group by tag, you must use a search result or Smart List.
SEARCH RESULTS AND SMART LISTS• When you perform a search, the results returned are
in the last blue-tabbed list in the bottom row.
• You can save your searches to be used later.
• Saved searches are called Smart Lists.
• Smart lists are a tasks grouped by unifying characteristics.
• Smart lists are dynamic.
• Any task created while a Smart List is selected automatically inherit all characteristics that would allow it to appear on that Smart List.

• Tag items with #work and #review to create a smart list of items to share with your supervisor
• Tag items #work and create a smart list to get an overview of work-related tasks
• Creating a #waitingfor tag and tags for coworkers’ names to keep track of items that need following up with colleagues

• Create different locations for different buildings on campus
• Tag items for different classes to keep up with assignments and deadlines

• Create a grocery list
• Set recurring tasks for taking out the recycling, cleaning out the refrigerator, paying bills, etc.
• Keep a birthday list for family and friends
• Keep a list of questions for your doctor
• Keep a list of recipes with links
