It reduces costs and maximizes the product ivity of IT teams by centralizing and automating processes and procedures t ied to asset and contract lifecycles. It also provides a means for the IT department to interact with end users and increase service levels. Process traceability, priorit izat ion, control, and optimization allow Workflow Manager to improve license compliance across the software estate.

Workflow Manager is part of the FlexNet Manager Suite for Enterprises used by hundreds of enterprises to gain control of and optimize spend across their software estate. It is integrated with FlexNet Manager Plat form, the core IT asset management foundation of the Suite. Real t ime updates to the FlexNet Manager Plat form repository allow Workflow Manager to increase data accuracy, leading to lower costs and reduced license liability risk.

The software removal and license reharvest ing workflow entails collect ion of applicat ion usage data to expose under-used software and allow licenses to be re-allocated to other groups in the organization. This process can reduce new license purchases at true-ups and renewals.

A hardware ret irement workflow could be defined to reclaim licenses from ret ired hardware as part of full life cycle management of both hardware and software assets.

Integrat ion with FlexNet Manager Platform Workflow Manager is integrated with FlexNet Manager Plat form, a scalable solut ion for software and hardware asset management across more than 11,000 software publishers and 100,000 applicat ions. The Plat form provides insight into installed software and applicat ion usage while delivering purchased versus installed license reconciliat ion. Its comprehensive report ing capabilit ies allow users to

ident ify and evaluate areas of compliance concern and make informed decisions that reduce license and maintenance costs.

The t ight integrat ion between Workflow Manager and the Plat form is accomplished via a Web Service Applicat ion Programming Interface (API), allowing reading and writ ing to the Plat form repository. Workflow Manager and the Plat form maintain their own dist inct repositories.

FlexNet Manager Plat form integrates with many other IT systems to collect the data necessary for software asset management and license optimization. This includes out-of-the-box connect ivity to Microsoft SCCM, as well as connectors for other third party inventory and configurat ion management tools. It also provides connect ivity to HR, Act ive Directory, procurement, ERP and other systems for user, computer, purchasing and organizational data.

Workflow Manager FeaturesCustom Workflow Templates — A workflow process can be fully customized. Forms can be edited to add propert ies, request input or documents from users. Workflow Manager templates can easily be customized to fit the internal processes of the organization. This includes branching on condit ions, adding tasks of different types, etc. A webpage in a new browser window can be launched during any workflow step in Workflow Manager. The web user interface itself is also customizable.

Dynamic Email Notificat ion — Workflow Manager can send emails dynamically to stakeholders not ifying them of work being performed on their requests. It can also use emails as a means for users to answer workflow requests. This makes using Workflow Manager as easy as clicking in an email and results in increased workflow efficiency.

Service Level Agreement Management — A Service Level Agreement (SLA) indicator can be added to any workflow template. This allows organizations to easily track, manage and report on service levels to ensure requests stay in compliance with the SLA. The SLA clock can be aligned to business pract ices and work schedules, so work stoppages are not counted.

LDAP Integrat ion — A company directory maintained in a Lightweight Directory Access Protocol (LDAP) database can be the single source of organizational information for Workflow Manager. Organizational hierarchy (t it les, approval levels, business units) can be read by Workflow Manager and used as a means to set required approvers or reviewers for a workflow.

Security Management — Permissions can be assigned to users based on roles to ensure they only see data they are authorized to access. An LDAP database can provide the information on user roles to support this funct ion.

Issue Tracking and Resolut ion — Crit ical issues can be easily managed and escalated in Workflow Manager to ensure that they get resolved in a t imely manner. If necessary, the system can lock down a workflow process unt il all issues have been resolved. All comments associated with an issue are grouped together in a hierarchy, so that the order of responses is clear.

Dashboard and Reports — The Workflow Manager home page includes a dashboard that provides summary information about relevant work assignments, issues and reports. The information is unique to each user, based on their permissions. Custom reports can also be designed, stored and rerun using the Report Wizard. The alerts and reports keep organizations in control of their workflow processes.
