Deposit Reminders (Cont.)• All cash received through June 30 should be recorded in either:
• 1104 – Cash in Bank
• 1107 –Cash on Hand
• Deposit year must be chosen based on when cash is received, not when revenue is recognized
• Deposits credited by the bank on or before June 30 will count as FY17 activity and must be recorded in SABHRS with a FY17 date
• Deposit tickets for FY17 activity must be submitted to the Treasury by July 13
• Deposits must only include activity for one fiscal year
• All deposit tickets submitted to the Treasury during FYE must indicate which fiscal year the deposit relates to

• If monies (cash/checks) on hand are not deposited by June 30:
• Agency must post an ONL Journal to record amount
• Dated June 30
• Debit account 1107
• Credit to a revenue account that appropriately identifies the cash received
• Monies must be deposited as soon as possible

• Dated for actual deposit date
• Deposit coded to account 1107
• System generated entry will debit account 1104 and credit account 1107

• Three Scenarios• Cash received/on hand reaches $200
• Cash/checks on hand (combined) $750
• Minimum deposit frequency is weekly, regardless of balance
• All other deposit schedules must be submitted to the State Accounting Bureau• SAB/BOI need to approve
• If AR system is not operational, deposit must still be made and recorded in the system at a later date (within 14 days)

General Reminders
• AR Module • Notify Treasury before 3:00 p.m. on the working day prior to incoming
or outgoing EFT activity that is over $100,000
• AP Module• Notify Treasury before 3:00 p.m. on the working day prior to any ACH or
warrant request that is over $10,000,000
• Sooner communication of these instances is appreciated by Treasury and BOI, as it allows the State to more effectively manage its cash balances
• OED machine users• The business unit is required to be entered in the “deposit identifier”
field when scanning checks

On‐Site Electronic Deposit (OED)
• The deadline for agencies to implement OED machines (or other deposit option) is January 1, 2018

• Getting started with OED is an extremely easy process
• Contact the Treasury Unit• Treasury will put your agency in touch with a representative from US
bank
• US Bank will help decide which machine is right for your agency• As inexpensive as $350
• US Bank will schedule a time to install and train agency personnel free of charge
• Treasury will set up online access
• Join us after the morning FYE training session for an OED training and information session

• MOM Policy 325 Cash Accounting will be updated with new Treasury 999 deposit procedures and OED information. Look for communication on those changes in the upcoming weeks.
