BEFORE EMPLOYEE ENTERS THE ORGANIZATION, FOLLOWING THINGS SHOULD BE DONE (AFTER SIGNING AND RETURNING THE OFFER LETTER) :

• Official company welcome letter from HR should be sent to him. The welcome letter must include joining date, joining time, work dress code, necessary documents to be brought, first day’s schedule, his/her mentor, whom to report on first day etc.• Checklist for employee preparation should be developed. Checklist should include assigning computer/laptop, installing necessary programmes and softwares, providing mail access etc.• His/her name to be put up on notice board with a warm welcome message.

AFTER THE EMPLOYEE HAS JOINED THE ORGANIZATION:

• New employee orientation checklist should be kept in mind.• Provide copies to the new employee of important documents.• Show him/her around the facility, pointing out any important features along the way like emergency exits and hazardous areas, for example.• Introduce him/her to people you meet along the way.• Introduce your new employee to the supervisor they will be reporting to.• Show them their work station and where to get any supplies they might need.

• Talk briefly about important contacts they will want to remember, such as the person responsible for ordering supplies, the payroll person and any others you feel are key to the operation.• Explain your organization's mission and its philosophy of doing business.• Explain the practices and procedures you use in your organization.•Copy of job description, performance and expectations on job performance standards should be given.• Details about training and induction programme should be provided.

NEW EMPLOYEE ORIENTATION CHECKLIST:

Personnel file contents•Job application or resume•Interview summary•Reference check information•Verification of any licenses or certifications required on this person's job (driver's license, teaching credential, broker's license, etc.)•Exit formalities of the previous organization.

Complete necessary paperwork•Receipt for their copy of your employee handbook•Personal data sheet (MIS) so you will have the information necessary on emergency contacts, home address and telephone number, social security number, passport, residence proof, birth certificate, pan card etc as required by the company.•Security or identification card information form•Beneficiary designation forms for your benefit programs (insurance, pension activities etc) which provide immediate eligibility for all employees.
