MedITEX  instructions  for  clinical  IT  administrators:  

RFID  Connector  1. A  patient  card  with  an  RFID  chip,  for  unique  identification  of  patients  

 The  empty  card  before  printing  and  attaching  it  to  a  patient  file:  

   

Choose  a  patient,  click  on  Demographics,   then  click  on  the  drop-­‐down-­‐QM  button    and  choose  RFID/Barcode:

Put  the  empty  card  on  the  RFID    reader:       In  the  same  time  in  MedITEX  IVF:  

     After   you   click   OK   the   code   from   the   chip   in   the   card   will   be   associated   with   the   demographics  section  of  the  current  patient.    Hint:   If   you   want   to   print   the   label   info   for   the   card,   click   on   the   button   “Print”   (to   print  immediately),   or   “print   with   options”   (drop   down   on   the   button   “Print”).   Now   you   will   see   the  barcode  label:    

   Now  you  can  use  the  card  to   identify   the  patient.  Every  time  you  put   this  card  on  the  reader,   the  patient  file  of  Jane  DEMO  will  be  opened,  and  her  demographics  data  will  appear.

2. Authentication  of  MedITEX  users  –  clinic  staff  

Starting  point:  For  each  employee  you  need  one  unassigned  RFID  card:  

   Click  on  System  -­‐>  Configuration  /  administration  -­‐>  Personal  settings:  

   Choose  the  drop-­‐down-­‐QM  button  and  choose  RFID  /  Barcode:

Put  the  empty  card  on  the  RFID  reader:       In  the  same  time  in  MedITEX  IVF:  

     Now  the  employee  (here  with  user  name  test123)  has  his  own  card  for  authentication.  To   login   in  MedITEX  IVF  he  or  she  just  has  to  put  the  card  onto,  or  hold  it  above  the  RFID  reader.        

3. Material  identification  in  laboratory  with  RFID  

Starting  point:  A  patient  comes  for  semen  analyses:  

 

Click  on  the  patient’s  Demographics  -­‐>  drop-­‐down-­‐QM  button   -­‐>  RFID/Barcode.  

Put  the  empty  sample  dish  on  the  RFID    reader:   In  the  same  time  in  MedITEX  IVF:

The  patient  gives  his  sample  to  the  laboratory.    The  staff  knows  immediately  whose  sample  it  is:  

Put   the   sample   dish   with   the   patient´s   sample  on  the  RFID    reader:      

In  the  same  time  in  MedITEX  IVF  the  patient  file  opens:  

     

In  order  to  assign  the  sample  directly  to  its  semen  analyses  form,  click  on  patient’s  Lab.  diagnostics  -­‐>  new  sample  -­‐>  drop-­‐down-­‐QM  button  -­‐>  RFID/Barcode:

Put  the  sample  tube  with  the  patience´s  sample  on  the  RFID    reader:       In  the  same  time  in  MedITEX  IVF:  

     

So  every   time  you  put   this   sample  on  a   reader   connected   to  MedITEX,   the   correct  patient   file  will  automatically  open,  and  the  program  will  display  the  form  with  its  semen  analysis  data.  

 

4. Professional  document  identification  with  RFID  

Click   on   the   patient´s   Demographics   and   then   on   the   document   you   want   to   assign   an   RFID  identification  to,  for  example  Cryo  contract:  

 

Click  on  the  drop-­‐downQM  button    and  choose  RFID/Barcode.  This  window  appears:

Put  the  document  on  the  RFID  reader:   In  the  same  time  in  MedITEX  IVF:  

   

 Next   time   the   you   put   this   document   on   RFID   reader   MedITEX   will   find   it’s   electronic   version  immediately.  

 

5. No  possibility  for  a  mistake  in  the  lab  –  where  a  single  mistake  is  not  acceptable    

Starting  point:  Two  samples  from  one  couple  are  collected  in  the  laboratory

Click  on  the  scanner  button  in  Culture:  

 

The  Matcher  window  will  appear:  

 

1. First  possible  situation:  Put  two  samples  on  the  RFID  reader:   In  the  same  time  in  MedITEX  IVF:  

     

These  two  samples  belong  together.  You  may  proceed  with  fertilization.

2. Second  possible  situation:  Put  two  samples  on  the  RFID  reader:   in  the  same  time  in  MedITEX  IVF:  

     

 These  two  samples  do  not  belong  together!          

 MedITEX  IVF  will  stop  and  require  that  the  user  has  identifies  himself  in  order  to  proceed.    A  witness  point  will  be  written  to  the  log,  indicationg  that  the  user  tried  to  match  materials  from  

persons  that  do  not  form  a  couple.      

 

6. The   tool   responsible   for   the   communication  with   RFID   antenna   is  RFID   Connector.   It   runs   in   the  background  and  handles  automatically  all  communication.
