Updating your payroll records is necessary so that you can monitor
the status of the employee and to see if there’s monetary lapses
being involved as well. By updating the payroll records you can also
avoid payroll fraud.
In reality, due to the number of employees a certain organization
has, updating the payroll records all the time may not be done.
Unless, the organization would really make time for it and assign a
reliable payroll professional to monitor the payroll records.
But when we really should update our payroll records? Is it weekly,
monthly, or yearly? If payroll records do really matter to you, you can
monitor it anytime as you want, but updating it usually done if it’s
necessary.
There are cases in the organization that requires to update payroll
records immediately.
You may want to consider the following:
For instance, a certain employee wishes to
change her last name for some reason, it
should undergo to a proper and legit process.
The employee’s profile should be updated as
soon as possible because his/her records
should match with the payroll.
There are lots of changes that can be made when it comes to
updating employee’s records. Whether it is a small detail, it still
counts.
When an employee is promoted
his/her employee status will
change along his pay rate. It is
important that this matter should
be updated in the payroll. The
employee’s current status should
now be the basis of his salary
since he/she’s already promoted. A promoted employee is expected
to have an increase in his salary according to the protocol of a
certain company.
The number of employees in a certain
company should be well-recorded and
monitored. This matter is mostly used to
manipulate the salary or the company’s
financial affair for the own sake of those
payroll frauds.
When there is a newly hired employee, the management should all
be aware. The new employee should be properly included in the
payroll of the company with his/her accurate records.
In another case, when an employee resigned he/she should
undergo a proper process. As usual, the management should still be
aware when there’s a decrease in the number of employees. And
that means, the employee should also be removed in the payroll
since he or she is no longer part of the company.
When a business grows, it means
there would be a need for greater
workforce and more budget for all the
company’s business process and any
venture. Whenever a business
expands it also affect the payroll. The
tax that they are ought to pay may
increase due to the massive assets
they have.
With all these things mentioned, it’s time for you to make an update
in your payroll. Updates are necessary to be done to have a better
and anomaly-free payroll. It’s just not benefits the employee but the
entire company. The payroll system should comply with the legit
labor codes, tax, and others to avoid any penalty from the authority.
