Chapter Agenda Operating Guide - Detailed Chapter meetings last for 1.5 hours and it is imperative meetings start and end on time. The time allotted for each section below are suggested targets. Time spent on each section will invariably change from meeting to meeting due to number of people in attendance – flexibility and ability to adapt on the fly are critical when facilitating a neXco meeting. Sufficient time should be spent specifically on allowing for a Q&A for the spotlight presenter (even if this means going a few minutes over the allotted 15 minutes). Also, sufficient time should be spent on the Mastermind exercise/discussion to engage members/guests in conversation. The President is responsible for transitioning each section, keeping the meeting on track and ending on time. Please note that any language provided below is suggested language. It is not a script and not meant to be read during the meeting. You can use your own language while addressing the high-level points of the suggested language. *notates that this section of the agenda should be emphasized.

00:00 – 00:10 Members & Guests

00:10 – 00:12 2. PRESIDENT’S WELCOME & INTRODUCTION TO NEXCO NATIONAL President

a.

Welcome to neXco National’s (Insert City) Chapter! Guests, thank you for joining us today! So what is neXco? NeXco is a networking organization created with the sole purpose of helping its members grow their business – it starts with Chapters like this one where we meet twice a month with the objective of building trusted relationships with one another and sharing client introductions, and also to learn from one another and help each other improve as leaders through our mastermind discussions. Each profession within each chapter is occupied exclusively by one member only. And the non-profit profession is a free seat in every neXco National chapter.

We also have monthly social events where we partner with a different networking organization in the area. Our next event is on (Date) at (Location), in partnership with (Partner Organization), we hope you can make it out. And last, we also hold an annual charity event to benefit a local non-profit organization.

Note: Many people will not keep to the 20-30 seconds but it sets the tone that people should keep introductions short. NeXco intentionally does not set a timer for introductions – Presidents will need to be able to adapt the agenda on the fly and will have to be respectful in asking some people to end their introductions when they go long.

c. President introduces themselves last for member introduction section d. President then asks guests to introduce themselves: “Guests, you’ve seen how

it’s done, please let us know who you are, what you do, and who you would like to meet”

i. 6 points a quarter: 1 point for every guest and 1 point for ever referral

ii. 1 meeting can be missed every quarter, based on calendar year, absences are not counted when substitutes who come in a member’s place

d. After reviewing rules, Recordkeeper requests members individually report their activity (while numbers are reported via ChamberForge, this adds an additional layer of accountability for productivity)

“Members, please report the # of referrals and closed deals you’ve had in the past couple of weeks. As a reminder, neXco National defines a referral not only as an introduction to a client – a referral is anything that results in increased business opportunity, for example: an introduction to a key referral center can count as a referral or introduction to speaking engagements.”

Chapter Handout Within the Google Drive “neXco National Leadership Resource Center” subfolder will be the Chapter handout template for each Chapter. The Chapter President will access the template and update it prior to each Chapter meeting. The Chapter President will update the meeting date, date of next meeting, events, spotlight speaker (name, company & bio), future spotlight speaker schedule, and the profession seats on the back of the handout with any new Chapter members. Under “Events”, the President will always include our Business & Beverages Socials (date, time, location and member comp. code). If space allows, you should include our Cocktails & Commerce events, noting these are specifically for those who network 100% to other businesses. You may also include any events your members would like included or that are happening in your Chapter city.

Probation Email Verbiage 1st Offense Dear [Recipient Name]: Our Mission is to serve our members through an ideal networking experience that cultivates an environment of personal and professional growth. In order to do this, all Membership Key Rules and Regulations must be adhered to. Experience has shown that the success of a Chapter can be tied directly to the Chapter’s commitment to these practices. After reviewing the Chapter’s (chapter name) reports in Chamber Forge, it is noted that you have not met your 6 point per quarter requirement or have missed 2 or more meetings within a quarter without providing a substitute. As you know, compliance with these standards is a condition of membership in neXco National. As per the Membership Key Rules and Regulations, you are hereby placed on probation. You will have the next quarter to meet the 6 point requirement and attend your chapter’s scheduled meetings. As long as you meet the 6 point requirement and do not miss 2 or more meetings without providing a substitute, you will return to good standing. If, however, you fail to meet the 6 point requirement or miss 2 or more meetings without providing a substitute, the Chapter leadership and neXco National partners will decide whether you continue in the group and hold your industry’s seat. Our goal is for you to be a productive and active member of the chapter. We encourage you to reach out to your chapter leadership, request a mentor from the chapter or access the resources on the training portal for additional support.
