Physician Playbooks Tips and Helpful Information
The Physician Playbooks (also called the Workflow Pages) is new functionality that will change the way providers view
PowerChart. It is the direction Cerner is going to increase the use and ease of the electronic medical record. We have
implemented it with Internal Medicine, Orthopedics, Cardiology, Vascular, Infectious Disease, Pediatrics, Family Medicine
and the Hospitalists.
Visit the Methodist EMR Website for more information on playbooks including training videos.
Specialty Playbooks offer providers:
Customizable workflow components for each specialty.
Improved efficiency and provide better data density.
Ability for providers to stay on the same page.
Quick orders & more.
Dynamic Documentation:
Providers can create Dynamic Documentation notes directly from the Summary Page.
Providers can choose to use Dynamic Documentation, PowerNote or Transcription to complete their office dictation.
Diabetic Foot exams using Dynamic Documentation will NOT satisfy Health Maintenance, this requirement will need to
be manually satisfied. Providers who have used PowerNotes to satisfy Diabetic Foot exams in Health Maintenance
can still use these PowerNotes if preferred.
How to set Dynamic Documentation as the ‘Default Document Editor’:
Setting Dynamic Documentation as the default document editor will automatically open the note when the provider clicks
on ‘Note Not Started’ from their Ambulatory Organizer or the “+” sign next to the Documents tab:
When on the ‘Documents’ tab, click on ‘View’ in the task bar and choose ‘Customize…’:
Change the Default documentation editor to Dynamic Documentation:
Click OK.

Creating Auto Text in Dynamic Documentation:
Within some sections of Dynamic Documentation, providers may create Auto Texts that will help them complete their office
notes quicker and easier.
Within the dynamic documentation note section, click the “Manage AutoText” button:
The following box appears; to create a new Auto Text,
left click the ‘New Phrase’ button:
Create an Abbreviation: and a Description for the new AutoText.
Then click the button to add the full text.
Now add your text, format it any way you want and then click ‘OK’.
Save and close box.
Dragon Commands in Dynamic Documentation:
Commands can be created within Dragon that will help providers complete their office notes quicker and easier.
Open ‘Add New Command’ dialog box on the DragonBar and click Tools > Add New Command.
1. Type the name of the command in the MyCommand Name field
(this will be the word or words you will use to initiate the command).
2. In the Description section, place a description of your command.
(When searching for commands later, you can use this to identify the
correct command).
3. In the Content section, dictate the text and/or graphics of your
choice into your command.
4. Check the Plain Text box (this will make the command contents the
same font style and size as the text preceding it in the document).
5. When finished, click Save.
Tip: always begin your auto text with a
symbol to make searching easier when completed. Example: a closed bracket ‘]’.

Non Formulary Medications:
Non formulary medication orders titled NF (In Office) are available in PowerChart. These have no charges associated with
the ‘order’ and should be used when:
A medication is being given to the patient (in office) and is not available in PowerChart (e.g. new medication).
Any ‘in office medication’ sample given to patient during their appointment.
All other samples should be documented as a home med and use the sample section (see ‘Documenting
Medication Samples Given to Patients’ below).
To locate the NF orders in PowerChart change the Type to Clinic Meds Admin in Office and Search: NF
NOTE: If a medication is not in PowerChart and the new NF (In Office) order was used, please contact Cerner Support at
402-354-6690 (MPC Support-option 4 or Informatics-option 5) so we can request to have the new medication built in
PowerChart for future use.
Documenting Medication Samples Given to Patients:
When giving patients samples of medications that are available in PowerChart, please document these on the patient’s
medication list. They should be documented by history by selecting the button within the patient’s
Medication List.
Once the appropriate medication and dose have been selected, please indicate how many samples were given to the
patient by using the “Samples” field.
The medication now displays like this on the patient’s medication list:

Pain Assessment Update – HBC Clinics only:
The Pain Assessment ad-hoc form has been updated with additional fields to assist in capturing pain. This can be found in
the Pain Assessment Section on the Patient Check-in.

HealtheRegistries/HealtheCare Update for Health Coaches:
HealtheCare is under the same platform (HealtheIntent) as HealtheRegistries. However, it is a separate tool. Some
information is fed into it from Health Maintenance, and some info feeds into it from HealtheRegistries. But the main function
is for Health Coaches to utilize it for creating new cases, managing those cases for higher quality of care, and more control
over the entire process so that patients do not “fall off the radar”.
Go live for this new process is set for April-May in MPC clinics. Along with the workflow view changes,
the Health Coaches will also have 3 additional buttons added to their toolbar:

‘Charges’ icon for Providers Update:
A new Charges icon has been added to all provider positions. This icon will allow providers to view charges that
were applied to a specific date of service (e.g. level of care charge). Only charges for that date of service will display, be
sure to select correct encounter/fin# when searching for a patient, or backdate schedule to date of service and click
patient name to open the chart on the appropriate encounter/fin#.

Assigning Messages in Message Center:
When clinic staff works out of pools, there is a way to ‘assign’ an item and put the staff members name in the ‘Assigned’
column. This can be helpful if there is a message that someone specific needs to work, wants to be aware of/follow or be in
charge of when working out of pools.
Retinal Scan Update:
The order for a retinal scan is available in Cerner (92285). The order was previously in the system as ‘Eye Photography’. The
results are scanned to the new document type called ‘Retinal Scan’.
EMR Document List Project 2016 Update:
The HIM departments at Methodist Hospital and Methodist Physicians Clinics are currently going through all document types
on the EMR document list, editing definitions, discontinuing document types and/or adding new document types as
necessary in an effort to make documentation more consistent between all facilities. Please have patience as we work
through this process. We will continue to send out notifications in this newsletter and to clinic management as updates are
made.
New Document types/Updates coming soon:
Cologuard Result - Fecal screening test for colon cancer replacing colonoscopy, done every 3 years.
Hearing Screening – Hearing screening tests (no longer scanned to ‘Diagnostic Test’)
DEXA Report to DXA Report – the order name and document type will be renamed to DXA to match the national
standardized naming convention for the bone density scan.
Document Types Soon to be Discontinued/No longer Used:
Graded Exercise Test – Scan to Stress Echocardiogram instead.
Diagnostic Procedure Note – Colonoscopies and other results should be scanned to their specific result document
types.
Core Measure Indicator Inquiry – not used
Clinic Nurse Documentation – clinic staff should use other document types such as their departmental ‘Chart’ note for
documentation.
Stop Service Letter – no longer scan stop service letters or termination requests into PowerChart. This documentation is
sent to: Mary Lentfer Facility R 8601 Building MPC Administration.

Patient Portal Reminders and Update
All ambulatory clinic staff should be involved in promoting the Patient Portal to patients so they sign up and use the portal.
By informing patients of the benefits of the Patient Portal and encouraging them to use it we all help ensure our providers
are meeting the Meaningful Use requirements necessary. Staff may sign up patients in the clinics or have the patient call
MPC Support at 402-354-5410 to register.
Benefits to encourage patients to sign up for the Patient Portal:
Check for their latest lab results Request medication refills
Schedule appointments online (varies by clinic) Send messages to the provider/nurse
Print Immunization records Clinical information
Historical Lab results Medication history
How patients may print records from their Methodist Patient Portal - Click on Health Record (top left corner of screen):
Click on Print (top right corner of screen)
It automatically defaults to print all sections. Unselect/uncheck the sections not wanted, then click Print.
Patient Portal App Available for Apple/Android Devices
Please share with all patients and employees – a new app is available on Apple/Android devices called HealtheLife that
allows access to the Patient Portal on your smartphones, iPads or other electronic devices. Example (Apple):

MPC Form Update & Order Information
MPC Authorization for Release of Information:
The updated version of the “MPC Authorization for Release of Information” is now available on the mhsintranet and
www.bestcare.org, and can be ordered through Lawson in English (343855) or in Spanish (344004).
AN IMPORTANT MESSAGE FROM CINDY PARR:
The authorization is now two pages – page 1 is the actual authorization, and page 2 has instructions to help patients (and
staff who may be assisting patients) in completing the authorization. Note that “verbal communication only” and “MHS
employee access” are now listed separately on the authorization. Patients should mark only one box in the “Information
Authorized to Release” section (#4).
Remind the patient that the authorization is valid for 365 days. We will not be reminding them to renew the authorization.
They will need to set up a reminder for themselves and the family member or other person they designate.
If a patient is completing an authorization for “Verbal Communication” designating multiple family members or persons,
please have them complete a separate authorization for each person they want to be able to speak to their physician
about their medical care.
The HIPAA Privacy Officer strongly recommends that you limit patients to only one authorization for one family
member or other person. Multiple authorizations will create a situation where mistakes are more likely to be made with
release of PHI. It will be much easier for clinic staff to keep track of who can and who cannot speak with the
physician if we limit it to one designee.
This type of authorization is not intended to allow them access to the records or obtain copies, but rather it is to
designate who the healthcare team can communicate with regarding the patient.

MPC Consent to Treatment Form Updated:
The MPC Consent to Treatment form has been updated and is now available on the mhsintranet and can be ordered
through Lawson in both English (326649) and Spanish (346324). If you have recently ordered the previous version you can
use your current stock, however, please transition to the new forms by June 1st.
Consent to Treatment forms are currently scanned by reception staff during check-in process – these forms also need to be
scanned into PowerChart under ‘Consent Forms’ by clinic scanning staff to become part of the legal medical record.

General Training information for MPC Clinic Managers:
When a request for training is received, a “Training Request form” will be sent to the manager. This form will contain the information needed by MPC Support to set up the user for PowerChart. Once a training date and time are arranged, a Microsoft Outlook meeting request will be e-mailed to you and each trainee, indicating the training time, location, training information, etc. The trainer assigned may be contacting you to obtain necessary information for training set up & materials.
Please request Cerner & Network sign-ons for new employees in advance. NOTE: It is extremely important that you do not give the Trainee this information prior to him/her being properly trained on how to navigate our patients’ medical records. Karen Rau will request sign ons for all Providers, Midlevels, Residents and students. Clinic managers will request sign ons for other staff.
Reminder: Include the Pools and Proxy information under the appropriate sections of the Sign On request form so they have access to what they need in message center.
TRANSFER Employees: To make sure employees who transfer from one department to another are set up and/or trained properly be sure to fill out the ‘User Information Section’ and mark this area appropriately.
Resident/Student Training: Send request for training to Karen Rau. She will request sign-ons. Training will be scheduled for the first day of rotation whenever possible. MPC Support staff will meet the trainee onsite and do an approximate 30-45 minute training.

General Training Information for HBC Clinic Managers: ALL HBC Training classes are scheduled based on employee need and arranged with the appropriate Human Resources Recruiter. New nurse or medical assistant or Receptionist complete the IT Service Desk/Request Sign-on to network system E-form found on the NMHS Intranet. New provider contact is Venia Yanes @402-354-4286 TRANSFER Employees: To ensure employees who transfer from one department to HBC receive proper training; notify the Cerner Helpline as soon as possible. Provide the
full name of the staff member, start date in the clinic, and where they are transferring from. Their Cerner profile may need to setup properly to be functional in your clinic. Support will be available for the first day in the clinic if needed and scheduled in advance for new or transferred employees. NOTE: It is extremely important that you do not give the Trainee Network and Cerner User names & passwords prior to him/her being properly trained on how to navigate
our patients’ medical records.

Cinnamon Coffee Cake – submitted by Cindy Johanson, MPC Support
Ingredients: 1 (18.25 ounce) package of yellow cake mix 1 (3.4 ounce) package instant vanilla pudding mix 1 (3.4 ounce) package instant butterscotch pudding mix 4 eggs 1 cup water 1 cup vegetable oil 1 cup packed brown sugar 1 tablespoon ground cinnamon 1 cup chopped walnuts
1. Preheat oven to 350 degrees. Grease a 9x13 inch baking pan or a 10 inch Bundt cake pan.
2. In a medium bowl, stir together the cake mix, vanilla and butterscotch pudding mix. Add the egg, oil and water. Mix until well blended. In another bowl, stir together the brown sugar, cinnamon and nuts. Pour half of the batter into the pan and spread evenly. Sprinkle with half of the nut mixture. Cover with the rest of the batter and sprinkle with the rest of the nut mixture.
3. Bake for 20 minutes in the preheated oven, then turn oven down to 345 degrees and bake for an additional 35-40 minutes.
