Today's session will run for approximately an hour, and will be delivered by various members of the Training and Support team with Kate Shum representing ISIS-Connect.The session will be one of two that will be recorded and made available at a later date via a link on the ISIS website.We will be covering 3 areas in relation to the upgrade. 6There are now considerably less screens (pages) in the application which make it easier to use and less confusing for the applicant. There are now 5 screens, previously there were 12.

There is now a Progress Bar that shows on every screen that lets the applicant know where they are at in the process. Applicants can save their application at any time and come back later and continue with their application.

Applicants can now add in Previous Study Details, which they could not do in the current release. They need to select the country and then search for the institution name. If they cannot find the institution then they can manually enter the name in the Or enter details field.

7A major improvement in the application process is the ability for applicants to search for the courses from within the application. Currently they have to go to another webpage of the university to see what courses are available. There are a number of different criteria that can be used to identify the courses.

Application SearchOne of the major improvements in the Admissions area is the ability to search on Application Requirements using the Application Search. Previously only the Detailed Application Search could be used for this purpose. However, the Detailed Application Search contains data that has been retrieved and assembled overnight, that is, you can only search on yesterdays data. The Application Search searches on live data.Not everything has been copied from the Detailed Application Search screen, so staff are still required to use it for more advanced searches.

Graduation Invite Error - Fixed10There have been a number of enhancements to the eStudent part of the system in this release. The areas that have been enhanced are: The Leave of Absence application for Coursework students. Students now select by start and end study period rather that having to enter specific datesThe Enrolment Declaration has been updated to include information regarding the new Student Services or Amenities FeeThe Study Plan has improved usability features added A confusing error that was displaying on the Graduation Invite has been addressed

Clash-free start & return selection will allow students to select actual study periods instead of nominating approximate dates.11Student Systems and Business Support (SSABS)

The confirmation screen displays the true dates for the chosen study periods.11Currently students have to enter a start and end date for their leave request. These dates should reflect the start and end dates of the study period (eg. Semester 1), however students often dont know the exact dates and enter what they think are the appropriate dates. This leads to staff having to spend considerable time adjusting the dates. If they are not updated it can impact on the students future enrolments. The new release now requires the student to enter a start study period and a return study period. The correct dates are then associated with these study periods which alleviates the need for staff to manually adjust the dates. Students cannot change these dates.-The system nominates the correct actual date, e.g.: student selects 2012 Semester 2; system enters 23 July 2012 on the LOA application screen.

Revised to include the new student services or amenities fee.

12The Student Services and Amenities Fee is a new fee that has recently been passed by Australian legislation. Universities are to charge a compulsory Student Amenities Fee from 2012 onwards which will -Support a range of student services such as sporting clubs, accommodation and employment advice, and health and welfare.Students will be able to defer payment of the fee through the SA-HELP system until they are earning a decent income, similar to HECS-HELP.

The Enrolment Declaration has been updated to include the Student Services and Amenities Fee.

Graduation Invite Error FixedStudents will no longer get this confusing error when responding to their Graduation Invite.

15Student Systems and Business Support (SSABS) The search button in the eStudent Study Plan is causing an application error when students click on it- Workaround available

Study PlanThe purpose of the search button was to set the criteria for the availabilities that will be displayed in the study plan. It sat between the text and the study plan. However, in the latest version this button was causing an Application Error. This button has been removed for the moment as the selection criteria is preset and the button was not necessary.

9Student Systems and Business Support (SSABS) Incorrect Error and warnings appear when New Zealand citizen is updating permanent address to New Zealand- Workaround available

AdmissionsAn error message prevents a New Zealand address from being copied on to the Permanent address type for a New Zealand citizen in both eStudent and ISIS, triggering the following error message: "The Permanent address should be within Australia as the student is a permanent resident. (S13616)". In ISIS, this is triggered as a warning rather than an error and the address can be saved. A New Zealand address can be directly entered as a Permanent address, but triggers this warning message in both eStudent and ISIS: "Warning: The permanent address should be within Australia for a non-international student."

You can now select Multiple SSP Components at the one time to be moved in bulk to the Off Plan or Holding sections.You can now select Multiple SSP Components of the same Component Type to be Changed in Bulk to a different Component Type. That is, Core to Option or Option to Core.The Off Plan and Holding sections Automatically Resize when components are added to them to provide for Easier Viewing of details.You can change the Order of Display of components in the Off Plan and Holding sections.

18Student Systems and Business Support (SSABS)19Selecting and moving multiple SSP Components in bulkPreviously only one subject (or structure) at a time could be selected from the Structure to the Off Plan or Holding sections. Now, multiple subjects (or structures) can be selected by using standard Microsoft actions (such as shift-click, ctrl-click) and dragged to the Off Plan or Holding section.Selecting multiple SSP Components of the same Component TypePreviously only one subject at a time could be selected from the Structure prior to changing the component type (core to option, option to core). Now, multiple subjects can be selected by using standard Microsoft actions (such as shift-click, crtl-click) to have their component type changed. The only proviso to this action, is that all subjects selected must be of the same component type (ie. either Core or Option).Automatic ResizeWhen components are dragged into either the Off Plan or Holding sections, these sections will automatically resize to accommodate the extra subjects and allow a better display of the subjects in those sections. The Off Plan section can only re-size up to the size of the screen.Order of Display in the Off Plan or Holding sectionThere are 2 new links (one for the Off Plan section and one for the Holding section) that enable users to determine both the fields that they want to sort on (they can select as many fields from the displayed fields as they want) and the order of sort for each field selected (ascending or descending).

21As components are dragged from the Structure to the Off Plan, the size of the Off Plan section will re-size until it is the screen display. This allows for easier viewing of the information in this section.

Sort Order

22The sort order links are displayed under the structure (one for Holding and one for Off Plan).When you click one of these links, you get a screen with a grid that allows you to select the fields to sort by (sort item) and the sort direction (ascending or descending).

RequisitesEnrolments- Requisites

When entering a Requisite Waiver, the Times Waiver value can now be set to 1When attempting to enrol a student in a subject where they have not met the requisites, the error message returned will list the subject codes of the requisites that have not been met.A new feature is available that will display a informative message on save when enrolling a student in a subject where a Requisite Waiver has been applied that lists the subject codes of the requisites that are being waived.This is currently not implemented but can be if enough interest is shown in it. To register interest, please email to [email protected]

22Student Systems and Business Support (SSABS)23Requisite WaiverPreviously the Times Waiver value had to be set to 2 to ensure that the waiver worked. This bug has been fixed and now the value can be set to 1. The default value will be set to 1 (was previously set to 2 to cater for the bug). This value indicates how many times the waiver can be used. A requisite waiver is used to enable a student to do a subject where they have not met the pre-requisites for that subject.Enrolling in subjects where requisites have not been metPreviously the error message would just say requisites have not been met but didnt include subject details. So, if there were 3 requisites not met the same error message was listed 3 times. Now 3 error messages will be listed but each message includes the subject code affected. New featureThis feature has not been implemented as part of 4.9 but it can be if there is enough interest shown. To register interest, email the ISIS Helpdesk. This is a useful feature as it will list the details of all subjects that have been affected by the waiver.

24On the Requisite Waiver screen, the Times Waiver Can be Used will be defaulted to 1. This fixes a previous bug where it had to be set to 2. By setting the value to 1, you are stating that the waiver can only be applied once.

Requisite Error MessageRequisite Informational Message25Requisite Error MessageFor each requisite that has not been met there will be an error message that lists the subject code. It also lists the subject code that this subject is a requisite for.Requisite Informational MessageIf implemented, will least all requisites that will be waived by the Requisite Waiver applied. To express interest in this feature being enabled, email the ISIS helpdesk.

New Outcomes, such as Awaiting Documentation, can be configured. These would provide greater flexibility during the assessment process and enable better tracking capabilities.

Provision has been made to Attach Documents in the future.

There is now the possibility of setting up new outcomes such as Awaiting Documentation, that will allow greater flexibility during the assessment process and also enable better tracking of all applications via the search.The determination of any new outcomes lies with the Business Owner, currently Heather Thomas. Contact Heather if you have any ideas that you want considered by the Business.Attaching DocumentsA new section has been added to the screen that can be used for adding documents (and viewing previously added documents) relevant to the application (for example, a transcript from another university). The functionality to actually add/view the attachments is not available at the moment but will be sometime next year.

Provides the ability to limit the maximum credit point enrolment that students may undertake across a given year.Profiles will be configured to cater for different course study patterns:Where the course includes a separate Summer periodStudents will be prevented and staff will be warned when they attempt to enrol in:More than 25% of the maximum course points in summer (1/1/12 26/2/12)More than 50% of the maximum course points in semester 1(27/2/12 30/6/12)More than 50% of the maximum course points in the semester 2(1/7/12 31/12/12)Where the course only includes a First half year and a Second half yearStudents will be prevented and staff will be warned when they attempt to enrol in:More than 50% of the maximum course points in the first half year (1/1/12 30/6/12)More than 50% of the maximum course points in the second half year (1/7/12 31/12/12)

EnrolmentsAlternatesIf a student has been granted permission to enrol in one subject rather than the standard subject for that structure, the Select Alternates link in the Study Plan allows staff to enter alternate subjects in a list that o the students can then access (the list) in eStudent and thus self-manage their enrolment. The Alternate flag allows a staff member to directly replace the standard subject with the alternate subject. Both the Select Alternate link and the Alternate Flag cause an Application error in the new version. The work-around is for the staff member to replace the standard subject on the plan with the alternate subject on the plan (either by add/remove/maintain structure or overtyping the subject code).

31The main change in SPP Work Submission is that all changes to the Work Submission Date now require an Action Reason to be entered at the time of change and a history of all changes made (and why) will be available. This relates to changes made to the Work Submission Date by the system due to other actions (Enrolment in the research subject, the approval/modification/deletion of leave of absence, the entry/modification/deletion of the EWS date against the planned research subject) and all changes made to the Work Submission Date manually by staff.The screen has changed its display to cater for these changes.The action reasons available in the pull down reflect the Action selected (either Modify Expected Work Submission Date or Submit Work).

32On the Study Plan screen, the link to set the Start Date for the research subject has changed. It is now called Maintain Dates, previously it was called Maintain Expected Start Date.When selected it now shows a grid where the user needs to select the date type. They should always choose Commencement Date. At present several different date types display but the only one that we want they to use is the Commencement Date. It is hoped that next year the display of the other date types will be removed. This link should only be used for research subjects.The date set will be updated on the Student Study Package screen in the Dates section.

Duplicate Leave of Absence records are not being created.33Previously, when there were Leave of Absence records against the Converted From course, the course conversion process was duplicating these Leave of Absence records against the Converted To course. This was causing problems with the setting of the correct Commencement Date on the Converted To course. Now, any Leave of Absence records on the Converted From course are not being duplicated to the Converted To course.

33Student Systems and Business Support (SSABS) Display of EFTSL information in Enrolment Periods Detail

34The Normal EFTSL information is now displayed as the top line in the grid. It is Normal EFTSL information that users are interested in as it shows the EFTSL that is being consumed in the selected Enrolment Period (year and period first half or second half). Previously, the FEC EFTSL row was the top line in the grid. This shows the EFTSL that is outside the funding arrangements. Although important, Melbourne University does not usually allow students to consume EFTSL outside their funding arrangements. It is really only relevant when you are looking at the end of their funded candidature.

35On both the RHD Supervisory Load Search and the RHD Students by Organisational Unit Search the One Of operand works on any criteria selected. Previously, if the One Of operand was selected for particular criteria (eg. Supervisor Position) and you then selected multiple values, the values were not returned to the screen , it stayed at the default values.

In an online scholarship application, when a mandatory question is not answered, and the application is submitted with error, any documentation attached will disappear - Workaround available ScholarshipsThe 'Reward Application transaction no longer displays the record navigator when retrieving details from the 'Reward Application Search transaction. User will need to choose from the search list rather than the power navigation (bottom left hand side of screen no longer there)The mandatory questions will have to be answered and documents will have to be reloaded onto the reward application

Database duplicate key exception triggered during study package result sheet import - Workaround available Results & Progress1.Study period bulk ratification & Study period requisite checking cannot be run for all versions of a course where ALL of the versions of the Parent Package are phasing out. Users running these processes for courses phasing out will need to run the process for each and every versions.

2. Study Period Requisite Checking will allow you to delete the version number when a Parent Spk Cd (for a course with at least one active version) has been entered in o the function, but the process automatically inserts the highest version number when you select to Submit Request to Server. It then runs the process only for the version it has selected. The log file also doesnt record the version number for the study package, and therefore it is not known what version the process has been run for.

3. Failed attempts are not removed from the study plan when a post-requisite of that subject cannot be removed from the study plan by this process. This occurs when the requisite checking process is run after the last withdrawal date on the post-requisites study package availability.

Testing and UAT for 4.9 has identified an error for some students when testing the import study package result sheet file. These students will not load but can be loaded manually through the grade and mark screen or the certification screen. The log file will clearly indicate the students with the errors.

Staff View of Student Timetable: Staff will now be able to view what a students timetable looks like. It gives a much better understanding of the students timetable as opposed to the current version which is in a grid format. Allow Automatic Class Allocation Function: This relates to the Study Package Timetable Activities. This enhancement will provide the ability for any student remaining on a waiting list after it has been closed to be automatically assigned a place in the class that they waitlisted for when a place becomes available. This is an option if the Allow Automatic Class Allocation option has been checked on that activity. This enhancement will allow the University to manage waiting lists by closing them at an appropriate time without leaving the student languishing on a wait list while places become available in the class that they are waitlisted for. The current functionality prevents the University from closing waiting lists quickly and effectively without continuous management (e.g. removing students from the waitlist first before closing the waitlist).

45The NEW Staff View of Student Timetable does actually look like the students timetable. The users will have a read-only view. If they want to register/un-register students from classes, they will have to do it through ISIS. The new view is very user friendly from a students perspective. The new timetable page has a very rich user experience, user friendly, and sections can be hidden by the user on the current page. The new page defaults to the latest Study Package for the Year and Semester. Information about Class Streams, Class Tuitions, Registration Statuses and Classes that are swappable is all available from the one screen.

Student Systems and Business Support (SSABS) Timetable - Allow Automatic Class Allocation

45When a waitlist is closed and there is at least one student waitlisted, the staff can choose to use the Allow Automatic Class Allocation function that will automatically allocate the student into the class when the place becomes available. Currently ISIS doesnt allow the automatic allocation if the waitlist has been closed and the staff has to do this manually.

Search Function: When you search for a screen in the sidebar Search, adding a space at the end of text will include that space in the search. For example, searching for "Study Plan " with a space will not locate the Study Plan function, but searching without the space ("Study Plan") will locate the Study Plan function.Study Plan: Users are now only prompted for a new approval where the structure itself has changed (ie: points change). Where there has only been a change within the existing structure, the previous approval status is displayed and the user is now asked it they'd like to continue with this. I believe this is how this screen should always have worked. Separate Screen Instances: Multiple windows can now be opened in the same instance of the application via the function search. This means that separate windows can be placed on each screen if the user has multiple monitors.
