Welcome to Imperial College London, one of the world’s leading centres of excellence for the teaching and
research of science, technology and medicine, and one of the UK’s largest academic conference venues.
At Conference Link, the College’s official conference office, an outstanding choice of conference, banqueting,
exhibition and accommodation facilities awaits the event organiser who seeks an atmosphere of academic
excellence in two unbeatable and distinctive central London locations.
South Kensington campus
The main College campus in South Kensington is
situated in one of London’s finest locations, adjacent
to such landmarks as the Royal Albert Hall and the
Science, Natural History and Victoria & Albert Museums
with Harrods and Hyde Park just a short walk away.
Few locations offer such a diversity of attractions and
amenities. Where else could you find, on the doorstep
of an affordable conference venue, such a breadth of
culture with museums, art galleries, theatres, concert
halls and historical places of interest to visit?
Charing Cross campus
The College’s Charing Cross campus is situated
in Hammersmith, about 3 miles from Imperial’s
South Kensington campus, and provides year round
meeting facilities in a purpose-built self-contained
conference centre.
The two lions at the base of Queen’s
Tower. The Tower itself was constructed
in 1893 and contains the Alexandra Ring
of 10 bells. These bells were a gift to the
Prince of Wales (later King Edward VII),
each bell being named after a member
of the then Royal Family.
We understand that perfect synergy with your chosen
venue is essential for the success of your event and
whether you are planning a reception, banquet,
exhibition, meeting or conference, it is our aim at
Conference Link to provide you with the best possible
service every step of the way.
To make the task of organising your event even easier,
we now offer a range of additional services to both
you and your delegates, including discounted hotel
accommodation, taxi-transfers from the airport or station
of choice to/from central London, group excursions
to many of London’s famous attractions, tickets to the
West End’s hottest shows and reservations to many
of the capital’s finest restaurants.
Whilst this brochure undoubtedly acts as a good overall
guide and starting point in the planning of your event
it can, however, be no substitute for a visit to view the
extensive range of services and facilities available to
make your event a memorable occasion.
As soon as your event is confirmed, a conference
co-ordinator will be assigned to your booking as your
single point of contact. All our staff are trained in the
meetings industry and will be able to help organise a
wide range of support services from audio-visual or
telecommunications equipment, to flowers, catering,
marquee hire, accommodation, hotel bookings and
entertainment.
During your event, an experienced event operations
co-ordinator, under the supervision of our Events
Operations Manager, will be on hand to ensure that
all details and arrangements are carried out efficiently
and on time.
If you are designing and planning promotional literature
for your event, our Marketing Manager has a wealth of
print and marketing material available for this purpose
that can be supplied in most technical formats.
If you require any additional help whilst planning your
event, we now offer a range of services that provide
extra support.
Conference Link Service
Planning any event is rarely an easy task even for the most experienced organiser, and having
complete confidence in your chosen venue is essential. At Conference Link we are committed to
providing a first rate service, from initial costings and programmes of events through to the stage
management of your event. The test for any venue is whether or not the client returns year after
year, and we are proud that a high proportion of our clientele returns regularly.
One of over 30, 3 and 4 star hotels
offered through Accommodation Link.
If your delegates require something superior to
student-style accommodation, we can offer, through our
own Accommodation Link, a range of 3 and 4 star hotels
at preferential rates. You can rest assured that each hotel
offers the best in comfort and service, having been vetted
by our team, and that each hotel has been specifically
chosen for its proximity to our campuses.
Through a reputable industry partner we can arrange
car and taxi transfers for individual delegates or groups
from all of London’s major airports and train stations
to our Halls of Residence or hotels. Reserving a car for
international delegates could not be easier. All they have
to do is fill in the on-line request form located on our
website and we will arrange their transfer at their
convenience.
No visit to London would be complete without taking
in a show or the sights. Not only can we boast that we
have 5 national monuments on our doorstep but also,
through our box-office service, we are now able to offer
theatre tickets to the latest West End shows or excursions
to London’s major tourist attractions either on an
individual or group basis.
Many of these attractions are just a short Underground
journey from South Kensington Tube Station. Alternatively,
we would be happy to arrange appropriate transport for
you and your delegates.

Sophisticated presentation standards are now expected
at most events. Conference Link can provide audio-visual
production technicians to manage or support any
technical aspect of your event. Combining extensive
production experience with an intricate knowledge
of what works best in our venues, they will provide
invaluable professional assistance where appropriate.
Imperial’s South Kensington campus offers a range
of lecture theatres, with capacities ranging from
49 to 750, equipped with all the technology you need
to work effectively. The majority have seminar rooms,
catering, exhibition and registration areas conveniently
located nearby.

opposite The Great Hall is multi-purpose,
providing seating for 750 theatre-style
or 415 sq. metres of exhibition space.
Retractable seating provides a variety
of flat floor and tiered seating options
for conferences, with each seat enjoying
an uninterrupted line of vision.
One of our concourse areas available for exhibition and
poster displays. Modular shell stand schemes, exhibition
boards or just baized tables can provide the ideal
showcase for your products.
The College has over 200 meeting rooms, lecture theatres and classrooms, all of which
are centrally located on campus. Our single largest venue, the Great Hall, seats up to 750.
The foyer areas of our larger lecture halls can provide space for exhibitions and refreshments.
The use of our conference and meeting room facilities is possible not only during vacation
periods, but at weekends and evenings throughout the year.
Conference and Meeting Room Facilities – South Kensington
For the event requiring even more
space, the 1,600 sq.metre Queen’s
Lawn at the very centre of the
campus is the perfect site for a
marquee. This can be used either
as a stand-alone option, or as an
extension to our main dining and
exhibition rooms.
Our dedicated team of technicians will rig and de-rig conference
rooms, co-ordinate your presentation requirements and be happy
to assist and advise on the right equipment for maximum impact.
Meetings, breakout sessions or workshops
can be accommodated in modern or
traditional-style seminar rooms. The
majority of these enjoy natural daylight
and full blackout facilities, with capacities
ranging from 12 boardroom-style to 96
classroom-style. On-site catering means
that many of these rooms are suitable not
only for working lunches but also breakfast
meetings, either as part of your conference
programme or as stand-alone events.
above All of our main lecture theatres can be
linked for interactive video-conferencing. For smaller
meetings a dedicated video-conferencing suite for
up to 25 individuals is located on campus.
Organisers often require a university
to provide the setting and the basics
only. However, if required, our
approved stage-set contractors
will enhance the success of your
presentation with state-of-the-art
staging, lighting and sound systems.
Imperial’s Charing Cross campus is situated in Hammersmith, about 3 miles
from the College’s South Kensington campus. Year round conference facilities
include two fully equipped, air-conditioned lecture theatres (capacity 320 and
200 respectively) together with adjacent seminar rooms and concourse areas
suitable for exhibitions, catering and registration.

equipped with in-situ tele-conferencing, recording
and broadcasting facilities. Fully qualified technicians
are present throughout all events.

Beit Hall (available Easter and summer vacations)
Located on Prince Consort Road, next door to the Royal
Albert Hall and moments away from Hyde Park, Beit Hall
is one of Imperial’s oldest and most historic buildings.
Whilst retaining its historic ambience, this Grade II listed
building has recently undergone an extensive
refurbishment and upgrade.
Beit Hall offers 210 twin/single en-suite student study
bedrooms and 52 single student study bedrooms with
shared bathroom facilities, accommodating a total of
369 guests per night. Those rooms that do not enjoy
en-suite facilities share bathroom and/or shower facilities

Accommodation
The location of our Halls of Residence is the envy of many of the capital’s finest hotels, and is
the preferable choice for the delegate or guest on a keener budget. The majority of these Halls
are situated in the peaceful setting of Prince’s Gardens on the main campus, and Prince Consort
Road (adjacent to the Royal Albert Hall), with Pembridge Gardens, our other Hall of Residence,
located a short walk away in Notting Hill.
Prince’s Gardens (available summer only)
The majority of our bedrooms in South Kensington are
located in the parkland setting of Prince’s Gardens with
the conference and catering facilities of the main
campus situated just across the road. Prince’s Gardens
has 596 single, 47 twin, and 7 triple student study
bedrooms, all with washbasins and shared bathroom
facilities, accommodating a total of 711 guests per night.
Many of the rooms offer views over the garden square.
As with Beit Hall, all of Prince’s Gardens’ rooms are
good-sized and offer complimentary tea and coffee,
as well as toiletry packs and fresh linen on arrival.
Each room enjoys a regular housekeeping service,
full concierge service until 7pm and 24 hour security.
Each room shares bathroom and/or shower facilities
with 3 other rooms.
Delegates are welcome to use the garden
square at their leisure after a day’s
sessions. During the summer it provides
the perfect location for a relaxing alfresco
drink purchased from the College’s
Southside Bar.

Pembridge Gardens (available summer only)
Situated in one of Notting Hill’s prettiest and quietest
streets, our Hall of Residence in Pembridge Gardens is

including Portobello Road Market. Notting Hill boasts
some of the capital’s liveliest bars, cafés and restaurants,
with Oxford Street, London’s main shopping thoroughfare,
and the West End, London’s entertainment capital, just
a few stops away by Underground or bus.
Mews Houses and Guest Rooms (available year round)
If you require a larger base for your conference
operations or if your group will be here for a longer stay,
then perhaps your organisers would benefit from staying
in an apartment or mews house on campus. We have a
choice of one and two-bedroom units that are fully
furnished and include all the features of a serviced
property such as direct dial telephone, colour TV, fully
equipped kitchen and housekeeping service. Alternatively,
there are a small number of guest rooms available
throughout the year, at very reasonable rates.
The majority of our South Kensington bedrooms are located in the
parkland setting of Prince’s Gardens with the conference and catering
facilities of the main campus situated just across the road.

Banqueting and Conference Catering
The professional team at the College, headed by our Executive Chef, offers a high standard of
service and flexibility. Whether you are organising an event for 20 or 750 guests, the catering
is an integral part of the arrangements and is often remembered long after the day. Every time
we stage a function for you, we are conscious that it is your reputation for generous hospitality,
smooth organisation, good taste, meticulous time-keeping and innovative thinking that are the
measures of your event’s success.
We offer a variety of catering options to suit your
timetable, taste and budget from pre-plated meals,
working breakfasts and lunches, to cocktail receptions
and gala dinners. For the organiser who chooses
not to include catering in a conference package,
vouchers for counter service and shops might be
an attractive alternative.
Imperial’s main dining facilities are located in the
Sherfield Building, close to our main meeting rooms,
ensuring that valuable time is not lost between
sessions for either you or your delegates.
170 Queen’s Gate
170 Queen’s Gate is the College’s exclusive venue for
the smaller gathering that requires a touch of grandeur.
Designed by Norman Shaw in 1889, ‘170’ still retains the
grace and elegance of its early days, providing an historic
atmosphere for meetings, receptions and dinners.
Formal dining at 170 Queen’s Gate is provided by the
in-house Chef, whose sole responsibility is to provide
mouth-watering dishes for exclusive private functions
of up to 64 guests.
End of Conference Events & Dinners
Conference Link is always pleased to offer ideas and
suggestions for a memorable occasion either on campus
or further afield. If you wish to finish your conference on
a high note, why not consider booking a dinner-dance
cruise along the Thames or a pre-theatre dinner package
and show through Accommodation Link?
Our range of menus and refreshments are designed
to cater for the various dietary requirements and
differing tastes of the thousands of delegates who
visit the College each year.
Our staff are happy to ensure that the smallest details,
so important to the success of your event, from the flower
arrangements and the table dressings to the room
decorations, are undertaken to the highest of standards.
The Senior Common Room’s Café Bar, located opposite our
Great Hall, provides a convenient rest stop for delegates to
relax and network with colleagues between sessions.
The Café Bar is fully licensed and serves a selection of hot
and cold drinks, snacks and pastries throughout the day.
Late licences are available by arrangement either as a
stand-alone option or as part of a dinner or banquet
held in the Senior Common Room.
‘170’ is more than just a venue for exclusive dining, the Solar Room (end picture) is available for
afternoon teas and receptions, whilst the Council Room (above and below) provides an impressive
setting for breakfast meetings, sales seminars and staff training.

Campus Facilities, Sport and Local Recreation
All guests are welcome to make use of the extensive facilities available on campus, which are
situated within a short distance of our main Halls. As well as offering a range of facilities on-site,
Imperial’s South Kensington campus is at the centre of a cultural heartland dominated by prime
examples of Victorian architectural splendour. Add to this the convenient transport links that we
enjoy to London’s main shopping and entertainment districts and it is fair to say that our
location is the envy of many of the capital’s finest hotels.
For the smaller gathering, the College’s Boathouse,
located at Putney, is available for hire – ideal for
corporate hospitality at the Oxford-Cambridge Boat Race.
The Royal Albert Hall is 1 of 5 national monuments
located a short walk away from our Halls of Residence.
Dedicated to the Arts and Sciences, it was completed
in 1871. Although the Hall is host to numerous festivals,
exhibitions and sporting events, it is best known for
its concerts. The most famous of these are the BBC
Promenade Concerts, known as the “Proms” that have
been held at the RAH since 1941 and run throughout
our summer conference season.
Guests searching for that something special to take
home with them can take advantage of various shops
located on campus, whilst Harrods and Harvey Nichols
are located a short walk away in Knightsbridge. Sloane
Square and the King’s Road, London’s most fashionable
area for shopping and dining, is just a single stop from
South Kensington via the Underground.
Imperial’s Sports Centre, located in Prince’s Gardens,
offers, for a nominal charge, a range of facilities including
a jacuzzi, sauna and steam room. The more active are
welcome to indulge their competitive nature in 1 of 4
squash courts, or maintain their fitness in the Centre’s
fully equipped air-conditioned gym and 25 metre heated
swimming pool. Due for expansion, additional facilities
at the Sports Centre from 2005 will include a 5 court
sports hall, state-of-the-art climbing wall, aerobics/dance
studio, treatment rooms and juice bar.
Sport has always played an important part of College
life, with Imperial enjoying a fine tradition of success
in hockey, fencing, rugby, football, volleyball and rowing.
We are proud to count as members of our Sports and
Leisure Department, Olympic Gold medallists and Great
Britain coaches.
Their expertise is available to those searching to
motivate delegates or foster team spirit either through
corporate sports days, held at Cobham, Harlington
or Teddington or as motivational speakers as part
of a conference dinner.
Snacks are available at several cafés
and outlets throughout the day, with
the Southside Shop, located in Prince’s
Gardens, offering a selection of pizzas,
warm savouries, newspapers and
refreshments until late evening.
Located underground, the College’s
award-winning bar in Prince’s Gardens
offers a relaxed atmosphere, whilst
retaining many of the features you
would expect of a traditional London pub.
College shops, located on campus, offer a variety of gifts, stationery and souvenirs.
Bookworms may prefer to browse around Waterstones, located in the main library.
Additional facilities on campus include a bank, health centre, hair salon, and travel agency.
If you need to foster team spirit look no further than Imperial.
