Accounting Technicians Ireland,formally IATI, was founded in 1983 andhas since established itself as theleading professional body forAccounting Technicians in Ireland,representing over 10,000 peopleworking and studying in the

profession.

By 2010 the not for profit organisationwas beginning to feel the strain of interacting with customers via paperforms and recognised that futuregrowth was dependent onimplementing a more robusttechnology.

They wanted to provide a morestreamlined service to their members,students and partners and required acomplete solution that would providecomprehensive functionality as well asintegration between their financialsand CRM system.

They were losing time to admin,processing documents manuallyresulting in a severe time lag in termsof registration to confirmation.

There was no integration between thefront end system and the back end.

Application forms were received inpaper form and manually inputted tothe system, a process which took weeksand sometimes months to complete.Student and member records, accountand exam history were all in paperform.

SAP BUSINESS ONE STOOD OUT FROMTHE CROWD

Having gone out to tender theorganisation shortlisted a number of solutions, one of which was SAPBusiness One.

What stood out to Oliver O'Kelly, the ITDirector, was the comprehensivefunctionality that could be configured

to meet their needs over time that SAPB1 offered as well as the out of the boxIntegration enhancement availablefrom IIS.

"Intelligent Essentials Integration waskey to our decision. A lot of other

financial systems didn't have the level of integration available to us... Integrationwas out of the box with IIS and that waslargely our reason for going with SAPBusiness One ."

FROM PAPER BASED TO 24‐7

SAP Business One and IntelligentIntegration have provided a substantialnumber of benefits to the organisationsince the implementation andintegration in 2010.

"It's completely streamlined administration and financial processing.Prior to SAP Business One we had a

paper mountain to process and now interactions are all online," says Oliver.

Students and members can now applyfor courses online, receive instantconfirmation, view and purchase coursematerials, update their own personalrecords, and view exam history.

The application process which tookweeks and sometimes months is nowcompleted within days. Applicationsfeed directly in to SAP Business Oneusing Intelligent Integration,automatically they are queued andsubsequently reviewed by one memberof staff.

"In 2010 it took 3‐4 days for a full audit to be completed and for the paper trail to be followed. In 2011 it was completed within 3 hours".

"The key benefit for us has been the fact that we have gone from being a paper based organisation to a 24‐7 organisation. People can now focus onroles other than just handling paper, "

says Oliver.

Communication is now instantaneous aspeople can register online, book their

exams etc...and receive immediateconfirmation rather than having to call upand request updates.

The organisation can now quickly pullreports at the end of the month. Theyhave confidence in their accounts and caneasily feed information back to the boarddepicting exactly what has been received.

SMOOTH IMPLEMENTATIONEXPERIENCE

Having deployed many different softwaresolutions and also having worked withSAP in a larger orgnisation, Oliver says theimplementation of SAP Business One withIIS was the smoothest he's everexperienced.

A key factor in the success of theimplementation has been the

involvement of the IIS team and theongoing support received from thededicated team.

"The IIS guys are always at the end of the phone. Often they have the answer immediately and if they don't they get back to you very quickly ," says Oliver.

THE RIGHT DECISION

Over the last couple of yearsAccounting Technicians Ireland hasundergone a complete transformation.Processes that took weeks and monthsto complete are now accomplishedinstantaneously.

"I would have always had the view that SAP was a large scale solution for big organisations....but we're a small organisation, we have 20 people,10,000 active customers and a lot

going on...We definitely selected theright solution ," says Oliver.
