Understanding Scan StationScan Station is Windows-based software that connects to a scanner for processing student test forms. It communicates directly with Achievement Series for printing plain paper test forms as well as scanning and pre-slugging both OMR and plain paper test forms.

See “System Requirements” on page 4 for Scan Station workstation requirements.

Interactive ScanningEnvironment

Scan Station provides an interactive scanning environment that:• Supports login and user security

• Checks for multiple and omitted marks

• Supports single sheet scanning as well as batch scanning

• Has interactive editing and corrections of incorrectly marked forms

Plain Paper Scanning With plain paper scanners, Scan Station:• Prints customized plain paper student response forms

for each version of the test

• Prints generic plain paper student response forms

• Supports multiple versions of each test

• Supports pre-slugging test IDs and student IDs on custom plain paper test forms

• Supports multiple choice, true/false, short response, gridded response, extended response, and multiple response questions

• Supports up to 200 questions or 4 pages per test form

Installing Scan StationNOTE: If you are running an earlier version of Scan Station,

you must download the new version to take advantage of the updated scanning features.

CAUTION: You cannot use Scan Station to scan forms created with earlier versions of Scan Station. Be sure to scan all existing forms before downloading and installing the new Scan Station version.

System RequirementsPlease see Achievement Series System Requirements on the Documents tab inside Achievement Series for detailed system requirements.

Access RightsScan Station is User Account Control (UAC) compliant. Once Scan Station is installed, any of the following user accounts can open and use it:• Restricted User (Windows XP)

• Limited User (Vista)

• Standard User (Windows 7 x86 and x64)

Connection to Achievement Series

If you are not using a proxyserver

Scan Station always and automatically connects to admin.achievementseries.com (IP address: 216.154.250.216). You do not need to configure Scan Station to connect to this server.

If you are using a proxyserver

Configure your proxy server to allow all pages from the following sites through without being filtered:• docs.achievementseries.com

• test.achievementseries.com

• admin.achievementseries.com

Supported ScannersPlease see Achievement Series System Requirements on the Documents tab inside Achievement Series for a complete list of supported scanners.

Please see Achievement Series System Requirements on the Documents tab within Achievement Series or contact a Scantron representative for more information on supported forms for these scanners.

Internet Connection• Full T1 or better Internet connection (1.5 Mbs/sec or

higher)

• Ports 80 and 443 open to the Internet

NOTE: All software associated with Achievement and Performance series requires an Internet connection

Because Scan Station requires a connection to Achievement Series, schools must have a solid, high-speed, and reliable Internet connection.

Installing Scan StationYou must download and install Scan Station on each workstation where staff will scan test forms. The workstations should have a supported scanner connected.

Downloading Scan Station1. Log in to Achievement Series and select Site

Administration.

2. Click Download Scan Station.TIP: Save Scan Station to its own download folder.

Installing Scan StationTo download and install ScanStation on a single computer

1. Locate the folder where you saved the Scan Station download.

2. Double-click the executable file you downloaded.

3. Follow the directions on-screen.NOTE: Be sure to install the scanner driver and any

scanning software that comes with the scanner before logging in to Scan Station for the first time.

TIP: Create a Scan Station shortcut on the computer desktop:a. Go to Start All Programs and locate Scan

Station.b. Right-click Scan Station.c. Choose Send To Desktop.Now, whenever you need to run Scan Station, double-click the Scan Station shortcut to launch the program.

To download and install ScanStation silently (e.g., over a

server to multipleworkstations)

1. Locate the folder where you saved the Scan Station download.

2. Open a command window, navigate to that folder, and type the followingsetup.exe /r

The installer starts. Follow the instructions above to install Scan Station to the server.CAUTION: Do not skip this step. If you do not install

Scan Station to the server, the ISS file will not contain the path information necessary for the silent install.

3. In the command window, type:setup.exe /s /f1"[location] setup.iss"

NOTE: Be sure to include the path and file name of the response file (setup.iss) in the f1. This is the file you created in step 2, above. The installer stores it by default to C:\Windows, although you can move it if you need to.

CAUTION: If you installed a previous version of Scan Station in a folder other than the default, you may end up with two installations of Scan Station. Remove one of them.

NOTE: Be sure to install the scanner driver and any scanning software that comes with the scanner before logging in to Scan Station for the first time.

Configuring Scan Station INI for Plain Paper ScannersScan Station reads its scan settings from a INI file, to ensure that any settings users may have changed when using the scanner for other purposes do not affect the accuracy of mark recognition.

Do not change these settings unless you are having trouble getting accurate mark recognition on forms (that is, you’re seeing a lot of no mark or multiple mark errors).

Upgrading, Reinstalling or Uninstalling Scan StationIf you are upgrading Scan Station from a previous installation, the installer presents Modify, Repair, and Remove options.

Modify (Upgrade) This option will install a new program version and move all read/write files (the scanned input) to the appropriate folders for your operating system, if necessary, to make them available to the end user. It will then delete the old folder structure and any configuration files. Program files and read-only folders and files will remain in the old folder structure.

TIP: You can restrict read/write access to the Scan Station application folder after you upgrade.

TIP: Performing this task after you uninstalled an old version and reinstalled a new one will also move the read/write files and folders.

See “Access Rights” on page 4 for details on which folders are affected and require which access.

Repair This option reinstalls all program and configuration files for the current installed version, but does not move existing scanned files. Files scanned before and after the repair remain in their original folders.

Remove This option removes all program and configuration files and folders, but scanned input files and program logs (calibration.log and scanstation.log) remain in their original folders.

Downloading Additional ApplicationsYou will need the following applications to run Scan Station.

Adobe ReaderAdobe Reader is free software that lets you view, print, search, and share Adobe Portable Document Format (PDF) files more securely using a variety of platforms and devices.1 This and other documents available from Achievement Series web site are presented as PDF files. You must have Adobe Reader 6.0 or higher.

To download and install AdobeReader

1. Open a browser and go to http://www.adobe.com/products/acrobat/readstep2.html.

2. Follow the instructions on-screen to download and install this reader.

Microsoft .Net FrameworkScan Station automatically downloads and installs the most recent version of Microsoft’s .Net Framework.

Logging in to Scan StationTo log in to Scan Station 1. Double-click the Scan Station icon on your desktop or

choose StartAll ProgramsScan Station:

1. Enter the School Site ID.

2. Enter your Staff ID.

3. Enter your password.

4. (If required) If the site uses a Proxy Server, click Proxy Setup and enter all required proxy information. Proxy servers are typically used to filter web site requests. For example, your school might use a proxy server to prevent students and/or staff from accessing particular web sites. Contact your school or district network specialist.

5. Click Login.

Configuring Scan StationYou can configure Scan Station to support OMR or plain paper scanning, depending on the scanner you have.

Can I use a single Scan Stationcomputer with more than one

scanner?

Scan Station does not support multiple scanner configurations on the same computer. If you have more than one scanner, set up a separate Scan Station computer for each one.

Configuring for Optical Mark Reading ScannersTo configure Scan Station for

OMR scanning1. Connect and turn on the OMR scanner and verify that

the scanner is ready to scan.

See your scanner’s documentation for more details.

2. Log in to Scan Station (see “To log in to Scan Station” on page 9):

3. Click Optical Mark Reader Scanning then click Select.

4. Click Next:

5. Select an OMR form option:• Select Standard Form and choose a form

definition if you are using standard forms.

• Select Custom if you are using a custom form you obtained from Scantron, then click Browse and locate the form configuration file (a .800 file).

6. Click Next:

7. If your school uses a proxy server, check Use Proxy and complete the required information. NOTE: If you set this up when you logged in, Scan

Station will display the settings you entered there. Review and confirm these settings, changing them if you need to. Your changes are saved to the system, and Scan Station will use these the next time you log in.

8. Click Next:

9. Make sure your scanner is turned on and click Detect.

If the scanner is detected successfully, click Next.

If the wizard does not detect your scanner, turn the scanner off, check that the scanner cables are firmly connected, turn the scanner back on and try again. If the scanner is still not detected, contact Scantron Technical Support.

10. Click Finish.

To configure your scanner toaccept standard forms

preslugged using a laserprinter

2. Select the Preslug Calibration tab:

NOTE: Preslugging is only supported for standard Achievement Series OMR forms.

a. Click Printer Calibration:

b. Click Select and select the printer you will use to preslug OMR forms.

This printer may be directly connected or it may be connected via a network. Either way, you must choose from the printers set up for this computer.NOTE: Selecting a printer here serves to identify the

printer you have calibrated for OMR forms preslugging. You will always select an output printer and print from an Adobe Reader pre-view screen.

c. Click Next:

NOTE: The form number is not important, just the form size. Use the sample forms displayed to choose a format.

d. Insert a blank copy of the OMR form you selected in step 5 into the printer’s manual paper feed.

e. Click Next. This generates a PDF test slug in Adobe Reader.NOTE: Generating PDF in Adobe Reader first is a

critical step in the calibration and print process if you plan to preslug Achievement Series OMR forms. Using Adobe Reader allows you greater control over how the output is sent to the printer than sending the form directly to the printer does. Adobe Reader contains addi-tional features for sizing and aligning the form output. Scan Station presents a warning mes-sage about these features:

f. From the Adobe Reader window, select File Print or click the print icon in the toolbar

g. Verify that the Page Scaling and Paper Source options are specified as shown in the image above:

• Page Scaling = None

• Auto Rotate is not checked

• Choose Paper Source by PDF page size is checked

h. Click OK. This prints a calibration form on the specified printer. Go get that form from the printer.

i. Take the OMR Scanner form out of the printer and check the mark. Is the black dot aligned and completely covering the bubble?

• If the dot is aligned properly, click Finish to exit the calibration wizard, then OK to exit the Setup window.

You are now ready to pre-slug student forms. See “To pre-slug test forms” on page 25 for details.

• If the dot is not aligned correctly, see “Recalibrating the printer”, below.

Recalibrating the printerIf your test print did not align correctly, you must recalibrate Scan Station to account for the off-set.

TIP: Review the calibration log (calibration.log in the folder where you installed Scan Station) for details about why your scanner or printer did not pass calibration. Also see “Configuring Scan Station INI for Plain Paper Scanners” on page 7 for information about default settings.

To recalibrate a printer From the Setup: Preslug Calibration screen (shown on page 13), after an unsuccessful calibration test:1. Click Next:

2. Drag the dot on-screen until it matches the direction and amount the dot is off-set on the sample form.

3. Insert another blank OMR form into the printer’s manual paper feed and click Next.

4. Take the OMR scanner form out of the printer and check the mark. Is the dot aligned properly?

5. Click Select and select your scanner.CAUTION: You may see a Windows prompt regarding the

certification of your scanner. Simply click OK at this prompt and continue with the calibration.

NOTE: If Scan Station cannot find your scanner, the scanner may not be properly installed. Exit Scan Station, reinstall the scanner and start Scan Station again.

7. If your school uses a proxy server, check Use Proxy and complete the required information. NOTE: If you set this up when you logged in, Scan

Station will display the settings you entered then. Review and confirm these settings, changing them if you need to. Your changes are saved to the system, and Scan Station will use these the next time you log in.

8. Click Select and select the printer you will use to print test forms. This printer may be directly connected or it may be connected via a network. Either way, you must choose from the printers already set up for this computer.NOTE: Selecting a printer here serves to identify the

printer you have calibrated for plain paper forms printing. You will always select an output printer and print from an Adobe Reader preview screen when you print forms.

Once you have identified a printer, click Next:

9. Click the test form. This generates a PDF calibration form in Adobe Reader.NOTE: Generating a PDF in Adobe Reader first is a

critical step in the calibration and print process. Using Adobe Reader allows you greater control over how the output is sent to the printer than sending the form directly to the printer does. Adobe Reader contains additional features for sizing and aligning the form output. Scan Station presents a warning message about these features:

a. From the Adobe Reader window, select File Print or click the print icon in the toolbar

b. Verify that the Page Scaling and Paper Source options are specified as shown in the image above:

• Auto Rotate is not checked

c. Click Print. This prints a calibration form on the specified printer. Go get that form from the printer.

Once you have printed the calibration form and retrieved it from the printer, click Next:

Getting to Know Scan StationOnce you log in and set up scanner and printer information Scan Station provides access to scannable tests to which you have Scan Operator rights:

If you log in at a district or other top-level site, you see a list of district tests. If you log in at a school site, you can choose between scanning district-level tests and classroom tests.

The district tab displays scheduled sessions defined in Achievement Series (see the Achievement Series User’s Guide, Administrator Version, for details on setting up and scheduling district-level tests). Scheduled sessions are grouped into the same folders you use on the Scheduled Sessions tab within Achievement Series.

The list of folders and tests is up-to-date; simply click Refresh to retrieve the latest information from Achievement Series if you think the list has changed since you logged in to Scan Station.

You can expand or reduce the window size to see more or fewer tests.

Use the folders to navigate to a specific scheduled session.

Click Refresh to get the most recent list of sessions and folders from Achievement Series.

Click any of these buttons to perform Scan Station tasks.

Click List to view a simple alphabetical list of scheduled sessions. Click Folders to return to the folders view.

Administering OMR Form TestsDistrict or school staff must prepare tests before you can administer them to students. The preparation process is a little different for each type of test:• District Tests:

NOTE: For scanner-based district tests, the school may choose whether to administer the test via plain paper or OMR forms, depending on the scanner available. The results will be stored and correlated correctly regardless of which scanner form option is used.

OMR tests are pre-printed answer forms you can purchase from Scantron that can be scanned using an optical mark reader (OMR) scanner. You must have downloaded and configured Scan Station on at least one computer connected to a supported scanner to use this option. See “Setting Up and Configuring Scan Station” on page 1 for details on setting up Scan Station for OMR tests, and “Supported Scanners” on page 5 for a list of supported OMR scanners and forms.

Before the TestIf you want, pre-slug the test form to contain selected information. This helps ensure accuracy, as you do not have to count on students to fill out test information accurately.

NOTE: You must have calibrated Scan Station to correctly slug forms before pre-slugging forms. See “To configure Scan Station for OMR scanning” on page 10. You must calibrate Scan Station each time you use a different form than the form for which Scan Station is currently calibrated.

To pre-slug test forms 1. Verify that a laser jet printer is connected to or accessi-ble from the PC, and is on.

CAUTION: Scantron does not support pre-slugging answer forms on anything other than a laser printer.

3. Select the class and the test name, then click Form (or switch to the District tab and do the same):

NOTE: This screen shot shows a user logged in through a school, looking at a district test. District users see everything but the primary teacher name.

4. Select the test ID to be pre-slugged on the test forms. NOTE: If there are multiple test IDs, you must pre-slug

each one separately, choosing different students for each one.

5. Locate and click the class name. This loads a list of students for that class in the list on the right-hand side of the screen.

6. Choose students for the selected test ID:• Select the entire class at one time by clicking

Select All Students.

• Select individual students by clicking the box next to their names.

7. Click the Student ID, Student Name and Test ID boxes. This pre-slugs each form with the selected information.

8. (Optional) Enter the subject, period and date.

9. Place a sufficient number of the Achievement Series OMR forms you selected when you configured Scan Station in the printer’s auto-feeder.TIP: Depending on how your auto-feeder sends paper

through the printer’s paper feed path, you may need to experiment to load the forms correctly. Once you have identified the correct feed direction and orientation, mark a blank sample form with this information for future reference.

NOTE: If you are using a different form for this test, you must calibrate the printer to pre-slug the form. See “To configure Scan Station for OMR scanning” on page 10.

10. Click Print. This opens an Adobe Reader preview of the pre-slugging.

11. Review this preview to make sure it contains the correct information. There will be one Reader page for each form you are pre-slugging.

12. From the Adobe Reader window, select File Print or click the print icon in the toolbar

13. Verify that the Page Scaling and Paper Source options are specified as shown in the image above:

• Page Scaling = None

• Auto Rotate is not checked

• Choose Paper Source by PDF page size is checked

CAUTION: Be sure to set the print output options exactly as shown. If you change these settings, your test forms will not pre-slug correctly.

14. Choose the printer calibrated for OMR forms when you configured Scan Station (see “To configure Scan Station for OMR scanning” on page 10).

15. Click Print. This sends the pre-slugging to the calibrated printer.

On Testing DayBefore administering a Scanner Forms test, review these instructions carefully with students: • Use Soft # 2 Lead Pencils only.

• Make heavy, dark marks that completely fill the bubbles.

• Erase any unwanted marks very thoroughly.

• Do not make any notes or stray marks on the test form, particularly in the corners of the form where the special markings are printed.

• Do not fold, staple, or mutilate the form.

• Handle carefully to insure proper scanning.

Provide a copy of the test and answer form to each student.• If the test is not pre-slugged, tell students to print the

Test ID and Student ID in the boxes provided, and then fill in the corresponding bubbles.

• If the test is pre-slugged (printed for each student, with Test IDs and Student IDs pre-bubbled), give each student his or her form, then ask students to verify that the information on the form is correct.

Scanning OMR FormsScanning tests is the means by which you get student test results from scanner forms into Achievement Series. Results from different scheduled sessions and test versions will be aggregated under the Published Test in reports for district tests.

To scan OMR forms 1. Verify that the scanner is• connected to the PC

• ON

• Ready to scan

2. Prepare the test forms for the scanning process:a. First stack the forms on a flat surface to align

them evenly.

b. (If necessary for the scanner) Position the scanner’s input tray or document feeder in the loading position as described in the scanner’s operating instructions.

c. Make sure all forms are oriented as described in the scanner’s operating instructions (e.g., face up, face down, etc.), then place the forms in the scanner.

d. Align the scanner’s paper guide so it slightly touches the appropriate edge of the forms.

e. (If necessary for the scanner) Place the scanner’s paper weight on the forms.

f. (If necessary. for the scanner) Move the input tray or document feeder to the operating position.

District Tests. You can scan up to 500 forms per batch. Only non-readable forms will be ejected to the reject hopper (if one is available on your scanner). If you are checking for multiple/omitted marks, any forms with these errors are ejected to the main output bin.

• If the scanner has a built in printer, select the data to print on forms.NOTE: Printing scores is not available in Express

mode, however you may still print the date and time.

• If there is only one version of the test, you can select Block Test ID Validation to ignore the test ID on the form.

TIP: Typically, you will only need to block test ID validation if a district staff member had to re-publish and re-schedule the test (which would change the test ID) after the forms had been pre-slugged with the original test ID.

• Select an error handling mode for multiple/omitted marks:• Stop after any error

Choose this option if you want to fix marking errors (multiple/omitted marks, incorrect or duplicate IDs, etc.) as each form scans.NOTE: This option is not available in

Express mode.

• Read all forms before checkingChoose this option to scan every form without stopping. You can check and cor-rect mark errors at the end of the batch.NOTE: If your scanner is equipped with

reject trays, forms with errors are auto-matically routed to those trays.

CAUTION: If you scan more than 500 forms in a batch, Scan Station alerts you on each form after the 500th to review and save scores.

When a form with no errors scans, it goes directly into scanner’s output bin.• Student Name displays on Scan Station with a

green checkmark.

• Student’s test results can be viewed in the District and Classroom Reports.

7. After the batch of forms has scanned, you will need to address any form issues. See “Reviewing and Correcting Scanned Tests” on page 51.

8. After any errors have been corrected, stop the scanner as described in the scanner’s operating instructions.If you click Stop Scan on Scan Station, you will be prompted to stop the scanner.If you click Close on Scan Station instead the following message appears:

If you have a student(s) remaining on the Student Test List a with red error symbol by the name, that student record will be lost if you click OK now. You should only click OK if all students have green or yellow checkmarks next to their names, meaning the results have been sent to the server and are available online.IMPORTANT: If a student has either the Multiple Mark

symbol (2 red dots), the Omitted Mark symbol (red circle) or the Rejected Form Symbol (red x) by his/her name on the Student Test List, then you should click Cancel and return to Scan Station to address those errors. See “Reviewing and Correcting Scanned Tests” on page 51.

WARNING: If you click OK, those records with errors will be lost!

To print custom forms Use this option to print a customized test answer sheet for each student. The form will contain the student’s name, student ID and the test IDs, all preprinted and pre-slugged. If you are printing multi-page forms, you must print custom forms. Multi-page forms cannot be longer than four pages or 200 items.

To print generic forms These instructions explain how to print generic 80-item plain paper answer forms. The same form can be given to each student since neither test IDs nor student IDs will appear on the form.

NOTE: If you are printing multi-page scanner forms for a lengthy test, you should not use generic forms. Only custom forms support multi-page scanning.

On Testing DayBefore administering a Scanner Forms test, review these instructions carefully with students:• Use a pencil or a blue or black pen.

Scanning Plain Paper TestsCAUTION: Read “To print generic forms” on page 42 or “To

print custom forms” on page 37 before scanning plain paper tests. Be sure you have printed test forms to a calibrated printer using the correct Adobe Reader settings, or your tests will not scan.

To scan plain paper tests(generic or custom forms)

1. Verify that the plain paper scanner is connected to the PC and is turned on.

2. Prepare the test forms for the scanning process:a. If you are scanning multi-page tests, organize the

forms by student and make sure the pages are in the proper order.

b. Stack the forms on a flat surface to align them evenly.

c. Make sure all forms are facing the same direction.

d. Place the forms properly in the plain paper scanner’s document feeder or input tray, making sure the appropriate edge of the forms goes into the scanner first.

TIP: Depending on how your document feeder or input tray sends paper through the scanner’s paper feed path, you may need to experiment to load the forms correctly. Once you have identified the correct feed direction and orientation, mark a blank sample form with this information for future reference. Be sure to note that it is the scanning orientation (as opposed to any printing orientation notes; see page 42).

If you have student(s) remaining on the Student Test List with a red error symbol by the name, those student records will be lost if you click OK now. How Scan Station displays these errors and how you should address them depends on the type of scanner you are using. Click the error symbol to learn more about it.

On OMR forms For OMR forms, form errors are usually addressed during the scanning process. Scantron offers a variety of OMR scanner models. Some models have single output bins while others have multiple output bins for sorting forms as they scan.Form errors are handled in one of two methods, based on the OMR model:• Scanners with single output bins, such as the ES-2010

stop on each form error, allowing you to address the error immediately.

• Scanners with multiple output bins, such as the ES-2800, scan all forms without stopping. As forms are scanned, they are separated, with accepted forms going into one bin and forms with errors going to a sepa-rate ‘reject’ bin.

After all forms have been scanned and sorted into the appropriate bins, stop the scanner. You will be prompted to reprocess the forms with errors. To do so, put the rejected forms in the scanner and re-scan them. As the scanner rescans, it stops after reading each form to allow you to address errors.

On plain paper forms For plain paper forms, address errors after the scanning session is complete.

Searching for Student RecordsDuring the course of correcting scan errors, you may need to search for student records (for example, if there is a student ID error). Scan Station includes a search tool.

To search for a student record From Scan Station:

1. Click the binoculars icon (shown in the margin:

Correcting Multiple or Omitted MarksScan Station expects one and, unless the test item was created as a Multiple Response item, only one mark on the form for each item response. If students erase answers incompletely, or neglect to answer a question, Scan Station considers their forms to contain an error.

• Click the Reject button on Scan Station (shown in the margin). When you click Reject, the Student’s entire form is rejected. You may then re-adminis-ter the test to the student and rescan the form.

• Modify the form error then click Update. When you change a response, the Accept button turns to Update. Once you update a response, Scan Station will locate the next error (if any) in the student responses. Continue updating responses until there are no more errors.CAUTION: Maintain a Record of Modifications Made to

Student Forms. This segment deals with modify-ing and updating Student’s test answers after comparing what was read by the Scanner to the actual marks on the test form. If you decide to delete a ‘poor’ mark (from the response cell on Scan Station) that resulted in the multiple mark error, then use a red pen to circle the same answer on the test form that you retained in the response cell. It is recom-mended that you do not erase or darken bub-bles on students’ forms. Use the form with the red markings (noting any modifications) to discuss ‘best practices’ for marking (and eras-ing) bubbles on scan forms with the student.

If an item displays multiple or omitted marks on Scan Station, but after examining the student test form you conclude that the marks are a combination of one valid mark and one poor mark (such as a bad erasure), then you can remove the poor mark by clicking in the response cell and deleting the unwanted mark.

After you delete the unwanted mark, the Accept and Reject buttons (bottom right) change to Update and Undo respectively.

To correct invalid student IDs From Scan Station:1. View the Student Test List

NOTE: If you are scanning OMR forms, click OK at the error message that appears telling you that Scan Station cannot locate the specified student.

2. Click a test with a red X. The specific error message and the student’s name appear on the right-hand side of the screen (shown above).

3. Check the form or click the binoculars icon (if scanning plain paper forms) to view an image of the student name and ID:

• If you can decipher the student’s ID on the form, type the correct ID in the student ID field.

• If you cannot decipher the student’s ID, search for the student record (see “To search for a student record” on page 54).

2. Address the invalid grade level:• If the student should be allowed to take the test,

ask a school Location Controller to modify the student’s record, possibly allowing for test accom-modations where they can test outside of their grade level. See the Achievement Series User’s Guide Teacher’s Version for details.

• If the student should not be allowed to take the test, reject the test and administer him or her a more appropriate test.

Correcting Duplicate Student IDsIf you are scanning district tests at a central district scanning location, you may encounter duplicate student IDs. You must resolve these errors before Scan Station can save the scores to the correct student record.

See the table on page 52 for a list of error symbols and their meanings.

4. Select a search option:• Choose Partially Match to search for students with

similar IDs.

• Choose Exactly Match to search for only student records where the IDs match exactly.

5. Click Search.Scan Station displays any matches it finds at the bottom of the screen.

6. Click the name of the student at the correct school, then click Select.

TIP: You may need to go back and look at the test form to determine the correct school.

7. At the prompt, click OK if this is the correct student.ORClick Cancel to try your search again.

8. Click Update.

General Scanning using Scan Station

Problem Solution

When starting Scan Station the error message “Scan Station cannot connect to the URL: http://test.achievementseries.com/station.asmx” is displayed.

1. Close Scan Station.

2. Confirm connection to the Internet through a web browser.

3. Once connection has been confirmed, restart Scan Station.

NOTE: Scan Station always connects to Achievement Series via the IP address 216.154.250.216. Make sure your network router and computer can recognize and communicate with this IP address.

I get the message “Error connecting to web service” when scanning forms.

1. Confirm connection to the Internet through a web browser.

2. Verify that you are logged in to the workstation with administrative rights to the Scantron folder and subfolders. (See “Access Rights” on page 4.)

3. In the Achievement Series Admin Site, open the Test Draft and scroll through the Content tab to make sure there are no red item errors listed in the test itself.

4. Verify that your proxy settings allow you to have access to all Achievement Series pages. See “Connection to Achievement Series” on page 4 for more information.

5. Try scanning the form again.

When logged into Scan Station, there are not any test sessions to choose.

Log into Achievement Series and share the test session with the user ID at the school that will be running Scan Station as a Scan Operator. See the Achievement Series User’s Guide, Administrator’s Version for details on sharing. If you are not a district-level user, contact your district offices.

Plain Paper Scanning using Scan Station

Problem Solution

I have decided I do not want to check for multiple and omitted marks, but they are checked on the Scan screen and grayed out so I cannot change them.

Scan one form through, and then the options will no longer be grayed out. You can then uncheck them and continue scanning the forms.

When I go to the Scan Screen, the Start Scan button is grayed out.

You must first calibrate your plain paper scanner before you will be allowed to scan. See “Installing Scan Station” on page 4.

Calibration failed. Run Calibration again, confirming that the Print settings in Adobe for the Calibration sheet are not resizing the printed document. Page Scaling must be set to “None”. Auto Rotate & Center should not be checked. Uncheck all other shrink or enlarge options.

Where can I access the image of the scanned form in case I need to view the image or send it to Scantron Technical Support?

Browse to C:\Program Files\Scantron\Scan Station\scanned_images, and you will see the TIF files of all forms currently listed on the Scan screen. Save them to another file if necessary. These images will be cleared when you exit the Scan screen.

Error Message: Not Marked - There is an issue with the form ID.

Check to see if the student has written in the area at the upper right that says, “Do not mark above this area.” If so, erase the marks or use Manual Input to enter the student responses.

When I click Select in the Image Scanner Setup or Calibration dialog I see a message saying that my scanner driver is not TWAIN-compliant.

Locate a TWAIN-compliant driver for your plain-paper or imaging scanner. If you have already selected a TWAIN-compliant scanner, close the dialog box and continue with the calibration process.

All the forms I just scanned are marked with a Student ID error, but I know the student IDs are correct.

Check to see if the student IDs are longer than 10 characters. Scan Station plain paper scanning does not support student IDs longer than 10 characters.If they are, do one of the following:• Adjust the student IDs so that they

are no longer than 10 characters, then readminister and rescan the test.

• Enter the test results for each stu-dent manually. See “To manually enter a student’s test responses” on page 55 for details.

Error Message: Cannot find student with that ID at the school.

Click the binoculars icon at the upper right of the Scan screen to view an image of the student name and ID on the form. Use the search fields to locate and select the proper student. See “To correct invalid student IDs” on page 61.

If the student is not listed, go to the Admin Site and search the students to see if the student is in another school. See “To search for a student record” on page 54.

Error Message: Not Marked - Could not find all registration marks.

• Adjust the paper guides on the scan-ner to make sure the form is feeding straight.

• Make sure none of the corners of the pages are folded to hide one of the registration marks.

• Make sure all six registration marks (dots at the outer edges of the page) are visible and dark. If any of the marks are gray due to low toner, use a black pen to darken the dot, making sure not to change the size.

• Make sure the form was printed properly. Registration marks should be approximately 9/16 of an inch from the edge of the page. If the image was shrunk during printing, the form will not be able to scan. To print properly from Adobe, make sure Page Scaling is set to None and Auto-Rotate and Center is unchecked.

When I click the magnifying glass icon to view an image of a student response or the binoculars icon to view an image of the student name and ID, the image is blank.

Make sure you are feeding the form where the top part of the form enters the scanner first. If you feed the form upside down, Scan Station will still be able to score the form; however, you will not be able to view images of the student name, ID or responses.

OMR Scanning using Scan Station

Problem Solution

Received an “Error communicating with scanner” when trying to scan.

In Setup, make sure the scanner is set to the correct communication rate (at least 38400 baud, if using a Serial connection). See the scanner’s operating instructions for details.You must also have administrative rights to the Scantron folder and subfolders to change this setting. (See “Access Rights” on page 4.)

I have chosen to print data on the forms, but it is printing over the student answers or in an area where I cannot read it.

Move the ink cartridge to adjust where data prints on the form. See the scanner’s operating instructions for details.

The forms keep jamming in the scanner.

I am scanning two different types of forms, but Scan Station will not let me select a different form.

I have chosen to print data on the forms; however, nothing is being printed.

1. Verify that the ink cartridge has been properly installed. See the scanner’s operating instructions for details.

2. Verify that the printer in the scanner is working and that your scanner includes a printer. See the scanner’s operating instructions for details.

3. In Setup, make sure that Has Inkjet Printer is checked:• If it isn’t, check it.

• If it is, redetect the scanner.

4. Once the scanner has been redetected, log out of Scan Station, re-launch the application, and try again.
