1 As mentioned during the site visit there are some discrepancies and missing items in the
equipment list. Given that Appendix A Pricing Schedule list provided is locked for editing,
is it possible to get an unlocked version for the purpose of adding line items to the
equipment list. Or would you like those items added in a separate document? Please
provide direction as to how to address missing items.
- Any discrepancies are to be identified by the bidder and approved by the
consultant and the City and will be issued as an addendum.
2 There are discrepancies between the various documents provided within the RFP, being
the Scope of Work, the Floorplans, the Pricing Schedule, and the signal diagrams. We
have listed below some of the items we have found (a. thru ee.). Can the City provide an
overarching statement as to which documents should take precedence, or how to
proceed with the conflicts?
- I will have the consultant provide the clarifications and/or revisions to the
drawings and specifications by the June 6 deadline. Any remaining
discrepancies and/or conflicts will be subject to the provisions of the CCCD 2
General Conditions and CNW Supplementary Conditions.
2 REQUEST FOR INFORMATION
3 RJ45 Patch Bay list in every room equipment listed as "custom". In scope, there is 1x 24
Ports RJ45 Patch Bay asked for theater (1.14.37 asked for professional grade), all others
just ask wall plate RJ45 port need to terminate back to rack room Patch Bay. Who will
supply those patch bay and how many ports are they?
- AV contractor shall provide patch bay and size accordingly.
4 In Scope, there are wall plates in Room 307(1.6.2, 1.6.3), but it is not on floor plan
drawing. We also could not find it in system flow drawing.

3 REQUEST FOR INFORMATION
8 All plates asked for stereo inputs, however the design appears to only allow for
unbalanced signal runs to the DSP processor. These should be balanced audio runs to
avoid noise issues over distance; as such they will require balancing transformers.
Given many rooms feature only a single mono channel of speakers, we would also
suggest that transformers in these rooms sum to a single mono channel as well to
minimize costs of input channels within the DSP.

16 The Scope of Work for the Theatre projector (1.14.5) calls for an interchangeable lens,

projector relative to the screen, as such it is not possible to confirm the image throw
distance and therefore lens ratio. Please provide the distance from the projector location
to the screen.

26 There are also 3 x 46" monitors specified for the Theatre pre function area, but no
signals being fed to them from anywhere. Typically these should receive at minimum the
stage video feed, and/or potentially a digital signage feed. These monitors are not
referenced on the AV Signal drawings, nor the scope of work, but are referenced in the
Equipment list.

27 There is reference made to the capability of room Lighting control for the Main Building,
and house lighting for the theatre, from the touch panels however no information
provided as far as the systems themselves. For the theatre specification of a DMX
interface for this interface is clear, section 3.1.6 appears to suggest all lighting interface
will be RS232 implying perhaps this is the case for the Main building? Please confirm
the brand/model and design architecture of these lighting systems. Please also provide
clarity for the functionality and programming division of responsibilities, ie: is the intent
that the AV system simply recall 3 - 4 presets that are programmed and administered
within the lighting systems, or for more advanced functionality.
- AV system will recall preset from the room lighting. AV contractor to coordinate
with electrical contractor prior to install.
7 REQUEST FOR INFORMATION
28 In the Line drawings for the Theatre it shows a requirement for a 32input/8output
standard analog signal stagebox compatible with the K1 console, however in the
equipment list it states a requirement for 32 outputs, and a total of 6 digital outputs in
both AES/EBU and SPDIF formats. The Soundcraft stagebox does not support SPDIF
nor do the line drawings seem to require it, for the AES/EBU signal support it requires an
optional card. Please confirm correct requirements for the stagebox so it can be
accurately priced.
- AES/EBU and SPDIF not required.
29 The Control room Monitor speakers are specified in the Equipment list with a reference to
see drawings for the quantity, however there is no reference to these speakers in the
drawings - either the line drawings, or the floorplans.

30 Typically the AV Intercom master station would reside at the stage manager’s
console onstage in the theatre.

and Floorplan show 3 rooms, 319, 320, 326. Please confirm that one of the Room 320’s
referenced in the signal drawings is a duplicate, and that room 324 should in fact be
designated 326.

32 Drawing AV-3 shows an intercom box in the Corridor (Room 316) however this is not
referenced in the the Signal Drawings (AV-357). Please confirm the corridor input is
indeed required.

8 REQUEST FOR INFORMATION
33 Room 426, the scope of 1.13.3 is copied from 1st floor. There an 8 channel amplifier is
requested, but in system drawing and equipment list this shows as a 2 channel amplifier.
Please clarify and confirm.
- AV contractor to provide 2 channel amplifier
34 1.4.7.2 - States that the final BoM needs to be submitted 4 weeks prior to the ordering of
equipment. Based upon the project schedule this is impossible. Please confirm actual
requirements.

35 1.5.4 states we need to pay at our cost for the services of a certified professional
(engineer) for structural certification of any mounting etc. We believe this is inefficient
and would be better served by utilising the project’s structural engineer, however if not, it
is not clear on what the parameters are for what needs to be certified in order to
determine what costs we are likely to face. Please provide clarity.

- I agree. Please revise in the next addendum- “The owner will retain and pay for a
structural engineer to design the support and seismic restraint of equipment.”
36 1.6.6.4/5/6 - States we are responsible for any infrastructure like backing and structural
reinforcement, millwork, etc. if we don't flag it as missing from drawings etc. The
drawings don’t appear to indicate this, although reference was made in the site
walkthrough to the fact that all backing was in place.

- Add to next addendum –“Plywood backing for the attachment of the wall
mounted TV monitor supports has been provided.”
If this is indeed a contractual requirement, we need specification of all infrastructure that
has been allowed for.

retained and paid for by the Owner. Any additional backing, supports and/or
reinforcement of existing building elements will be undertaken by the Owner, at

doesn't make sense as a company doesn't hold a CTS designation, individuals do.
