What is Roster Validation?

Roster Validation gives teachers the opportunity to: Document their responsibility for instructing specific students for

all or part of the year Correct errors in their rosters Provide additional information that is not tracked in City Schools'

Student Management System (SMS).

It ensures that each student's achievement is linked to the teacher or teachers who taught that student

This linkage is used in the district's new teacher evaluation system

Who participates in Roster Validation?

Teachers should validate rosters if they:1. Plan instruction2. Provide instruction3. Assign or collaborate in the assigning of gradesYES NO

Teachers in tested and untested subjects

Pre-K

Co-teachers Paraprofessionals

Special education teachers, long-term subs, librarians/Media Specialists, and resource teachers IF they meet the above criteria

Non-instructional staff

2013 Roster Validation Timeline

School Setup April 3–15

Teacher validation April 16–May 7

Teachers conduct validation

School Support Contacts monitor teacher validation efforts

School leaders review and approve teacher rosters

Review and approval May 8–21

School Support Contacts get trained on setting up and monitoring roster validation

School Support Contacts set up rosters for teachers

Schools will conduct the process in the spring to validate rosters from the entire school year.

Note: Based on feedback from last year each phase of the timeline has been lengthened.

Verify that the names displayed are an accurate list of students for whom you provided instruction during the entire 2012-2013 school year

To remove a student that was not a member of your class during the 2012-2013 school year, click the gray X

To add a student who is missing from the list, click the Add Students link to search for missing students

To add a student, search for the student by entering the first letter of their and last name, student ID, grade level, or school

Click the Search button to see if the student is in the database. If so, the student will appear below

Click the Add button to add the student to the class roster

In this section, select the month(s) you provided instruction to each student

To set the same value for all students, select the drop down box in the green row

To change a specific student’s value from one month to another, select the individual drop down box when necessary

To enter non-consecutive months of instruction, select the Enter by months link

In this section, select the percentage of instruction for which you were responsible for each student. Please note: student attendance does not factor into the assigned percentage of instructional responsibility. The selected percentage should reflect the student’s membership to your class not attendance

To set a value for all students, select the drop down box in the green row

To select individual student values, click a specific drop down box and select the appropriate value

Click the submit button when you are ready to save and submit for approval
