70th Bathurst Eisteddfod Entry Guidelines

1. ALL entries must be lodged by Monday 1st June 2015, via the GENI Online Management System at https://my.stardom.com.au , which can also be accessed through the Bathurst Eisteddfod website www.bathursteisteddfod.org.au.

2. NO MANUAL ENTRIES WILL BE ACCEPTED. If you are unable to access the online system please contact the Entries Coordinator on 0487287191 or [email protected]

3. The GENI System will provide you with an entry confirmation which you should print off, after carefully checking it.

4. Each invoice includes an Administration + Insurance Fee of $4

5. Competitors paying by cheque or postal order should print their invoice from GENI and post both invoice and cheque (within 14 days of placing the entry) to:

If you are paying by Direct Debit please state your Invoice No as the reference No and direct payment to BSB/Account No 032814/455561 within 14 days of placing the entry. NB All invoices must be fully paid by the closing date (Monday 1st June).

6. PLEASE NOTE THAT GENI WILL NOT ACCEPT ENTRIES AFTER THE CLOSING DATE. You are therefore advised not to leave your entries until the last day or two, as this may overload the system, causing it to crash. You may then miss the cut-off date. In exceptional circumstances and at the discretion of the committee a late fee of $10 will be charged for the Manual entry of a late entry.

7. Competitors must not have been a pupil/pupils of the adjudicator during the six months prior to the Eisteddfod. Competitors may not be a family member of the adjudicator.

8. No refund will be made for any cancellation or non-performance by any entrant. Any overpayment can be collected from the Eisteddfod Office during the Eisteddfod.

10. Programs may be pre-ordered on the GENI website when entering, at a cost of $10 (including postage) and /or purchased at a cost of $7 from:

11. Season tickets can also be pre-ordered upon placing your entry but must be picked up from the Eisteddfod Office at BMEC on your first visit there. The cost of $60 (adult) and $45 (concession) includes a refundable deposit of $10 payable upon the return of the lanyard.

General Rules 1. AGE LIMITS are to be taken as at 31st December, 2015.

2. PROFESSIONALS - This Eisteddfod is not open to professionals. A professional is defined as a person who earns the major part of his/her income from the practice of the art or who uses the art as a primary means of livelihood.

3. All competitors compete AT THEIR OWN RISK. The Eisteddfod Society is not responsible for any loss, theft or damage to any personal property.

4. PROPS/EQUIPMENT must be brought into the Venue through the designated door half an hour before the session. All equipment must be removed from the stage and the Venue at the conclusion of the Session.

5. COPYRIGHT

a. Entrants are responsible for their own ROYALTY PAYMENTS , including AMCOS fees, if any, and for their adherence to the current COPYRIGHT LAWS.

b. Any photocopied, handwritten or typed pieces will remain the property of the Bathurst Eisteddfod Society and will be destroyed according to copyright laws unless the composition is the work of the competitor or his/her teacher/parent.

c. Dance entrants must supply their teacher's AMCOS registration number at the time of entry.

6. TIME LIMITS will be strictly enforced. If the time limit is exceeded, competitors will be adjudicated but no marks will be awarded.

7. NO PERSON MAY TAKE ANOTHER PERSON'S PLACE IN THE PR OGRAMME .

8. PROMPTING OR COACHING IS NOT PERMITTED AND MAY LEAD TO DISQUALIFICATION .

9. ALL Competitors in ALL sections MUST REPORT TO THE COPIES TABLE and be ready to take their place on stage at the beginning of the Section and in the order as set down in the Programme.

Competitors who have not reported as present prior to the beginning of their Section may be considered ineligible to perform unless notification has been given to the presiding Committee member.

10. No teacher is to be on stage with a competitor unless as an accompanist or conductor. Parents and teachers will not be allowed side stage unless required by the Eisteddfod Committee.

11. ADJUDICATORS - If any competitor, teacher or parent approaches the Adjudicator at any time, the competitor will be disqualified.

The decision of the Adjudicator is final. No discussion will be entered into, with the exception of an official protest.

12. PROTESTS - A protest, accompanied by $10, which is refundable if the protest is upheld, must be lodged, in writing, at the Eisteddfod Office within 30 minutes of the Adjudicator's decision. A decision will be provided within 48 hours. The Committee's decision will be final.

13. As a legal requirement of this event NO PHOTOGRAPHY OR RECORDING OF ANY KIND is permitted within either performance venue, unless permission has been granted by the Eisteddfod Committee.

14. ALL PERSONAL ELECTRONIC DEVICES MUST BE TURNED OFF to avoid distraction and/or interruption to the performers, the Adjudicator and other audience members.

15. SUPERVISION - All school aged performers are to be supervised at all times.

16. REHEARSALS - No rehearsals are permitted on stage during the Eisteddfod.

17. RESTRICTED SECTIONS: These sections are for those competitors who have not won a first prize in that section or category in any eisteddfod. Competitors may only compete in either Restricted sections or Age sections, NOT BOTH .

18. LOCAL SECTIONS : Competitors in sections or aggregates designated “local” must be a permanent student at a studio in the 2795, 2799 or 2787 postcode areas.

19. TROPHIES - All perpetual trophies remain the property of the Eisteddfod and will need to be returned approx. 3 months prior to the eisteddfod. Please be aware that Prize Vouchers from “58 George”, formerly Bathurst Trophy Shop, include their address and have an expiry date after which they become null and void.

20. PRIZE MONEY - Competitors in sections where prize money is more than $150 must be available to perform at the Grand Concert if invited. Failure to do so may result in forfeiture of prize money.

21. DRESS CODE - Competitors in all Scholarship and Championship events should ensure that their dress and presentation is appropriate to a concert performance. The Adjudicators will be informed of this requirement.

22. All competitors, teachers and parents should ensure that works performed are suitable for a family setting. Care should be taken with language, gesture, costuming, movement and concepts. Adjudicators may reserve the right to disqualify performers presenting unsuitable material.

23. Whilst all care will be taken in compiling the Syllabus and Program, the Committee reserves the right to make such changes as deemed necessary to preserve the integrity and efficiency of the Bathurst Eisteddfod.

24. The decision of the Committee, in all questions and disputes arising out of, or not provided for in these rules, will be final . All entries are, therefore, deemed to be made subject to this condition and the decisions of the Committee shall not be subject to any appeal at law, as being contrary to the spirit of friendly competition.

GUIDELINES FOR COMPETITORS BEFORE THE EISTEDDFOD 1. Competitors, teachers and parents should read the General Rules of the Eisteddfod found at

the beginning of the Syllabus and the Programme. 2. COPYRIGHT : Please refer to General Rules 5. 3. Competitors must not perform the same item in more than one section. 4. Competitors may enter only once in any one section. 5. Competitors who have won first prize at a Bathurst Eisteddfod may not perform that winning item

again for two years. This applies to either individual performances or presentations in conjunction with partners.

6. Backing sounds and / or musical accompaniments are not allowed. 7. All works must be performed from memory except where otherwise stated. 8. A competitor is eligible to enter RESTRICTED SECTIONS only if they have never won first

place in a Recitation section in any Eisteddfod or Competition up until closing date of entry Monday 1st June 2015.

9. Material to be performed should be deemed suitable for family audience. The Adjudicator reserves the right to disqualify performers presenting unsuitable material.

DURING THE EISTEDDFOD 1. All competitors MUST register and hand a copy of their script for use by the Adjudicator to the

Eisteddfod representative at the COPIES TABLE ten minutes before each Section begins. Competitors who have not registered as present at the beginning of their section may be considered ineligible to perform unless notification has been given to the presiding Committee member.

2. No names are to be shown on the copy for the Adjudicator. Please include on the top of your copy: Competitor number e.g. Competitor 7 Section number Section 206 Section title Recitation 8 years 3. The name of the piece only, not a copy for the Adjudicator, is required for the following

4. You do not need to provide an Adjudicator's copy for: 2BS Radio News 5. TIME LIMITS will be strictly enforced. If the time limit is exceeded, no marks may be awarded

and a bell may be rung to indicate that the performance is over time. 6. The curtain will be used for Verse Speaking Choirs only. 7. All competitors 5 years and under will receive an award in the following sections: Recitation and Nursery Rhyme.

These sections are non-competitive. 8. Theatre etiquette is expected at all times. People may not disrupt, distract or in any way interfere

with the performance of a competitor on stage. 9. The Adjudicator writes a report on each competitor's performance. This report will be available to

be collected from the Eisteddfod Office approximately 15 minutes after conclusion of each section.

• Scholarship competitors must enter and perform in their appropriate age Character Sketch and either age Recitation or Australian Verse.

• The piece to be performed in the Scholarship section must be different to that performed in the age Character Sketch and age Recitation or Australian Verse sections.

• The winner will not be eligible to enter the Youth Scholarship in 2016, unless advancing from Junior to Senior.

• PLEASE NOTE: There must be a minimum of 5 competitors who perform on the night of the Scholarship for the Scholarship to be awarded.

201 JUNIOR YOUTH SCHOLARSHIP

* To be eligible for your Age Championship you must enter AND dance in the Improvisation section of that genre.

* Due to the sound system of BMEC ONLY CDRs will be accepted – No tapes, iPods, MP3 players, phones or CDRWs will be accepted.

TIME LIMITS

* Please be advised that time limits for all GROUP/TROUPE sections (6yrs, 8yrs, 10yrs and 12 years) are now 4 minutes.

* 12 years & under and Open Entertainment Groups are also 5 minutes

* Public or Private School Dance Groups: Infants and Primary: 4 minutes Secondary Schools: 5 minutes

1. No routine may be repeated except in Junior and Senior Scholarships. Change of costume and/or music does not constitute a new routine.

2. No Pointe shoes to be worn in any 12 years and under sections.

3. Only ONE entry is allowed for each individual competitor in any solo section.

4. One competitor only to submit entry in DUO/TRIO section. An individual dancer may compete a maximum of twice in any DUO/TRIO section, provided each entry is with a different partner.

5. Curtain will be used for Baby Dance only.

6. GROUPS/TROUPES - Groups must consist of at least 4 competitors. Each competitor may only appear a maximum of twice in a section from the one studio. (This rule DOES NOT apply to public/private school groups). If a competitor is a bona fide student from more than one studio they may only perform 2 dance routines for each dance studio per section.

7. No Rehearsals are allowed on stage during the Eisteddfod.

8. WALTZ TAP - 6/8 or 3/4 time.

9. TAP ENSEMBLE - Music must consist of 16 bars of Waltz, 16 bars of slow (4/4), and 32 bars of Speed. Tap Ensembles can not be performed in a Tap Solo Section.

10. CONTEMPORARY – Free movements and original choreography content set to any music.

11. RESTRICTED SECTIONS – Apply to those competitors who have not won a first prize in that section or category in any Eisteddfod, up to the closing date of entries. Competitors may only compete in either age or restricted sections, not both.

12. IMPROVISATIONS – The adjudicator will choose the music.

DRESS - GIRLS –Plain fabric leotard (no holographic lycra), and dance tights. Ballet skirts can be worn for Classical Ballet and Modern Improvisations. Plain jazz pants/shorts will be allowed for Jazz/Tap/Contemporary Improvisation only.

BOYS – Plain dancewear only – (tights and singlet or leotard.) Plain jazz pants/shorts will be allowed for Jazz, Tap, Modern and Contemporary Improvisation only.

13. No vocals on CDs for Demi-Character or Song and Dance – with the exception of group sections. No jingle taps allowed.

14. POINT SCORE – Aggregate point score will be 1st / 8; 2nd / 5; 3rd / 3; HC / 1. Restricted Sections and Championships are not included in Point Score.

NB. Baby Dance (section 409) is NOT included in the 6 Years and under Point Score.

You must be a permanent student at a dance studio within 2795, 2799 & 2787 to be eligible for local aggregates. Refer to General Rule 18.

15. MUSIC – There will be an official person provided to play music. All music must be submitted on good quality CD only, clearly marked with Competitor’s Name, Competitor Number and Studio.

Please state on CD whether competitor starts on stage or off stage for music official.

TAPES are not acceptable. There is no facility for the playing of tapes. Only one dance on each CD; music will be played as it is recorded on the CD.

These should be handed in at the table at the back of Hall/Theatre at least 15 minutes before section begins. Competitors must be able to provide a backup CD, if required due to possible technical problems. CD's MUST BE CLEARLY labelled with Name, Section No. and Competitor No. They WILL NOT be accepted if not correctly labelled.

16. Videos and photos will once again be made available through RSVP of Dubbo. Please tick the box on your Geni entry giving permission for your child to be filmed/photographed by the official Eisteddfod photographer. There is no obligation to purchase any material but, in accordance with child protection protocol, your permission to film your child is a necessity.

17. SECTIONS AND CHAMPIONSHIPS MAY BE COMBINED IF INSUFFICIENT ENTRIES.

18. TIMING in Dance Sections - the music will be faded out when the time is exceeded.

19. BEHAVIOUR - Good sportsmanship is expected from all competitors and audience at all times during a performance. Loud or inappropriate audience behaviour may result in disqualification of the performer/group at the discretion of the adjudicator or committee. Music for routines needs to be age appropriate and any lyrics must not contain any offensive language. The Committee reserves the right to with hold prizes if the routine is deemed offensive.

CHAMPIONSHIP REQUIREMENTS :

To be eligible for your Age Championship you must enter AND dance in the Improvisation section of that genre. PLEASE NOTE: Competitors who have entered in Restricted sections are not eligible for Championships. NO ROUTINES ARE TO BE REPEATED IN CHAMPIONSHIP EVEN TS.

BALLET -Competitors must perform 2 dances, 1 Classical Ballet and 1 Demi-Character. To qualify, a competitor must have entered and danced in a Classical Ballet Solo and Ballet Improvisation in their own age group. Pointe shoes are not to be worn by competitors 12 years of age and under. MODERN EXPRESSIVE/LYRICAL - Competitors must perform 1 dance a Modern Expressive/Lyrical. To qualify, a competitor must have entered and danced in a Modern Improvisation and the Modern Expressive/Lyrical Solo, in their own age group. CONTEMPORARY- Competitors must perform 1 dance a Contemporary. To qualify, a competitor must have entered and danced in a Contemporary Improvisation and the Contemporary Solo, in their own age group. NATIONAL CHARACTER – 1 dance only to be performed. To qualify, a competitor must have entered and danced in either age or open National Character section. JAZZ – 1 dance only to be performed. To qualify, a competitor must have entered and danced in a Jazz Solo and a Jazz Improvisation section in their own age group. TAP – Competitors must perform 2 dances consisting of 1 Slow Tap and 1 Speed. To qualify, a competitor must have entered and danced in a Tap Solo and Tap Improvisation plus one of the following: Waltz Tap, Tap Ensemble or Fast Tap in their own age group.

YOUTH SCHOLARSHIPS

Section 400: Junior - 12 years and Under $300 To be eligible to enter the scholarship, competitors must perform in a minimum of 3 age sections (excluding improvisations). Students are to perform one routine of their choice(this routine may be repeated) The Adjudicator's decision will be final and no correspondence will be entered into. The winner will not be eligible to enter the Junior Scholarship in 2016 unless moving from Junior to Senior. Section 401: Senior - 13 years to 20 years only $700 To be eligible to enter the scholarship, competitors must perform in a minimum of 4 age sections (excluding improvisations). Students are to perform 1 routine of their choice.(This routine may be a repeat) The adjudicator's decision will be final and no correspondence will be entered into. The winner will not be eligible to enter in the Senior Scholarship in 2016. SECTION 402: Local Senior - 13 years to 20 years only $250 To be eligible to enter the scholarship, competitors must perform in a minimum of 4 age sections (excluding improvisations) AND be a permanent student of a dance school within the 2795, 2799, 2787 postcodes. They must also enter the Senior Scholarship Section 401 and dance according to the above rules as in Section 401. The winner will not be eligible to enter in the Senior Local Scholarship in 2016. Competitors can only win 1 scholarship. i.e. Either Senior Scholarship or Local Scholarship not both.

PLEASE NOTE It will not be necessary to dance in the Senior Local Scholarship Section 402. The competitor's name will be printed in the program only to identify participants to the Adjudicator. The winner will not be eligible to enter in the Local Senior Scholarship in 2016

RULES FOR MUSIC SECTIONS

We pride ourselves in providing friendly competition at our Eisteddfod and by reading carefully and complying with these rules all participants will experience a fair and enjoyable competition.

The respect of the Eisteddfod and its operating rules is the competitor’s responsibility. 2015 is the 70th Bathurst Eisteddfod and the 200th Anniversary of Bathurst. In order to celebrate all things Australian we are strongly encouraging the inclusion of Australian pieces in your repertoire selections. A compulsory Australian piece will be included in the Primary and Secondary Choir and the Primary and Secondary Concert Band sections. We hope to celebrate and encourage Australian composers to continue their great work and promote the writing of great material for all age groups and instrumentation. A strong focus remains on stage presentation and appropriateness of costume/dress will be considered in 2015.We encourage stage clothing and not a casual appearance. 1. Competitors may not perform the same piece in more than one section with the exception of

repeating one in the Youth Scholarships.

2. The timing of music items will commence at the sound of the first note and end at the last note of the performance. In Concert and Stage Bands and Orchestras where two pieces are to be performed, the timing clock will be paused between items.

3. Only one entry is allowed for each individual competitor in any solo section. 4. In ensemble sections, individuals may appear more than once as long as they are a bona fide

member of each group. Competition will not be delayed waiting for such performers.

5. In duet sections, one pair may not compete in more than one age group section; however they can compete in their age group as well as in the open section. Any single competitor may not be part of more than two duets per section.

6. Competitors who have won a section in 2014 may not play that same piece in the 2015 Eisteddfod. 7. Competitors are permitted to use recorded accompaniment in the following sections only:

Infants and Primary and Small Schools Percussion Ensembles. Requests for use of recorded accompaniments in other sections may be emailed to the

Music Coordinator at [email protected] N.B. All choral sections must have live accompaniment. No recorded accompaniment will be permitted.

8. Copyright. Competitors and accompanists must perform from either an original or licensed copy. The copyright form must be signed at the copies desk before the section commences.

9. All competitors must provide a copy of their music for the use of the adjudicator. All music and CD’s must be handed in to the copies table at least 15 minutes before the section starts. Failure to do this may forfeit your right to perform.

Music must be marked with: Section number and competitor number in the top corner. CD’s must be marked with: Section number, competitor name and number and performance track number! If performing an own composition you must still hand in a copy of lyrics and any other written work such as chord charts etc. You should write at the top of your music, "NOT SUBJECT TO COPYRIGHT"

10. Championships, Scholarships, Band, Orchestral, Choir and Ensemble sections must be performed in the order as defined in the programme. Band Directors who are involved with multiple ensembles please email a list of the ensembles for which you are responsible and every effort will be made to avoid clashes in the programme.

11. Competitors who have not registered as present at the beginning of their section will be considered ineligible to perform unless notification has been given to the presiding committee member.

12. PLEASE NOTE – Sections 12, 15 and 42 – Welsh Vocal 1. Two songs will be sung, one in Welsh and one in either Welsh or another language.

2. The song that is not sung in Welsh must be a translation of a song originally composed in Welsh.

3. Singing only one verse of a song over and over will lead to disqualification. Hot Song/Hot Singer This section is for vocalists 12 years and over. They are to perform a "cover" of a popular/modern song. There is to be NO backing accompaniment. A piano or guitar accompaniment is encouraged and one additional instrument is allowed. * Time Limit is 4 minutes. B Rock Band Section * This section is for secondary school aged bands with 3-8 members. One teacher is permitted to

play with the group. * You are to perform your own composition. However, a copy of the lyrics and a chart must be

submitted to the Adjudication panel. * This performance will be judged by a panel of adjudicators - including a representative from B

Rock. You will be assessed on your composition, stage presence and musicality. * PLEASE NOTE: Any inappropriate language and gestures will lead to disqualification. The

Eisteddfod is a family environment and all performances should be "family friendly". * This section will be fully compered by B Rock. * A Sound Technician will be present and each band will be allocated a "sound check" time prior

to the section commencing. * A sound system and PA will be on stage for your use to minimise set up times. * Set up time allowed between bands is 2 minutes max. * Time limit for your performance is 4 minutes.

CONCERT BANDS, STAGE BANDS, ORCHESTRAS AND LARGE INSTRUMENTAL ENSEMBLES

ENTRY CRITERIA 1. All players must be bona fide members of the group. If this is challenged then proof must be

available for the committee within 48 hours. Teachers or other adults may not perform as part of school age ensembles. They may only accompany or conduct. Your honesty will be appreciated.

2. Please make sure that you include the name of the Director/Conductor of your group or School on the entry form.

3. A stage plan for all bands and orchestras must be received by the Music Coordinator 3 weeks before the Eisteddfod commences or the entrant will forfeit the right to have any repositioning of the stage set up. OPEN CONCERT BAND ENTRANTS PLEASE NOTE that you are required to send a copy of your band membership with your stage plan.

• Community bands the individual's annual subscription should be paid up prior to the submission of the player list.

• For school bands competing in open sections, all members should be students, staff or school community members with a clear long term allegiance and commitment to the school and the band.

4. The stage may not be re-arranged by directors. It is set for largest group to save time and only the stagehands are to handle equipment. The drum kit is not to be moved. (It will be placed centre stage)

5. The only equipment supplied by the Eisteddfod is a drum kit, percussion table, chairs and stands. All other equipment is to be brought backstage at the beginning of the session and removed at the end of the session via the loading dock. The technicians at the venue will open this for you. Please contact the Eisteddfod office on arrival for assistance. In primary school concert band sections a keyboard will also be provided.

6. No dressing rooms or foyers are to be used during these sections. On arrival all band groups should proceed to the BMEC Hall which is available for unpacking and tuning. Please show respect for other groups as they prepare for their performance on the hall stage. Musical directors are asked to enforce good manners in the hall.

7. Tuning: • Primary and Secondary Groups – A chord or note only may be sounded • Open Groups- No tuning on stage.

8. You may be disqualified if you do not attend the stage when requested.

All competitors and music students in general are encouraged to attend sessions other than their own during the Eisteddfod. This will help them to gain valuable experience in

performance and provides an audience for other performers.
