Tips & Terms

Tips:

1. Browser works best at 100% zoom a. For ex: Next stage button in an Opportunity may not be visible if not at 100%

2. Save options a. Save button at the top left of the screen b. Disk button on the bottom right of the screen

3. Required fields are indicated with an *

Terms:

1. Case – a prospective customer (can be found & added under the “Account” section) 2. Group – existing customer with inforce premium (can be found & added under the “Account” section) 3. Brokers – agents (can be found & added under the “Account” section)

Command Bar

The Command bar is used to navigate through the CRM system. It will be integral in usage and will be used to select what you want to do next.

My Work:

Dashboards: Reporting functions. Currently under development Activities: Shows open tasks, appointments, follow up, etc. Calendar: Reports

Customers: Accounts: Businesses that are/become Aflac customers Contacts: Rolodex of all contacts in your CRM – account contacts, lead contacts, etc.

Activities: Activities include open tasks, appointments, emails and phone calls. The Activities feature will sync with your scheduled activities in Outlook Client.

Adding a task:

1. Click on Activity icon in the command bar.

Opportunities There are three stages in an Opportunity: 1- Pre-Proposal, 2 – Proposal, 3 - Enrollment Pre-Proposal

1. Fill in required fields (indicated with a *) in the business process bar: Eligible Employees, New or Re-Enroll, Coverage Effective Date & State Market Office:

a. The information entered into the business process bar such as the number of eligible employees and the close probability rate creates the BSP Estimated AP. This dollar amount can be adjusted manually after you click save prior to moving to the next stage.

b. After you have filled in the required fields, click “Next Stage”

Outlook Install: If offsite, connect to the Aflac VPN before proceeding. Download and install time will vary depending on internet speeds.

1. Open Internet Explorer and type http://pcnsccm23.hq.aflac.com/CMApplicationCatalog in the address bar.

2. Left click Microsoft Dynamics CRM 2016 in the list of applications. a. If not listed, please contact Michele Garnto ([email protected]) to be added to the group.

3. Left click Install at the bottom right corner.

4. Left click “Yes” to begin the installation.

5. Once downloaded the install will proceed automatically. An informational window will display the installation progress and close when complete.

6. Left click OK on the Software Center dialog box and close Internet Explorer.

a. If Software Center reports a failure, please contact the IT-Service Center for assistance.

7. Microsoft Dynamics CRM 2016 plugin for Outlook is complete.

Outlook Plug-in Configuration:

1. Add a Microsoft Dynamics CRM organization.

2. Sign in to CRM account. a. Enter Aflac email address (i.e. [email protected]) and tab to password and tab to password.

b. Choose “Work or school account”.

3. Select Broker Organization to connect to.

4. Open Outlook & verify install. CRM tab added to email inbox.

5. Microsoft Dynamics CRM 2016 plugin for Outlook is complete.
