IntroductionMalcolm has recently received his security clearance, enabling him to work on a sensitive programme for a government customer with a new team which includes Danni, Ricky and Sandeep, who have all worked together before.

Malcolm’s feeling good about being a part of the programme and shares the news with his followers on his public Instagram account.
Danni sees Malcolm’s post and takes a screenshot. She shares it to a WhatsApp group chat that includes Ricky and a few other members of the team. 14:55

Scenario 2Looking after your selfie
Part 2Ricky and the members of the WhatsApp group join in making fun of Malcolm for his enthusiasm. They go to his Instagram account to follow him.
Next to the component on the desk, there is a classified document which is clearly visible, even before zooming in on the image.
Later that day Danni receives a message on the group chat from Ricky.
Danni checks Malcolm’s Instagram account and sees an image that has been taken in the car park. Danni can be seen in the background getting out of her car.
Malcolm has also tagged Danni and their location at work.

The next day at work Ricky notices that Malcolm has posted another image on Instagram, this time of himself with a an export controlled component that he is working on.

Part 3Danni has been feeling annoyed all day that Malcolm has a picture of her on his Instagram account.

At the end of the day Danni decides to speak to Sandeep, her Manager. She shows him Malcolm’s Instagram account on her phone.
Look at Malcolm’s Instagram account, he has a picture of me on there. I want it removed – he has no right to take pictures of me without my permission!
Danni, have you seen the other images on here?
He’s posted pictures of his security pass, a classified document and confidential technology that we are working on. This is a potential security breach – if you knew about these images, why didn’t you report them?
I need to speak to Site Security about this, there’s clearly a lot to sort out. I’ll call them now and set up a meeting. I’ll speak to Malcolm first thing in the morning.
Mobile phones are banned in the secured area, so how has he taken a picture of the component?
Yes, he’s so enthusiastic and annoying.
Oh, I didn’t think of it like that. I thought it was OK as he’s just proud of being on the new programme – he’s annoying but he means well.
Well, Ricky always has his phone with him – so Malcolm probably thought it was OK.

Ethical red flagsWhen people make poor choices, they usually create reasons to tell themselves, “It’s OK, I can go ahead”. We call these justifications ‘ethical red flags’. In this scenario, what might Malcolm have told himself?
Common ethical red flags include: • “Other people do it.”
• “It’s not that bad.”
• “It’s not hurting anyone.”
• “I didn’t know it wasn’t allowed.”
Questions• Was it OK for Malcolm to take photos of things he’s working on and share them on social media?
• Is it Ok that Malcolm took a photo of Danni and shared it on social media?
• Should Danni have spoken up sooner about Malcolm’s posts on Instagram? How can she do this? What are her options?
• Was the discussion on WhatsApp about Malcolm and Sandeep ok?
• Is it ok for Sandeep to accept the voucher from the recruitment consultant?
Key messages• Be vigilant when using all forms of social media, including recruitment sites such as LinkedIn.
• Be careful if you are being offered something which appears to be too good to be true – being offered money to disclose confidential information could be a bribe. Contact your local legal team.
• Manage our online presence, including social media. As Malcolm is working with controlled technology, uploading the image on social media could potentially be breaking the law – both the Official Secrets Act and also breaching export control laws and regulations.
• Always check with Site Security before taking or posting images or videos. Photography and video recording is prohibited at some locations.
• Treat the people you work with professionally and with respect.
• Making derogatory comments online or on group chats about people you work with could be seen as bullying. Bullying, abusive, humiliating or intimidating behaviour is never acceptable.
