Letter of Motivation

Dear IFMSA friends,

It is my great pleasure and honor today to submit my candidature for the IFMSA TO as Regional

Director for Asia-Pacific for the term 2015-16. To introduce myself, I am Muhammad Yameen Hamid,

studying in 5th year of my MBBS course in Shaheed Suhrawardy Medical College under University of

Dhaka, Bangladesh.

It was a little step to my journey with the IFMSA family in 2011 when I attended my first ‚Global

Health Education Workshop‛ organized by BMSS (NMO- Bangladesh) where I came to know about

amazing arena of the global medical students‟ network, IFMSA and its more amazing standing

committees and divisions.

In APRM-2012, I attended the ever first Global Health Debate in Malaysia and also attended the

SCOME sessions there. The most important event of APRM was the Pre-APRM TNT workshop which

I believe the turning point of my IFMSA experience.

Then I organized the first program of SCOME in Bangladesh, ‚TNT workshop to introduce SCOME‛.

This event enhanced my confidence and eventually I have been appointed NOME of SCOME-

Bangladesh for the term 2012-13.

In the next year I got appointed as SCOME RA (Interim) for the term 2012-13. This led me to facilitate

the SCOME sessions during APRM-2013 held in Yogyakarta, Indonesia where I also imparted a

training session on Advocacy in Medical Education.

It was my great opportunity to serve IFMSA specially in the Regional Team as SCOME RA for Asia-

Pacific in the term 2013-14 and facilitating SCOME session of APRM 2014 in Dhaka, Bangladesh as

well. Being RA I’ve coordinated with the NOMEs of the region ad importantly new NMOs got able to

set up their SCOME and appointed new NOMEs. More than that during my term I also led a SWG

titled ‘Internal Operation’ which aimed to enhance the internal working of SCOME like set up toolkit,

online discussion and thematic library etc.

During that term I also got chances to represent IFMSA as IFMSA delegate in Prince Mahidol Award

Conference 2014 in Thailand and 67th Regional Session of WHO SEARO in Bangladesh which

broaden my outlook and enhance my capacity for representation.

The most precious and valuable events in my life must be the IFMSA General Assemblies. I attended

March Meeting 2014 in Hammamet, Tunisia and March Meeting 2015 in Antalya, Turkey. In both of

the meetings I not only worked along with the SCOME International Team, TSD and Regional Team

but I also got a lifetime experience of training, debate, project & exchange fair and more importantly

friendship.

And all of these previous involvement and experience in IFMSA in both regional and national level

encourages me to candidate for the Regional Director position and to serve my beloved region for one

more year. Being RD I would provide my fullest devotion for sustainable improvement and

development of the Asia-Pacific region in terms of capacity building, advocacy, activities, exchange and

collaboration. Sustainability of the NMOs, APRM will be my top most priority. On top of that it

would also be my responsibility to cooperate with the rest of the IFMSA TO and EB.

I would like to thank again for your patience and paying attention to this humble letter of motivation.

Hopefully my attached CV will be more helpful for evaluating my little experience. Again it would be

my great honor and chance to be a part of IFMSA family as Regional Director for Asia-Pacific in the

upcoming wonderful and prospective term.

Key Areas:

A. Capacity building:

1. NMOs:

Most of the NMOs of the region in the IFMSA are new or recently developing except some few. Even

the older and experienced NMOs also sometimes face lots of difficulties in terms of capacity. Along

with the Regional Team specially NMO Development Assistants I will work on this issue. At first the

need and areas of capacity building will be identified and prioritized. Then the further strategy will

be developed to meet the needs. The key areas of capacity building will be following:

Leadership and structure: To identify any lacking in NMO structure and leadership cycle

and to assist the NMOs to develop.

Organizing trainings and activities: To overview the activities and measure impact of

activities and any lacking of organizing capacity and to improve.

Handover: To ensure successful handover every NMO will develop a mechanism based on

transparency and accountability.

Financial stability: The NMOs facing trouble in financial stability will be guided and

supported with additional resources and training.

Collaboration: Intra and inter-organizational collaboration is another important area to be

developed by the NMOs.

Advocacy and external representation: Most of the Asia-Pacific NMOs are potential yet to be

developed in this essential skill.

2. Regional Team:

The Regional Team of Asia-Pacific of next term would be comprised of most efficient,

motivated and devoted members but still they may require additional support to develop

some specific skills. At the beginning of the term the needs for development will be

assessed.

Regional Team members will be encouraged to attend the IFMSA General Assemblies and

specially the APRM.

Regional Team members will also be encouraged to attend the external meetings to improve

the capability of external representation and regional working.

B. Sustainability:

1. APRM:

Participation: Being the most important event of the region, in recent years APRM is facing

some sustainability issues. Most important of these is participation. Since from this year the

calendar of APRM is changed, there are still lots of discussion to be held with the NMOs

about the suitability of timing of the event to ensure the maximum possible participation.

Financial sustainability: Financial stability is becoming one of the major issues affecting

badly the hosting NMOs. The budget of the APRM will be reviewed by the NMOs and the

IFMSA EB as well to justify the balance between estimated income and expenditure. More

importantly the Regional Team and the Director will work closely with the OC of the

hosting NMO for fund raising. Effective partnership with Government and NGOs for

financial support will be directly supervised by the RD.

Quality assurance: To ensure the quality of various sessions of APRM specially Standing

Committee session, Training sessions, Pre-APRM workshops and Theme sessions, the

session coordinator and the speaker are essentially to be attending the event. Additional

financial support will be effective to ensure their attendance. Topics of the Pre-APRM

workshops and theme of the event should be in concordance with global and regional

health issues.

2. NMOs:

Activities: Since the IFMSA is changing strategy of its activities from project to program,

NMOs need to adapt the transformation within their activities. How the NMOs want to get

involved in the IFMSA programs will be evaluated and they will be supported in terms of

writing program proposal with the assistance of RAs.

Financial: The NMOs facing trouble with payment of membership fee to IFMSA will be

guided and supported for financial management strategy. It is also expected to have

guidance and assistance from IFMSA VP (Finance) & VP (Members).

New NMOs: The NMOs who recently joined IFMSA will be monitored and guided to

improve and/or maintain their status in the IFMSA. NMO development guideline is also to

be created in this term.

3. Regional Team:

To prevent the dropout or inactivity of the RT members a yearly calendar of their

availability will be created. In case of ‘miss in action’ of any RT member for more than 2

months will be regarded as not willing to work and a replacement will be done.

The RT members will be provided financial incentives to attend the APRM and other IFMSA

meetings if possible.

C. Collaboration:

1. Students’ organizations:

a) AMSA International: IFMSA already has a MoU with Asian Medical Students’ Association

(AMSA-International) that has been renewed in last term. But definitely there is more to

enhance the impact of this collaboration. Range and limits of the MoU is more to be

explored and redefined. As many of the Asia-Pacific NMOs are also part of this

organization, so there should be some definitive instructions to avoid conflict of interest

and advance the collaboration.

b) Other organizations: There are some other students’ organizations in this region with

which there is potential scope of collaboration (i.e. World Youth Alliance- Asian chapter,

South Asian Youth Society etc.).These organizations will to be contacted during the next

term to explore the scope of future affiliation.

2. Professional organizations:

a) IFMSA partners: There will be more communication to be established with the regional

offices of professional organizations with which IFMSA already has affiliation (i.e. WHO-

SEARO, WPRO, UNICEF, UNESCO, UNAIDS, WFME- SEARME, AMEWPR etc.).

Respective Liaison Officers of IFMSA and RAs will be expected to cooperate in this

regard.

b) Academic organizations: Other academic professional organization would be contacted

via respective RAs and Los to explore scope of future affiliation of scope of exchange (i.e.

ICDDRB, RANZCO, APSC etc.)

c) Inter-governmental organizations: These are mainly political co-operational organizations

of the Asia-Pacific countries yet there might be some scope of affiliation or scholarship

which must be explored (i.e. SAARC, ASEAN etc.). This was already a plan of previous

RC, so definitely initiative will be taken in consultation of IFMSA EB.

D. Strategy:

In general term strategy refers to how the Regional Team will function in the next cycle of term.

This includes following:

1. Team building:

A smart Regional Team will be formed before the beginning of the term (October)

by the usual process of recruitment

The team will comprise RAs of Standing Committees, RAs for NMO development,

Communication, Capacity building, Activities and Publication

The RT members will be introduced with the NMOs via mail server and social

media before the term starts

2. Communication:

The main communication media will be official e-mails and e-nail groups. Besides

other smart phones applications (i.e. Whatsapp, Viber etc.) could be used to

maintain the communication within the RT

NMOs will be contacted with the official IFMSA e-mail. Also other social media (i.e.

Facebook etc.) can be used to maintain the track of communication with the NMO

3. Meetings:

The whole term will be divided in 4 quadrants of 3 months. So, the Online Meetings

(OLM) of the RT will be held in every 3 months (in October, January, April, July)

In case of important or emergency situation RT OLM will be called accordingly

Asia-Pacific NMO Presidents OLM will also be held in every 3 months. The NMOs

Presidents will also be contacted individually in case of need

During IFMSA General Assemblies and the APRM, there will be separate meetings

with the NMO Presidents or head of delegates in order to discuss the important

issues of the region

4. Action plan & Evaluation

At the beginning of the term the RT will create an action plan for the year. This will

be disseminated in the e-mail server for further feedback and comment

After the every RT OLM, APRM and GAs the action plan will be evaluated by the

team and the follow up will again be disseminated via server to the NMOs

5. Handover:

The RT members will be encouraged to build up leadership skills so that they

become potential candidates for the IFMSA TO of next term

The RT members will also be encouraged to motivate their own team members to

apply for the RT of next term
