The firm was fully satisfied using OpenText Captiva to transform paper into business-ready content but several inefficiencies remained for their end-users who worked with the scanned images. Based on their high volume of mortgage documents, one of the biggest challenges the firm faced was high storage and back-up costs. Another challenge was the extensive amount of time employees waited for documents to arrive over the network, which resulted in a significant number of wasted man-hours each month. Mortgage documents must be archived and accessed for a period of 37 years; before the use of Foxit’s PDFOptimizer for OpenText Captiva, storing these image documents over this period of time was costly and employees were inefficient in servicing clients. Solution In order to reduce storage and back-up costs, the firm licensed Foxit’s PDFOptimizer to reduce the size of all their mortgage documents globally. By leveraging the benefits of PDFOptimizer and its seamless integration with Captiva, the firm was able to create mortgage documents that were more efficient to access, transmit, and store. Based on the continued success that PDFOptimizer provided, the firm was prompted to broaden their use and increase their license over the years, processing as much as 1.25 billion pages annually.
