Remote Monitoring of 350 Printers

A large property management company with 75 re-

mote offices, 3 regional offices and a large corporate

office had begun to implement a cost saving cloud

compung strategic iniave. An objecve of this larg-

er iniave was to migrate as many applicaons as

possible to Soware as a Service [SaaS] applicaons.

The company had successfully done this with an invoice

processing and electronic vendor payment applicaons

in the past.

USPS was originally brought in by the company’s CFO

to negoate a volume purchase agreement but aer a

USPS consultant gave an MPS presentaon to the exec-

uve team, MPS was quickly integrated into their stra-

tegic iniave.

An ExpressMPSTM

engagement by US Print Supplies

over a 3 week period revealed some alarming results

to the management team.

• The standard deviaon of the cost of toner be-

tween offices varied by almost 50%.

• Thirty percent of offices were using inefficient and

costly inkjet technology.

• Forty percent of offices reported a printer reliabil-

ity problem.

• There were 17 different vendors supplying print

related supplies and services company wide.

USPS performed a rapid hardware audit, developed a

print opmizaon plan and redeployed prinng devic-

es where appropriate. Mulfuncon devices replaced

high CPP (Cost Per Page) printers and the total num-

ber of devices were reduced.

USPS integrated into the exisng centralized procure-

ment system and a uniform online toner catalog was

introduced to all offices. With some soware customi-

zaon, costs were allocated to appropriate profit cen-

ters and an electronic payment process was imple-

mented.

Implementaon of an MPS program was not the origi-

nal objecve but with the assistance of USPS, the com-

pany implemented an effecve MPS program which

achieved significant results:

1. Enterprise wide expense control of prinng

2. Reducon of help desk FTE’s

3. Reducon of the number of in-house applicaons

4. Print device consolidaon

Now at any point in me this company has complete

knowledge and control of their print environment.
