INTRODUC'TION In recent years, significant developments in rnicroc.cctronics have considerably extended its range of applications in information handling. The advent of personal computers has simplified many of the information handling activities such as acquisitions, catalogue card productions, information storage and retrieval, which were so being handled by mainframe computers. The ,:cncration of information products like indexing md abstracting bulletins, creation of directories, -t c. can now be performed with ease using per- sonal computers. The advent of microcomputers in the 70's and the availability of many standard software packages, which can now be used without any programming knowledge, have made the task of information processing simpler. In the past few years, quite a few microcomputer programs have been designed for bibliographic work, e.g. crea- tion of catalogues, compilation of abstracting and indexing services, searching of data bases, etc. One of the most versatile microcomputer based information storage and retrieval systems, known as Mini-Micro CDS/ISIS version 1.0, has been developed and released by UNESCO, avail- able free of charge to non-profit organisations of UNESCO member states. 178 SHAILENDRA KUMAR V V LAKSHMI SRKUNDU INSDOC New De1hi-ll0067 NATIONAL SCENE In India CDS/ISIS Mini Micro version software has been supplied by UNESCO through DSIR to nearly 100 organisations handling information. INSDOC has received the package directly from UNESCO. The National Union Catalogue of Scientific Serials in India (NUCSSI), compiled by INSOOC, containing the data of 35,000 scientific serials available in more than 800 institutions has been created in the machine readable form on magne- tic tapes and one of its important components, the Directory of Participating Institutions (DPI) containing the details like the name of the insti- tute, postal address, lending and photocopying facilities and telephone/telegram/telex numbers has been created on floppy using the software package Mini-Micro CDS/ISIS. Mini-Micro CDS/ISIS is a set of programs written in PASCAL. This system is menu driven. The Directory has been created using an IBM compatible PC and PC/AT having two drive sys- tem. INTRODUC'TION

In recent years, significant developments inrnicroc.cctronics have considerably extended itsrange of applications in information handling.The advent of personal computers has simplifiedmany of the information handling activities suchas acquisitions, catalogue card productions,information storage and retrieval, which were so

being handled by mainframe computers. The,:cncration of information products like indexingmd abstracting bulletins, creation of directories,-tc. can now be performed with ease using per-sonal computers.

The advent of microcomputers in the 70'sand the availability of many standard softwarepackages, which can now be used without anyprogramming knowledge, have made the task ofinformation processing simpler. In the past fewyears, quite a few microcomputer programs havebeen designed for bibliographic work, e.g. crea-tion of catalogues, compilation of abstractingand indexing services, searching of data bases,etc. One of the most versatile microcomputerbased information storage and retrieval systems,known as Mini-Micro CDS/ISIS version 1.0, hasbeen developed and released by UNESCO, avail-able free of charge to non-profit organisations ofUNESCO member states.

NATIONAL SCENE

In India CDS/ISIS Mini Micro version softwarehas been supplied by UNESCO through DSIR tonearly 100 organisations handling information.INSDOC has received the package directly fromUNESCO.

The National Union Catalogue of ScientificSerials in India (NUCSSI), compiled by INSOOC,containing the data of 35,000 scientific serialsavailable in more than 800 institutions has beencreated in the machine readable form on magne-tic tapes and one of its important components,the Directory of Participating Institutions (DPI)containing the details like the name of the insti-tute, postal address, lending and photocopyingfacilities and telephone/telegram/telex numbershas been created on floppy using the softwarepackage Mini-Micro CDS/ISIS.

Mini-Micro CDS/ISIS is a set of programswritten in PASCAL. This system is menu driven.The Directory has been created using an IBMcompatible PC and PC/AT having two drive sys-tem.

1. ISIS- a) to input and modifyrecords

b) to display records

c) to search the data base

d) to display and save searchresults

2. ISISINV - a) to create, update andbackup the inverted file

b) to print the dictionary ofsearch terms

3. ISISPRT - a) to provide sort keys andsort

b) to format the layouts ofprints

c) to print from the main fileor saved search results

The Directory of Participating Institutionshas been created to facilitate

(i) identification of library symbols given inthe holdings part of the NUCSSI

(ii) place-wise listing of libraries

(iii) retrieval of details of an institution

(iv) service-wise (lending, photocopying,microfilming) listing of the libraries

(v) generation of various by-products like analphabetical list of libraries/institutions,and a list of institutions arranged by thesubject specialisation of the institute

(vi) periodic updating and revision of thedata base

Computerisation of a system requires analy-sis of the system, and performing the followingfunctions:

a) application designb) data base definitionc) data entry and indexingd) searching

These involve identification of elements thatshould appear in the print format as required.The elements so identified are studiedhorn the viewpoint of access needed. Anelement can be accessed from the various accesspoints defined in the sub-fields. The advantageof using the CDS/ISIS package is that it facilitat-es creation of a data base, storing, generating,sorting, searching and printing of the biblio-graphic information with the help of various sys-tem and user programs mentioned above.

Creation of the Directory started with filedevelopment.

FILE DEVELOPMENT STEPS

a) The PC was booted using the MSOOSdiskette in drive A and pressing ~CR'7

b) New diskette on which data for thedirectory preparation had to be loaded,called data diskette, was formatted byusing MSDOS format command asfollows:

After mounting the new diskette, atsystem promptA., format b : c CR>

was issued. The format command creat-ed 40 tracks on both sides of the disket-te with 9 sectors on each track.

c) MSDOS diskette was removed from theA drive and the freshly formatted disket-te was put in the A drive. Then all thesystem menus, system worksheets, mes-sages files and character table fileswere copied from the data diskette ofanother data base put in drive B, by issu-ing the following MSDOS commands atthe system prompt A.,

d) The diskette in drive B was removed andthe new data diskette was labelled withthe name of the data base to be createdon it.

e) A diskette containing ISISDEF programwas mounted onto drive B. The programISISDEF was called next:

DATA BASE DEFINITION FILES

Creation and initialization of files associatedwith the data base started with the selection ofthe option 'C' - Create a New Data Base.

i) Field Definition Table (FDT)

It provides information to determine the con-tents of data records in a data base. FDT asshown below has been created specifying the tagnumbers, the name of the tag (elements of thesystem), field length, subfieldts) etc. for eachfield. FDT defines the various fields that may bepresent and a number of parameters for eachfield. FDT is also used to control the creation ofthe data base and to validate the contents of thefields. FDT was created using the programISISDEF and the parameters as shown in Fig(1), defined.

(ij) Data Entry Worksheet (FMT)

ISISDEF program was used to create and editdata entry worksheets and system worksheets.Data entry worksheets are used to enter andmodify that base records associated with thecorresponding data base. Work sheets can be oftwo types, either continuous or line by line. In acontinuous worksheet, data can be inputtedsimultaneously without going to a new line, andeach new tag or element is positioned side byside, whereas in this particular case, care hasbeen taken to create a line by line worksheet,that is, tag numbers as defined earlier in theFDT were entered one by one, positioning eachnew element on a separate line. After enteringall the elements and on completion of the work-sheet file, command'S' - Save and Exit was usedto store and develop the different files needed tointeract within the system for processing (Fig.2).

(iii)Field Select Table (FST)

FST defines the criteria for retnevmg one ormore data elements from a master file record(data base) (Fig. 3). These elements are used bythe system for the preparation of an inverted fileat the discretion of the user. An FST consists of

(iv) Display Format (PFT)

The system requires a default display format tobe created by using print formatting language,wherein fields to be displayed on the screen areindicated. The default display format created forthe DPl is shown in FigA.

Some additional files are automaticallycreated during this data base definition process.These are:

DATA ENTRY

Procedure followed for data entry was as fol-lows:

1. The diskette contamlllg program ISISDEFwas removed from drive B and a diskettecontaining program ISIS was mounted on todrive B.

2. Program ISIS. EXE was called by issuing atsystem promptA b: isis CR

3. After Menu EXGEN appeared on the screen,chose the option

4. Entered the data base name and pressed CR

5. ISIS displayed the second menu, viz., EXE1

6. Entered N - Create New Record at the cursorposition

7. After the first and only page of the work-sheet bearing the MFN No. 1 appeared onthe screen, inputted the data field by fieldspecifying the different sub fields as shown inFig. 5.

8. After inputting the data, option X - Exit wasused to exit from the ISIS program

9. Inverted file creation and updating was notdone at this stage, hence typed N - NO forupdating of inverted file. Inverted file gene-ration was made by using program ISISINVwhen selection of elements was required.

SORTING & PRINTING

Sorting refers to arranging data records in thedata base' in collating sequence of one or morefields/subfields/combination of fields and sub-fields. ISISPR T programme was used to sort therecords in the desired sequence. The ISISPRTprogram was loaded from the drive B by mount-ing a diskette containing ISISPRT program indrive B and issuing a command at systemprompt A b: isisprt CR . Menu EXPRTwasdisplayed. Option P - Print with Standard Speci-fications was chosen. System layout worksheetEYPRT was displayed as shown in Fig.6.

Print format was prepared according to thesequence in which data elements were requiredin the printouts. After filling up the other de-tails, instruction Y - Yes was given in front ofthe query 'SORT'? CDS/ISIS displayed the sys-tem sort worksheet EYSRT. This worksheet wasthen filled in accordance with the requirementof different sorting sequences. Accordingly,FSTs were provided to indicate the sorting keys.Also the length of the sort keys and types of thesort keys (single or multiple) were indicated.Printouts alongwith system sort worksheetEYSRT were obtained as shown in the Appendi-ces.

Various byproducts created out of this direc-tory are:

1) Place-wise list of the institutions.2) List of institutions arranged by subject3) An alphabetical list of institutions by

institution's name4) List of university libraries5) List of institutions arranged according to

services provided.

MONITORING THE DIRECTORY

Directory specifies the stage of updating througha tag - Update in the records. This will help inupdating NUCSSI data base by asking Participat-ing institutions to incorporate the change inholdings after that date. For this, printouts ofholdings of the institutes can be sent to indivi-dual institutes periodically for incorporatingchanges in the data base.
