DATA MANAGEMENT PLAN (DMP)

• Avoid redundancy/overlapping with the research plan;in RP refer to DMP and vice versa

• DMP complements the plan:

‒ Description of the research material, its significance, collection and acquisition, and (re)use are described in the research plan

(part related to the project execution)

‒ Material and data management, storing, share, rights and ownership issues aredescribed in the DMP (part related to the technical details)

• Length 1-2 pages

• Even if the research project does not produce any data, the DMP must be returned with a clear statement of the situation

• DMP has to follow the AoF’s guidelines; answer questions which are applicable

• If some set of questions is not applicable, justify why!

A GOOD DMP? /TIPS

• Section 1: General description of data

• What data will be collected, produced or reused? What file formats will the data be in? Also give a rough estimate of the size of the data produced or collected.

• Here, outline a structure which is followed throughout the whole DMP

= describe/list all datasets and material which are discussed later in the plan, e.g.

A) Data collected by yourself

various locations; raw, non-catalogued private collections

various types

B) Data reused in your project

ready-made dataset in an archive

remember to cite the original creator or collector in your work!

C) Data produced during your projectnotebooks, research diaries, field notes, comments, annotations, coding, and so on

register a PID for your datasets so you can be cited!

D) Managerial documents agreements, contracts etc.

• Can be presented in a table together with file formats to save space! (see next slide)

• Section 2: Ethics and legal compliance

• How will ethical issues be managed? How will ownership, copyright and Intellectual Property Right (IPR) issues be managed?

• Who owns your data?

• Who has usage rights to your data?

• Who has the right to issue re-use of your data?

• Make agreements with your collaborators and organization in time!

• Researchers have to make an agreement on the transfer of rights to the Univ of Helsinki ifoutside funding e.g. from the Academy of Finland or the EU

• How informing research participants is handled?

• Is your data sensitive?

• How sensitive data is handled?

• Can it be anonymised?

• Section 3: Documentation and quality

• How will the data be documented? How will the consistency and quality of data be controlled and documented?

• How do you describe your data in a way that it can be…

• found,

• accessed,

• linked, merged or integrated with other similar data (interoperability),

• resused,

by you or by someone else in the future?

• Metadata = data about your data = description of your data

• Metadata can be opened e.g. in Research Data Finder Etsin (https://etsin.avointiede.fi/en/)

• How do you ensure no data will be lost if converted into another format?

• How do you ensure your data maintains the original information of your source?

• Section 4: Storage and back up

• How will the data be stored and backed up? How will you control access to keep the data secure?

• During the active phase of your project

• Describe how you will keep your data secured – and share it safely with your collegues

• Describe the management of all your data and material (see no. 5)

• Suitable storage solutions discussed more thoroughly by IT

• Section 5: Data sharing and long-term preservation

• How, when, where and to whom will the data be made available? How and where will data with long-term value be made available?

• After the research project

• Which part of your material and data could be reused in the future? (Valuable material)

• Persistent identifiers (e.g. doi, urn) for those sets that can be set openly available;Ensures findability and citability of your data

• Favour archives with a certificate for long-term preservation(e.g. DSA-certified)

• Section 6: Data management responsibilities and resources

• Who will be responsible for specific tasks of data management during the research project life cycle? Estimate also the resources (e.g. financial, time and effort) required for data management.

• Some of the responsibilities have already been described in the previous answers. You can refer to them or summarise all responsibilities with an estimation of the resources needed.

• Estimate the need to hire expert help to manage, preserve and share the data.

• Consider the additional computational facilities and resources that need to be accessed, and what the associated costs will amount to.

• Remember to specify your data management costs in the budget, according to funder requirement
