SUBJECT: Summer Session 2020
We are beginning the process of scheduling summer courses. Over the next month (October 7-October 25),
departments can submit and edit course offerings for Summer 2020 via the University’s Course Scheduling
System (CSS). If training is needed for CSS, please contact Amy Brainard in Scheduling at
[email protected]. Once your department has completed entering information in CSS, please
contact our office at [email protected] or 848-932-7565 so that we may review the data submitted.
It is important that deadlines are followed. As required by the W/S instructor union contract, summer
course information must be provided before the winter break.
After Summer Session course offerings have been received and reviewed in CSS, the data will be transferred
to DICES, Summer Session’s Department Interactive Course Editing System, a repository for course and
instructor payroll information.
Departments will propose salary for instructor appointments in DICES from February 12-March 20, 2020.
We will send detailed information to the departments in late January/early February concerning the process.

Summer Session 2020 Production Schedule for Academic Departments
Date Action
October 7- October 25, 2019 CSS is open for departments to enter and review all course information
for Summer Session 2020. Departments will notify appropriate
Summer Session course manager (below) when your CSS review is
complete. Summer Session staff will proof course listings and work
with Scheduling to receive final approval.
Marketing: In an effort to help promote summer course offerings,
departments/instructors can request to have courses featured in various
marketing materials by filling out the Featured Course Request Form,
which can be found at summer.rutgers.edu/facstaff/staff.
October 30, 2019 CSS closed to departments. Any course changes after this date must be
sent to your Summer Session course manager.
November 11, 2019 Last day for Summer Session course managers to proof courses in CSS.
As Summer Session is finished with a department, they will notify the
Scheduling Office.
November 12- December 9, 2019 Scheduling Officer assign class meeting space in CSS.
December 10- December 23, 2019 Summer Session proofing of room assignments in CSS.
January 3, 2020 Last Changes sent to Scheduling
January 6, 2020 CSS data feed to DICES
January 6-17, 2020 Summer Session reviews data feed in DICES. DICES is open to
Departments to add special fees, high school course distinction, and
department contact information. Summer Session managers will review
information entered by departments.
January 21, 2020 Summer Session website goes live. Schedule of Classes (with course
descriptions) go live for Summer 2020 courses.
February 10, 2020 ITACS activates Visiting Student Registration form on Summer Session
website.
February 12 - March 20, 2020 Departments assign instructors and salaries in DICES. Information will
be sent out to departments in early February.
February 17, 2020 Registration for Summer 2020 goes live.

Instructions for Scheduling Summer 2020 Classes in CSS
1) To access Summer 2020 courses please visit https://sims.rutgers.edu/fco/
2) The system will be available for course data updates from October 7 through October 25, 2019.
3) CHANGE: Summer Session Courses came over as “N” (not for print) so you will need to
REVIEW and CHANGE this to a “Y” if it is to be displayed in the SOC. Make sure you SAVE the change. Scheduling prepared the term this way so that all departments REVIEW EVERY section for accuracy.
4) Section numbers and Session IDs are assigned by the date the course is offered. Courses are
required to begin and end in the selected section. The “Summer Session 2020 Dates” and “Meeting Times” will guide you in determining the course section number and correlating Session ID.

0 The numeric digit in the Section # (e.g. A1, H6…) designates the time of day the course is scheduled. Section numbers 1-5 are for courses during the day; 6-0 are for evening courses beginning at 6:00 pm or later. If you are offering Pearson Online Managed courses, please contact your Summer Session course manager for special session/section coding information.
5) When offering an online or hybrid course, you must click on course ‘type,’ selecting ‘online’ or ‘hybrid’ and click on ‘CMS,’ selecting the appropriate online platform (e.g. Canvas, P- Non-Managed Pearson, A-Pearson Managed Program Online Course, S-Sakai, B-Blackboard…) when you are in the edit mode.
6) To accommodate student demand we suggest offering a sufficient number of sections of core curriculum and major requirement courses (often at the 100-200 level) on each campus to reduce unnecessary inter-campus travel by students. Furthermore, upper-level courses for each major should be scheduled on the same campuses.
7) It is important to have a well-balanced distribution of courses throughout the week. This will
give students greater freedom of choice in selecting courses and will reduce congestion during peak periods.
8) You can download your department course data into an Excel spreadsheet from the Course
Scheduling System.
HELPFUL HINTS AND UPDATES FOR CSS

You need a NETID and must have completed the ACS User Form to access the course scheduling system. These forms can be found in the Appendix section of the User Guide. If you have problems with access to the system or need training in updating course data, please contact Amy Brainard at the Scheduling Office, [email protected].
You must go into EDIT mode for EVERY section and SAVE even if there are no changes in order to have the section noted as REVIEWED. For courses with multiple sections, it is easier to bring the subject/course up on the screen and use the SUBMIT button at the end of the page if no changes are needed.
If any of the fields such as “Section Note, “Topic Title,” “Cross-listing,” “By Permission of the Instructor/Department” are updated, please DO NOT re-enter the data in the MEMO field. If information applies to ALL SECTIONS of a course and cannot be entered in any of the fields, enter it in the MEMO field only once and indicate that it applies to all sections.
You must enter “Open to Class,” “Open to Major,” or “Class Restrictions” values in numerical sequence. For example: Open to Majors: 119, 377, 497; Open to Class: 1, 2, 3, 4; Class Restriction: 05, 06, 07, 08, NM. An error will appear if not entered correctly.
If the PREREQUISITES/COREQS are already there and correct, DO NOT re-enter them in the MEMO field.
If you do not have a specific instructor assigned yet to a course, leave it blank.
Complete the Enhanced Classroom Request Form ONLY if media equipment is needed. You can check the equipment available by visiting the Enhanced Classroom Support web page at http://cat.rutgers.edu/ecs/
Once you are at the CSS home page, you can access the User Guide that contains detailed explanations on how to navigate the system. You may want to print a copy for quick reference.
If you are changing the section/dates of a course for Summer Session, make sure you select the new date in the “Summer Session Dates” drop down date field while in the edit mode. Also please add a note in the memo field that you have changed the section/date.
If there is a special program fee for the course, please enter that fee in the note section.
The Summer Session section date field will appear on the Schedule of Classes, so there is no need to add the dates to the note section. For special courses that do not run the entire session, however, please add the specific dates in the note section.
DICES INSTRUCTIONS AND UPDATES
When you first log into DICES http://dices.rutgers.edu you will be asked to update your departmental contact information before proceeding to the course information. You must click on “update” or the system will not take you to your courses. This information is important as we use it to stay in touch with you.
Enrollment Patterns Enrollment trends over the past summers provide an indication of the demand for your department’s offerings in general, and for individual courses in particular. Use DICES, Department Tools, to view past session enrollment patterns. Specifically, Report #6 “Current Enrollment by Department’ gives you a list of courses that ran by Dept/Subj. for a specific semester/year. In order to run this report, you must identify/select:

Course Descriptions Course descriptions are captured from degree navigator. If you have a description for a special topics course ONLY, please send the description to your Summer Session course manager. We encourage you to use the course synopsis link on CSS and link to your own department’s page if you want to list expanded course descriptions.
While in DICES, please remember to:
check off those courses that would be appropriate for high school students Add any course fee and/or special fees that that student is responsible for Update your department profile Assign instructors and propose salary
All other changes in courses should be e-mailed to your Summer Session course manager. He or she will coordinate with Scheduling to update CSS directly. Do not contact Scheduling directly with changes.
