Introduction

Dagomerash Business Solutions is pleased to submit a proposal for digitization services and

E-learning Hub System to Jaramogi Oginga Odinga University of Science and Technology.

This proposal describes the technology, services, terms, and schedule for digitization

processes for the courses done in the university.

Dagomerash Business Solutions produces accurate, and if the application warrants,

archival quality digital images resulting from a variety of original materials. Our services are

all-inclusive, relieving our clients of the burden of seeking out multiple vendors in hopes of

attaining a balanced solution. We often are asked to make recommendations on

specifications for multiple derivatives based on how the digitized documents will be utilized

services.

default is to perform 100-percent full-image quality review of all scanned images. Our quality

assurance professionals check and recheck the quality, legibility and accuracy of scanned

files, which can be created to most specifications for resolution, processing, organization, file

naming, file format, and delivery media

Data Security: We render documents to read only format, thus aiming at reduction of

plagiarised content within students in the university. We aim at always ensure not only data

integrity but also its security. We invest in time to counter check data and spot any

Services & Technology

The Digitization project will be completed in the following way:

1. Dagomerash Business will assign a project manager to oversee the project and serve as

a single point of for project communication. The Dagomerash Business project team will

also consist of additional data analysts and other support staff members who will contribute

as project requirements dictate.

2. Project work will generally take place at both the Dagomerash Business facilities and

Client facilities, however Dagomerash Business project manager will coordinate regular on-

site visits on Client premises for meetings, evaluations, observations, reviews, testing, and

other project purposes as needed.

3. All project work will be in accordance with accepted best practices for digitization protocols

4. Key requirements for the digitization process will be established and documented in

Planning stage, and will be added as an Addendum to the Statement of Work.


Deliverables

Dagomerash Business Solutions will deliver the following items during or at the conclusion

of the digitization project

1) Fully digitized course content for each unit, in each course, for the entire faculties.

2) A catalogued systematic digitized database of the content.

The timeline for project milestones and deliverables is listed in Table 1.

E-Learning System

The Electronic Learning Hub Portal

The E - Learning Hub portal will serve as the premier destination for education and training

related to the JOOUST courses and will be accessible from the JOOUST intranet. This

process occurs once the course material has been digitised. The Learning Hub Portal will be

hosted on Dagomerash servers. Content and functionality will include:

• A learning module describing JOOUST courses

• Access to JOOUST demo software, which will also be available from the Dagomerash

Development Network (CDN) site

• Learner Management front-ends which provides/collects and reports:

• A pre-assessment module to confirm sufficient COM knowledge to prior to beginning the

WBT

• Web-based training Courseware for learning JOOUST

• Training support including:

E-mail contact with the Learning Hub administrator for problems and questions

Help on navigation, etc. within the Learning Hub and Courseware

Frequently Asked Questions (FAQ) about the Learning Hub, JOOUST and

Courseware

Link to the CDN site where Forums, Chats, JOOUST software assistance will be

available

The E-Learning Hub portal will primarily concentrate on supporting the digitized courses for

JOOUST



Terms and Agreement

Digitization Service Budget Outline

The terms for the digitization project are defined below:

Digitization costs per University course

The table breaks down the digitization costs per course at 25,000 per course. This provides

an economical costing mechanism as it averages the number of units per course at 40. Thus

ideally it implies that for as little as Kshs25, 000, approximately over 40 units will be

digitized. In a university with 82 courses in all the faculties combined will translate to Kshs

2,050, 000 as the grand total for digitizing 82 courses. If there are 12 faculties in the

university it translates to a distributed cost of Kshs 170833.333 per faculty only. Thus we

offer not only quality but affordable solutions.

A comprehensive breakdown of the Kshs 25,000 fee per course outline is as follows

JOOUST Learning Portal and Courseware Development Time and Costs

The estimated projected man - hours and costs for design and development of the JOOUST

Learning Hub Portal and the JOOUST Courseware are presented below. These estimates

are based on the design and development of a JOOUST Courseware solution consisting of

15 topics with an average of 5 enabling objectives per topic. The estimates also include

design and development costs for the JOOUST Learning Hub (Portal).


BACK-END SYSTEM DEVELOPMENT AND HARDWARE DEPLOYMENT TIME AND

COSTS

The key hardware to be provided include: 16GB USB flash drives and Android Tablets. The

USB drives will be provided at a cost of Kshs 2,500. The tablet will be for registered distance

learning students to access the E-learning hub system with ease. It will be provided at a cost

of Kshs 28,500 each.

Hosting: Base fee of Kshs 1200 per month payable one year in advance

(Kshs14,400). This figure includes all normal costs for the hardware and software

required to deploy the JOOUST Learning Hub.

TRAINING COSTS

The final phase of the whole project will entail training of staff on the use of the system. A

breakdown often budgetary costs is as described below

Materials Costs

Hardware and software costs required to develop and deploy the JOOUST Learning Hub are

absorbed by Dagomerash. Other one-time or unusual material costs will not be incurred or

billed without prior written authorization from Dagomerash.

Other Direct Expenses

Other direct expenses will be incurred throughout the lifecycle of the project to primarily

include travel and travel expenses for Dagomerash personnel. No significant travel expenses

or other direct expenses will be incurred or billed without prior written authorization from

Dagomerash.
