Create An Image:

1. “Edit” the page2. Place your cursor where you want to add the image3. Click the “Insert Image” icon: 4. From the Image Properties window, Click “Browse Server”5. Click “Upload” in the file browser window6. Choose the image from your computer and click “Upload”7. Click on the preview of the image in the file browser window8. Click “OK” in the Image Properties win-dow9. “Save” the page

Delete An Image:

1. “Edit” the page where the image appears2. Click on the image3. Click ”Delete” on your keyboard4. “Save” the page

These are instructions for creating and deleting an image in the body content of a page. If you would like to add other types of images (e.g. header image, spotlight), please see instructions else-where in this guide.

File AttachmentsFile attachments are any PDF, Word, or Excel document uploaded to the website.

Create A File Attachment:

1. “Edit” the page where you want to add the link to the document2. Highlight the words that you want to link to the document3. Click the “Insert Link” icon4. Click “Browse Server”5. Click the folder that says “File Attach”6. Click “Upload”7. Select the file from your computer that you want to upload8. Click “Upload”9. Click “Insert File”10. Click “OK”11. Click “Save”

Delete A File Attachment:

1. “Edit” the page where the link appears2. Highlight the text that is linked3. Click “Unlink” icon4. “Save” the Page

File Attachments On The Intranet:

1. “Edit” the intranet page2. Highlight the words that you want to link3. Click the “Insert Link” icon4. Click “Browse Server”5. Click the “protected pages” folder6. Click your department’s folder7. Click the folder that matches the type of password protection you need: community, intranet, minutes8. Click “Upload” and find the file on your computer. Click “Open”9. Click “Upload”10. Click “Insert File”11. Click “OK”12. “Save” the page

What does it mean for my file attach-ments to be password protected?

There are three types of password protection used on intranet pages and file attachments.

Community = all faculty, staff, studentsIntranet = all faculty, staffMinutes = only faculty, staff in your dept.

Moderation of Program PagesWe are using a Drupal module called Workbench to implement an editorial workflow on program pages. Program pages are any page found under the “Program of Study” menu on your website. Program pages are a separate content type in your website. The content can be viewed by going to “View Content” and selecting “Program Pages” as the content type you want to view.

Create A Draft (for all editors):

1. Click “New Draft” on the page where you want to revise content2. Revise the content3. Scroll to the bottom of the page and se-lect “Publishing Options”4. Under “Moderation State,” select “Needs Review”5. Add comments you would like to send to the reviewer in the text box that say s Mod-eration Notes.5. Click “Save”

Publish A Draft (for only collegewide editors):

1. Click “View Draft” and review changes2. If changes need to be further revised, click “Edit Draft”3. If changes look good, click “Moderate” and select “Published”3. Click “Apply”

Drupal will automatically notify the college-wide editors that you have modified a pro-gram page and that the changes are await-ing approval.

HomepagePages in Drupal are database-driven, meaning that content is displayed on a page through server-side software and does not live in static HTML. The homepage includes a title, body content, additional body content in two columns, contact information, and a list of programs. The homepage can also include a slid-er or static header image, two feature spotlights, and a calendar.

Program PagesProgram pages are dedicated pages to display program and major details. These pages are segmented out for tracking and maintenance purposes. Content managers from each department may edit program pages, but updates must be approved by the publishers of the website in the dean’s office.

Protected PagesProtected pages are password protected with either community, intranet, or minutes permissons. Community password protection allows all Loyola students, faculty, and staff to view the page. Intranet password pro-tection allows all Loyola faculty and staff to access the page. Minutes password protec-tion allows only faculty and staff in a specific department to access the page.

The format of protected pages is deter-mined by the SACS Committee at Loyola in the Office of Institutional Research & Effec-tiveness. Annual reports, strategic planning, and assessment documents should be post-ed to your protected pages.

MODERATION

Bio PagesAll faculty and staff at Loyola should have bio pages posted on the Loyola website. Bio pages contain a brief overview of a person’s career and contact information. For faculty, bio pages display important information about publications, the cur-riculum vitae, and areas of expertise that may be pertinent for media inquiries.

Global NavigationThe Global Navigation appears on every page on the Loyola website. It includes the Loyola search. Web editors do not have the ability to edit the global navigation.

BannerThe banner of your website identifies the name of the site. When you click on the Loyola logo in the banner, it will al-ways take you back to the Loyola homepage. When you are on an interior page of your website and click on the banner, it will take you back to your website’s homepage. Web edi-tors do not have the ability to edit the banner.

SliderThe slider allows for up to three slides to be promoted on your homepage. Sliders must include an image 1980x750 pixels, a headline, and a brief description. No graphics will be accepted.

A header image is the panoramic image that can appear on any page on your website. The header image appears above the content on your page and spans the width of the page. Your image will be cropped to 1170x450 pixels. These photos are usually broad in topic. Header images are used to display photographs and never graph-ics to advertise events.

NavigationThe banner of your website identifies the name of the site. When you click on the Loyola logo in the banner, it will al-ways take you back to the Loyola homepage. When you are on an interior page of your website and click on the banner, it will take you back to your website’s homepage. Web edi-tors do not have the ability to edit the navigation.

Loyola By The NumbersLoyola by the numbers is a sitewide feature that can highlight three facts about Loyola or about the college. The content cannot be edited by web editors, but can be changed globally through a request with the webteam.

Program ListingThe program listing appears on a homepage and outlines the programs offered in a college or department. This is part of the template of the website and cannot be edit-ed by the by the web editor.

Faculty/Student SuccessThe faculty and student success features on your homepage are populated through the “Achievements” content type. To create a new achievement, go to “Create Content” and click “Achievement.” To feature the achievement on your home-page, click “Featured achievement” to promote on homepage.

ShowcaseThe showcase on your homepage are feature spotlights that are promoted on your homepage. These can be switched out by editing the homepage and selecting or creating a new spotlight to replace it.

CalendarThe calendar appears on the homepage and is populated with content through the university calendar.

Related ContentRelated content can be added to any page except the homepage. Related content allows you to add an image, a headline, text, and a link to promote related links at the bottom of a page.

ResearchResearch is used to display current undergraduate research projects. A research project must include a title, summary, description, and contact information for the person who oversees the project. A single image may be uploaded to represent the project. The image must be at least 262x168 pixels.

AchievementsAchievements are used to display student, faculty, and alumni successes. One student/alumni and one faculty achievement can be featured on your homepage. Images should be uploaded as their original size. Drupal will automatically crop the image for use as a thumbnail for achievement listing pages, a second size for the full achievement page, and a third size to be featured on the homepage.

Spotlight: FeatureFeature spotlights promote an event or program, or highlight important information, and direct users to related web pages. Feature spotlights contain a short headline, an image 237 x 200 pixels, short description, and an optional link to more information. The feature spotlight appears in the right column of a page and you can have up to three feature spotlights promoted on a page.

Spotlight: QuoteQuotes from students, faculty, or alumni provide an oppor-tunity to tell the story of the services you or your depart-ment offer, providing users a tangible face and name to the story. Quotes may be displayed with or without a photo of the person. We recommend quotes be no longer than two brief sentences. If a photo is used, we recommend a close-up shot of the individual quoted. Photographs should be professional quality, meaning they should be in color and in focus. Quotes always should be from real people, preferably someone who has directly benefited from your department or offices’ services or programs. Enter in a quote, the per-son’s full name and title, and optionally upload an image 237x200 pixels.

Spotlight: Text BlockThe text block spotlight can be used to list pertinent links, display contact information, or just highlight important notes that are relevant to the page where it’s displayed. Images are not allowed in the text block.

Spotlight: VideoDisplay a video from vimeo.com as a spotlight. Drop the URL address of the video from Vimeo into the spotlight and Drupal will do the rest.
