PURPOSE The Lan-Grove Office Training Centre Pty Ltd trading as The Sydney Business and Travel Academy (SBTA) and The Sydney English Language Academy (SELA) herein known as “The Academy” will ensure that it will provide all prospective students are adequately informed about The Academy and its services prior to commencement of services. 2. POLICY STATEMENT The Academy will ensure all learners or prospective learners are provided with information that outlines the services of The Academy, the rights and obligations of the learner and the rights and obligations of The Academy. Students are responsible for submitting a valid enrolment that is in accordance with the Academy’s policies and procedures, course requirements, and any other criteria the student is required to meet. 3. PROCEDURES The Academy will ensure that prospective students are informed and protected prior to making a decision to study at The Academy. Prior to enrolment or the commencement of training and assessment, whichever comes first, The Academy will: a) provide advice to the prospective learner about the training product appropriate to meeting the learner’s needs, taking into account the individual’s existing skills and competencies. b) provide, in print, electronic or in person current and accurate information that enables the learner to make informed decisions about undertaking training at The Academy and at a minimum will include the following content: the code, title and currency of the training product to which the learner is to be enrolled, as published on the National Register including the CRICOS Course Code. the training and assessment, and related educational and support services The Academy will provide to the learner with the following as a minimum but not limited to: o entry requirements, course details including course outcomes o course costs including any miscellaneous fees and charges o course duration o course location/s o mode of delivery (e.g. face-to-face, distance, flexible mix-mode, etc) o any work placement arrangements o support services including educational and personal o living in Australia The Academy’s obligations to the learner, including that The Academy is responsible for the quality of the training and assessment and for the issuance of the AQF certification documentation in compliance with the Standards for RTOs and the National Code of Practice 2018 from the ESOS Act 2000. the learner’s rights, including: o details of The Academy’s complaints and appeals process, and

ENROLMENT POLICY AND PROCESSES 1. PURPOSE

The Lan-Grove Office Training Centre Pty Ltd trading as The Sydney Business and Travel Academy (SBTA) and The Sydney English Language Academy (SELA) herein known as “The Academy” will ensure that it will provide all prospective students are adequately informed about The Academy and its services prior to commencement of services.

o what happens if The Academy closes or ceases to deliver any part of the training product that the learner is enrolled in.

the learner’s obligations:

o in relation to the repayment of any debt. o any pre-requisites and requirements The Academy requires the learner to meet

to enter and successfully complete their chosen training product, and c) Where The Academy collects fees from the individual learner, either directly or through a

third party, The Academy will provide or direct the learner to information prior to enrolment of the commencement of training and assessment, whichever comes first, specifying:

all relevant fees and charges information including:

o fees that must be paid to The Academy, and o payment terms and conditions including deposits and refunds

the learner’s rights as a consumer as per our Refunds Policy, the learner’s right to obtain a refund for services not provided

by The Academy in the event that the: o arrangement is terminated early, or o The Academy fails to provide the agreed services.

Tuition Protection Services if The Academy fails to deliver the promised services.

4. ADMISSION CRITERIA

4.1 Prospective students are required to read the information on “Before you Apply” and Course Information which is available from The Academy’s website prior to making a decision about studying at The Academy.

4.2 If the prospective student is interested in studying at The Academy, the student can contact SBTA staff via email by sending an email to marketing staff at [email protected], via phone +61 2 9048 6900 or attend a face-to-face meeting with SBTA’s marketing staff if the student is onshore. If the student is offshore, the marketing staff will conduct an interview via Skype.

4.3 Students can also choose to apply via an authorised Education Agent who can support the

student with their visa application and enrolment process. The Education Agent must have a valid and current Agency Agreement with The Academy. Please note that the Education Agents are our third party who are only responsible for recruiting potential international students. All training, assessment, support services facilities, work placement, issuing of AQF qualifications and any other services are provided by The Academy.

4.4 The student must demonstrate and produce evidence that they can meet the entry

requirements to study a VET course. Entry to a VET course is: Student must be 18 years and over Minimum of year 11 or 12 or overseas equivalent as stated in the course requirements

Students must have minimum score of IELTS 5.5 or equivalent or an English proficiency of upper intermediate level or above from any NEAS accredited ELICOS provider.

REVIEW AND ASSESMENT OF COMPLETED APPLICATION FORM

4.5 Once the students decides to study at The Academy, the student must complete the “Application for Admissions” form which is available via our website www.sbta.com.au or via our reception. The Application for Admissions form includes questions and self-assessment checklist the students must complete in detail. Once completed, the students must forward it to The Academy together with all documentary evidence which is a compulsory requirement of an overseas student to study at SBTA. Students must submit at a minimum:

Certified copies of English language proficiency Certified copies of previously attained certificates or qualifications Evidence of work experience such as resumes, job descriptions, references

All supporting documentation must be written and translated in English.

4.6 On receipt of the Applications for Admissions Form, it is reviewed and assessed against the

‘Criteria for Admission’ by the Marketing staff. Application forms are not accepted without the appropriate supporting documentation. All supporting documentation must be certified by a Justice of the Peace or a Registered Education Agent.

4.7 Recognition of Prior Learning or Credit Transfer

In accordance with The Academy’s RPL and CT policy and procedure, the prospective student’s application for RPL and/or CT must be approved by the Principal before the application is processed. RPL and CT application fees must be paid upfront and not refundable once it is processed.

4.8 Academic qualifications and credentials

Minimum requirement for students to enter the VET course is minimum of year 11 or 12 or overseas equivalent as stated in the course requirements. Students supporting documentation such as previously educational history and workplace experience is also assessed against the students chosen course.

4.9 Applicants in some courses such as Commercial Cookery course must participate in a short

admission interview to ensure the applicant clearly understands the requirements of the program and the commitment they are making. The applicants can also have any questions they may have addressed at the interview prior to making a decision to enroll into their chosen course.

4.10 Establish English Language Proficiency levels

a) Students who do not hold upper intermediate level from any NEAS accredited ELICOS provider will have to undertake SELA’s placement test. The test assesses student’s grammar, reading, writing and speaking. To ensure that the test is authentic, students who undertake SELA’s placement test also have to demonstrate their speaking ability by recording themselves and sending their speaking test via an App (i.e. WhatsApp, Line, WeChat etc.) to the Director of Studies who assesses the students speaking test.

b) By observing the student speaking, the Director of Studies is able to assess the validity of the speaking component of the test by, for example, seeing if the student is reading from a pre-prepared set of answers or using the internet to read information verbatim from a

web page. This validates the authenticity of the placement test and also validates that it is the student who actually completed the test.

c) The mark for the speaking section of the test is also compared to the other sections of the test by the Director of Studies to add further validity to the process. If the speaking mark is significantly higher than other sections of the test, or if the student is producing grammar structures while speaking that they did not get correct in the grammar section of the test, the student may be asked to resubmit their recording.

d) International students who are unable to meet any of the above English language proficiency requirements may undertake further studies with SBTA’s sister college Sydney English Language Academy “SELA” to achieve the required upper intermediate level through SELA’s English language assessment procedures.

In some instances, students who hold an upper intermediate level or above from another NEAS accredited ELICOS provider might still have to undertake SELA’s placement test to ensure that the students English language level is at upper intermediate level.

LETTER OF OFFER AND STUDENT AGREEMENT 4.11 After review and assessment of the application form against admission criteria (including

English proficiency or enrolment in an ELICOS course), The Academy will then issue the student with a Letter of Offer outlining their course details, terms and conditions of enrolment and payment schedule with supplementary links to Student Handbook and any other supporting documentation such as Work Placement information as required.

4.12 Students are required to read the Terms and Conditions, sign the Student Agreement and return the signed Agreement and arrange for payment of the tuition fees for the first semester within two (2) weeks of receiving the Student Agreement. Students are advised to keep a copy of the signed Student Agreement. Students are also required to pay Overseas Student Health Cover if they are a Student Visa applicant. The student can pay fees via BPay, credit card, bank cheque or bank transfer.

CONFIRMATION OF ENROLMENT (COE)

4.13 The student will be issued a Confirmation of Enrolment (CoE) so that visa applications may commence, once the student has returned the signed Student Agreement, paid the first terms tuition fees and evidence of possession of Overseas Students Health Cover (OSHC) actions have been received.

4.14 If students are booking airport pick-up or homestay service, students must inform The Academy of their flight arrival details at least four weeks prior to their course commencement date. Details of student’s homestay will be emailed to the student two weeks prior to their arrival.

5. ENROLLING A STUDENT FROM ANOTHER PROVIDER PRIOR TO STUDENT COMPLETING SIX MONTHS OF THEIR PRINCIPAL COURSE As per Standard 7 of the National Code 2018, The Academy will not knowingly enroll a student wishing to transfer from another registered provider’s course prior to the student completing six months of his or her principal course of study except where:

The original registered provider has ceased to be registered or the course in which the

student is enrolled has ceased to be registered The original registered provider has provided a written letter of release

The original registered provider has had a sanction imposed on its registration but the Australian Government or state or territory government that prevents the student from continuing his or her principal course; or

Any government sponsor of the student considers the change to be in the student’s bet interest and has provided written support for that change.

Refer to “Student Transfer Request Assessment Policy and Procedure” for more information.

6. COURSE COMMENCEMENT

If the student fails to arrive for their course within 28 days of the course commencement, the student default will be reported to Department of Home Affairs through PRISMS. If The Academy is unable to deliver the nominated course due to unforeseen circumstance the Secretary and the TPS Director will be notified via PRISMS within three business days.
