Types of software Text editors e.g. MS Word

For creating documents that can be printed forreading.

Database e.g. MS Access  To store large amount of non-numerical data

Spreadsheet e.g. MS Excel  To calculate, analyse, graph numerical data

Lots of others….

What is a spreadsheet?

1. A piece of paper with rows andcolumns for recording financial data for

use in comparative analysis.

2. Computer Science. An accounting or

bookkeeping program that displays datain rows and columns on a screen

Excel 2007 main new features

Toolbars and menu‟s => Ribbons

255 columns => 16,384 columns

65,536 rows => 1,048,576 rows

16.7 million cells => 17 billion

cells

Old things made easier

Small exercise….

In which Column is

“Peter”?

In which Row is“Carl”?

In which Cell is ‟12‟?

Typing text

The active cell has athick black border

The values typed inwill show while typing,also in the formulabar

The location of thecell is shown in theformula bar.

Simple exercise

Is cell D3 the activecell?

Is cell D3 empty? Is cell D4 empty?

What is the activecell?

Is it empty?

Excel as calculator

Basic mathematical operations:

Addition => +

Subtraction => -

Multiplication => *

Division => /

Power => ^ (e.g. 32 = 3*3 => 3^2)

Page 19: Excel Introduction and Referencing

http://slidepdf.com/reader/full/excel-introduction-and-referencing 19/29

Text or formula

Excel does not know if you want to do amathematical operation or want to show

text. E.g. if you type in 2+5 Excel does not

know if you want to see the result (7) or

the equation itself (2+5)

If you want to see the result of anequation/formula start with „=„

Page 20: Excel Introduction and Referencing

http://slidepdf.com/reader/full/excel-introduction-and-referencing 20/29

Example using „=„

Let‟s say we want

Excel to calculate 5+8

for us. Type in: =5+8

Press enter

If we type in 5+8 andpress enter we get

Page 21: Excel Introduction and Referencing

Small note

If you use the equalsign you will see theresult in the cell.

You will still see theformula in the formulabar.

To alter the formula: click on the formula in

the formula bar; press F2 on the

keyboard or

double-click in the cell

The power of Excel (part 1)

CELL REFERENCING

Makes it possible that if one original value

changes, all other values changeaccordingly

Page 23: Excel Introduction and Referencing

http://slidepdf.com/reader/full/excel-introduction-and-referencing 23/29

Non-cell referencing example

A course has two grades

Each grade has a

different weight The final grade is

therefor 8.5

Disadvantage:If we change the gradeor the weight we have toretype this long equation

Page 24: Excel Introduction and Referencing

http://slidepdf.com/reader/full/excel-introduction-and-referencing 24/29

Cell reference example

If however we type in:

If we now change any

of the four originalvalues, the final gradewill automatically bere-calculated

Page 25: Excel Introduction and Referencing

Small note on cell reference

To let Excel know that you want to refer toa cell, use again the „=„ sign.

L6 => will show the text L6=L6 => will show the value of the cell L6

Excel will use colors to make it easy to see

what cells are referred to You can alter the formula/reference in the

same way as discussed for formula‟s
