Welcome Message

Dear Exhibitor

On behalf of the Project Steering Committee for the NAACAM Show 2019, we would like to thank you

for partnering with us as exhibitors. The Show is expected to see +1600 industry members converge

on Durban for the two and a half day conference, exhibition and pre-arranged buyer-supplier

meetings. The objectives of the NAACAM Show 2019 are to deliver a premier event which:

• Facilitates localisation, intra-African trade/industrial linkages, and exports from sectors

determined to be globally competitive;

• Enables Foreign Direct Investment (FDI) and technology partnerships;

• Promotes the development and growth of local suppliers; and

• Facilitates outcomes-based dialogue

We remain on track to present an enhanced, world class delegate and exhibitor experience based on

global benchmarks for this kind of event.

We will be working hand in hand with the entire staff, as well as the various contractors and suppliers,

to assist you with your planning, the move-in, the duration of your stay at the Show and move-out. To

make this experience easier and to maximise the benefits of exhibiting at the Show we have developed

this manual as an information guideline.

Should you have any questions, or need additional information relating to the exhibition, please direct

all enquiries to our office. The project management team will assist with all aspects of your

participation at the Show. Feel free to call upon us at any time.

The NAACAM Show 2019 is to be held from 12-14 March, 2019 at the Inkosi Albert Luthuli ICC Complex, 45 Bram Fischer Rd, Durban. The Exhibition will be held in Halls 2, 3, 4, and 5 and the conference will take place in Hall 1.

Exhibition Hours

Wednesday 13 March: 07:00 – 17:15, networking function 17:15 – 19:00 (exhibition stands must be

staffed during the networking function)

Thursday 14 March: 07:00 – 16:30 (Note the closing conference session takes place in the exhibition

area)

Registration & Collection of Exhibitor Delegate and Visitor Passes

Conference delegate registration will take place from 07:00 to 10:00 on Wed 13 and Thurs 14 March.

Early registration for pre-events will take place on Tue 12 March from 13:00 to 14:00

Exhibitor delegate and visitor passes will be issued at registration as follows:

• 2x2 Shell Scheme: 4 exhibitor firm representatives and 2 exhibitor visitor passes

• 3x3 Shell Scheme: 6 exhibitor firm representatives and 2 exhibitor visitor passes

• 3x 6 Shell Scheme: 9 exhibitor firm representatives and 3 exhibitor visitor passes

Venue Information

Opened by former president, Nelson Mandela in 1997, the Durban ICC was South Africa’s first

International Convention Centre and has played a pioneering role in attracting international events to

our shores since its inception. This world-class facility, renowned for its high standards of service

excellence, has successfully staged some the world’s most prestigious and complex events.

The Centre maintains its ISO9001 certification for Quality Management in its operational systems,

ISO14001 for its Environmental Responsibility, OHSAS18001 for Health & Safety and its ISO22000

certification ensures the highest standards of Food Safety. The Centre is fully Wi-Fi enabled and

connectivity is complimentary to delegates and guests. The Centre is located 30 min from the King

Shaka International Airport and over 3,600 Hotel rooms are within a 10-minute walk of the Centre.

Parking

A ‘park & pay” system is in operation in the Durban ICC basement parking, with entrance via Bram

Fischer Road (formerly Ordnance Road). A parking voucher is withdrawn from the electronic

dispensing machine at the boom entrances. Payment must be made on leaving the building at the pay

stations located just outside the main basement foyer doors. No Pre-Paid / Reserved Parking Available.

Security

24-hour security is provided for the duration of the NAACAM Show, however responsibility for

valuable items remains in the hands of exhibiting organisations. Please do not leave valuables

unattended. Please ensure that the expensive items like LCD monitors are logged in with Security

before entering the exhibition.

Storage

The venue does not provide storage facilities. No storage facilities will be permitted within the

exhibition hall or behind the individual stands for safety reasons. Stands that require storage need to

accommodate a storage area within their designated stand. (Lockable cupboards are advised for

security purposes)

Smoking

Please note that the Durban ICC is a smoke-free venue. As per Government legislation no smoking is

permitted within the venue. Designated areas have been allocated and these must be strictly adhered

to as per the Tobacco Products Control Act 1999

Catering

There are 3 restaurant areas and 3 stations designated to serve meals and beverages for all the

exhibitors as well their visitors during the exhibition. Exhibitors can contact the ICC to arrange a

catering account for the staff manning their stand (deadline to arrange is Friday 1st of March 2019).

Accommodation

A large number of excellent hotels are located very close to the Durban ICC. The Hilton and Quarters

Hotel in Florida Rd are recommended. It is advised to book accommodation in the Durban City area,

rather than further north in Umhlanga as travel distance and traffic may cause delays getting to and

from the venue

Buyer-Supplier Linkage Meetings

Dedicated meeting rooms will be allocated to the pre-arranged buyer supplier linkage meetings that

will take place for the duration of the Show. A pre-arranged schedule will be communicated to the

participants once finalised.

Information required prior to inclusion includes company details and contact person, as well as the

specifications and quantity of the part/s required. Suppliers should submit company details, a

company profile and capabilities, with a contact person.

Loading docks/Off loading/Loading procedures To facilitate smooth set up and breakdown of exhibitions held at the venue, a traffic management system is operated as follows:

• Durban ICC: Goods to be exhibited must be delivered to Gate No. 1, via Stalwart Simelane Street (formerly Stanger Street) to the relevant loading dock ( closest to your stand)

Dimensions: Durban ICC Loading Dock 1 to 4: Height - 5 metres Width - 7 metres The venue will not take accountability or responsibility for goods that arrive early or which are left after the official breakdown period of the exhibition. Should the venue need to dispose of any items, the costs thereof will be charged to the Exhibitor concerned.

6x6 Open Space (5 complimentary exhibitor visitor passes and up to 12 exhibitor firm representatives)

R55 000 per stand booked and paid before 28th February 2019

• A space in the venue allocated to your organisation and which you are responsible for dressing

and branding

• Durban ICC Halls are carpeted with 1m² carpet tiles (charcoal with an orange dot in the

centre). If you need additional carpeting, this must be ordered and structured with your

appointed stand builder.

• A member of the organizing team will be available to escort you to your stand on arrival.

• Please note that if your booked space on the floor plan is in the middle of a row, or on either

side of another stand, it is most likely that the neighbouring stands, including the stand behind

yours, will have shell scheme walls defining their area. These walls will then also by default

define or border your space.

All 6x6 Open Space stands need to order a DB Board. Different options are available depending on

your requirements, this will need to be ordered by the exhibitor at an extra cost on the online

booking system by perusing the furniture rental catalogue at the link listed below.

• Online ordering will close 28 February 2019

• Late orders from 28th February to 6 March will incur a 20% surcharge

• Orders after the 6th March will incur 100% surcharge

• Onsite order will be present on the day of build- up, orders to be placed before midday will

be delivered by 4:00pm the same day and orders after midday will be delivered to the stand

the next morning.

Setting Up

To facilitate smooth set up and breakdown of exhibitions held at the venue, a traffic management

system is operated as follows:

Goods to be exhibited must be delivered to Gate No. 1, via Stalwart Simelane Street (formerly Stanger

Street) to the relevant loading dock (closest to your stand)

Durban ICC Loading Dock 1 to 4: Height is 5m, Width is 7m

The venue will not take responsibility for goods that arrive early or left after the official breakdown

period of the exhibition. Should the venue need to dispose of any items, the costs thereof will be

charged to the Exhibitor concerned.

A porter service, to assist exhibitors get their handheld goods to and from their stands during build up

and breakdown, is included in the rate per m².

This service is supplied by DB SCHENKER as the official and exclusive logistics provider to the NAACAM

Show.

Due to the fact that there is no storage space at the ICC – all Exhibitors are required to ensure that no

goods be delivered to the venue ahead of the set up day. DB SCHENKER will collect your goods, store

if required and then deliver to your stand on the set up day. Please contact DB schenker directly for

all freight forwarding and logistics services.

Breaking Down

All construction materials, tools and containers must be removed by 17:00 on the 15th March 2019.

Exhibitors who have not finalised, cleaned and left site by 17:00, a ‘fine’ of R 2 000 per hour or

thereafter will be levied.

Insurance & Liability

The organisers have public liability cover and will implement measures to reduce the chance of loss.

Exhibitors are encouraged to insure their items on display if required since the organisers will not be

held liable for any theft of goods. Please ensure that your stand is resourced for the entire duration of

the Show, including build up and breakdown. The organisers will also not be held liable for any injury

or fatality however caused for the duration of the Show, build up and break down. Participation is at

the participants own risk.

Show Rules and Regulations

General

• Exhibitors may not hand out pamphlets from any area other than their stands.

• Exhibitors are not permitted to affix advertising or similar material to any external or internal structure or to the floors of the ICC. Exhibitors are not permitted to drill holes, bolts or screws or nails into the floors. No exhibitor advertising material shall encroach on or overhang any passage.

• The exhibitor shall not interfere with or connect to any electrical, gas, water or other fittings without prior consent of the Organisers.

• The Organisers reserve the right to restrict the number of, or cancel presentations or demonstrations causing obstructions within aisles.

• Removal of goods or exhibits during the exhibition period is not permitted.

• In the interest of the exhibition, it may be necessary to remove or alter anything to the stand if the Organisers deem this action must be taken. This would be at the expense of the offending exhibitor concerned.

• Exhibitors and their guests are kindly requested to vacate the Exhibition Centre no later than 1 hour after closing time.

• No exhibitors may take possession of their stand space until full payment has been received.

Staff manning exhibition stands

• Please ensure that all staff that are likely to be playing a role at your stand at the Exhibition are registered with the organizers.

• It is important to have staff registered as this will ensure that their access tags will be pre-captured for them at registration.

• Staff details can be registered during the booking process. If details are yet to be registered, they may be added via the online booking system

Custom Built Stands

• Anything that reaches a height of over 3 meters must have a Structural Engineer’s Certificate.

• Space only exhibitors may NOT use the reverse side of neighbouring Shell scheme.

• Space only exhibitors may not place branding on the reverse side of any construction that ‘over-shadows’ neighbouring stands.

• Space only stands must finish off all external walls (including painting white)

• All electrical requirements (for space only exhibitors) and any electrical requirements greater than the standard 30amp single phase plug point (or 15amp plug points exhibitors that have opted for a shell scheme option) must be ordered online in the audio-visual catalogue at www.naacamshow.co.za / Make a Booking / Click here to rent Furniture and Audio Visual

• All drawings / stand designs for custom built stands needs to be e-mailed to Graziella ([email protected]) by NO later than the 8 February 2019 for final approval with the Safety and Security Officer.

• Please also advise us if you are intending bringing a vehicle / heavy machinery onto the Show, as there are specific regulations pertaining to this.

• An electrical certificate compliancy needs to be produced upon completion of the custom-built stand, to the appointed Health and Safety Officer (Mr Bryan Schaik).

• No nails, pins, staples, screws etc. are to be used on the shell scheme. Advertising material may be fixed by means of prestik or double- sided tape only on the board, NOT the aluminum sections.

• Painting of the shell schemes is NOT permitted.

• Exhibitors may NOT use the reverse side of walls belonging to neighboring exhibitors.

Health and Safety

• An Exhibitor intending to present and/or display equipment/exhibit product at their stand must:

• Give proper consideration to the safety of conditions under which the exhibit will be demonstrated.

• Securely install all working machinery to prevent base slippage and position such machinery so that the operation thereof will not cause intrusion into the aisle or otherwise prove hazardous to any persons.

• Adequately guard all moving parts of machinery to prevent injury to any person.

• Isolate starting devices to prevent operation by any visitor or other unauthorised person.

• Ensure toxic fumes, exhaust and/or other irritants caused by the exhibits / products are not released into the exhibition hall.

• Prior approval from the relevant controlling authority, in addition to that of the organisers & venue, must be obtained for such purposes.

• Ensure that adequate protection is provided to prevent damage to the hall flooring, carpets and facilities.

• Any damages caused will be the responsibility of the Exhibitor concerned who will be charged accordingly.

• Ensure that any product or display such as roofing, awning, ceiling or lighting must be highlighted in the respective stand plan and submitted to the venue for the appointed Safety Officer’s approval.

• No product or display will be permitted in the exhibition venue without the correct approval / permits.

• Ensure that all the relevant local Government authority licenses and/or permits are obtained and stipulated regulations and conditions are observed and abided by for the demonstration and/or use of electronics, radio and/or satellite receiving and/or transmitting equipment.

• All stand construction staff are required to wear their Company’s identification badges and/or company branded clothing, together with the necessary safety shoes and hard hats

• Exhibitors building customised stands are to contact Graziella Ventresca-Norton ([email protected]) for permission to commence construction earlier for approved setup times and schedules.

• Based on setup requirements, the organisers will allocate specific setup times per exhibiting organisation where necessary.

Fire Regulations

• No Hessian is permitted.

• Hessian is highly flammable and as such will not be allowed in the venue. Spraying Hessian with a flame retardant chemical does not help. We have had experiences where treated Hessian will still burn at a rapid rate, requiring spraying unnecessary. We therefore do not allow Hessian to be used

• No goods/exhibits may be removed before this time, it is important that a member of your

staff is present at the commencement of breakdown.

• Breakdown before the closing time is disruptive to fellow exhibitors and disrespectful to visitors that are still within the exhibition venue. We appeal to all exhibiting organisations to ensure that stands are resourced until closing time on both days.
