Important informationIn order to prepare for your arrival, we need you to read this booklet carefully as it contains instructions on how to complete the registrationprocess and secure your place.

This booklet will provide the basic information about Kent’s registration process. Our web pages for new students, www.kent.ac.uk/gettingstarted/,will guide you step by step through the enrolment process and will provide guidance and links for a whole range of information which you willneed as a new student.

Our online information is regularly updated to reflect new developments and you should check our website frequently.

Congratulations andwelcome to the University of Kent! You have reached amajormilestone in your academic career. University is a unique experience inwhich youwill learn not only about the subject of your choice but, equallyimportantly, it is a time in your life when youwill learn about yourself, who youreally are andwhat you are able to achieve.At Kent wewill assist you to realiseyour potential intellectually, socially and personally and youwill do this atattractive andwell-resourced campuses.

As a university with an excellent teachingrecord, major areas of research excellence,nationally recognised academic supportfacilities, collegiate-based pastoral system,state-of-the-art information systems, someof the best sports facilities in the countryand, via the Kent Students’Union and theUniversities at Medway Students’Association (UMSA), over 100 clubs andsocieties ranging from Salsa to Fencing, youwill soon realise that the ‘Kent Experience’will provide you with a vibrant communityand an ideal place to live and learn in thecoming years. There are several things you will need to do toget started at Kent. This booklet and theaccompanying website will give you all theinformation you need on how to register andenrol, what we expect of you as a student, andimportant arrival information. RESPONSIBILITIESOFTHEUNIVERSITYANDOF ITS STUDENTSExcellence in teaching and learning:Our responsibilities and yours inensuring the quality of your learningexperience.

You are expected to:• Abide by the University Regulations in relation toyour studies and residence and to behave in amanner appropriate to the University and itsplace in the wider community

• Pay all fees and charges due to the University inconnection with your studies and residence

• Take primary responsibility for your learning, inparticular;- To be self-motivated and self-directed in themanagement of your learning. Be attentiveand orderly in class and considerate in yourbehaviour towards all other members of theteaching community

- To pursue diligently such studies that arerequired of you by those assigned to teachyou. This includes reading material andundertaking prescribed learning activities,including attending lectures, tutorials,seminars, classes and other opportunitiesprovided for learning

- To fulfil the academic requirements of yourprogramme of study, including preparationfor classes and seminars, the submission ofwork by published deadlines, and attendanceat examinations

- To be diligent in your attendance andpunctuality and to notify the University whenyou have to be absent through illness or othergood reason

- To familiarise yourself with publishedinformation that will allow the selection, bydue deadlines, of the appropriate paths ofacademic study

- Not to plagiarise or to cheat when submittingwork for assessment

- To acquaint yourself with the variety ofacademic and student support servicesprovided by the University and to use themwhere necessary

• Agree to the processing of personal data inaccordance with the terms of the DataProtection Act and as set out in Universitypublications

• Register and maintain personal detailsaccurately on University systems and notifychanges promptly

The University as a learning andteaching communityA University is a community of people, academics,administrators and students, dedicated to learning,debate and the discovery and dissemination of newknowledge. The University of Kent places value oncritical thinking, the advancement of knowledge andthe pursuit of truth. All education is about developinglearning and enquiry, but as a university we focusupon areas at the boundaries of knowledge andwork to refine those methods of reasoning andunderstanding which help us to push back thoseboundaries: students and staff do this both togetherand independently of each other.

At Kent we strive for excellence in everything that wedo. We foster staff and students’ potential for highachievement and are committed to realising thispotential in part through independent research andresearch informed teaching and learning; we prizeand defend the special and intimate relationshipbetween teaching and research in a university.

The relationship between students and the university,particularly in relation to the teaching experience, ismutually dependent. The quality of a universityexperience is at least as much the outcome of theeffort and initiative that you put into the experience asit is of the teaching and facilities provided.Universities provide opportunities, not simplyfacilities and services, though we always wish theseto be of an appropriate and high quality.

University and student responsibilitiesTo achieve the maximum benefit from the teachingand learning experience, both students and theUniversity must commit resources and effort. Bothstudents and the university have responsibilities toensure that the learning experience is the best it canpossibly be; the University has responsibilities to you,and you have responsibilities to the university and toyourself.

The University will:• Provide an environment that supports yourintellectual, social and personal development

• Use reasonable endeavours to deliverprogrammes of study in accordance with thedescriptions in University publications and webpages

• Communicate clearly the requirements of eachprogramme of study

• Provide teaching, by appropriate deliverymodes, that it reasonably decides is necessaryfor programmes of study- This will involve a variety of learningopportunities provided by the University’sstaff or by other suitably experienced andqualified persons: for example lectures,seminars, practical classes, examplesclasses and laboratory classes

- The number of contact hours per week willdepend on the subject content of yourprogramme. Full-time undergraduateprogrammes expect students to do at least1200 hours of study per year which includesboth contact hours and private study. Thepattern of teaching and study required forspecific programmes can be found atwww.kent.ac.uk/student/studying/

• Provide feedback on written and otherassignments in accordance with publishedschool or faculty deadlines and standards

• Provide IT and Library support to facilitate studyand on the conditions set out in hard-copy andelectronic publications

• Provide a range of student support facilities toaddress academic and pastoral needs

• Provide registered students with residentialaccommodation (providing the University’sadmissions criteria are met) or assistance infinding private accommodation

• Monitor your performance and bring it to yourattention when it is unsatisfactory

• Provide the opportunity for student feedback onthe quality and nature of teaching provision andfacilities and use this to inform future practice

• Use all reasonable endeavours to ensure thatstaff are diligent in the execution of their duties

The University has a responsibility to ensure thatyou are not injured by its undertakings, either whileyou are on its premises, or engaged in activitieswhich have been organised by the University. Youare expected to co-operate with the University toenable it to discharge that responsibility. Youshould report any injuries to your supervisor oracademic school, who will take any appropriatefurther action.

BEFOREYOUARRIVE:WHATYOUMUSTDO

If you experience problems uploading yourelectronic photograph, it can be emailed [email protected]. Please ensure you stateyour name and Kent ID number on the email.

Claim your Kent IT accountYour Kent IT account provides access to key servicesincluding the Student Data System which enablesyou to update your records and view your timetable,coursework deadlines, marks and results. Your ITaccount also gives you access to your Kent emailaccount, online resources and IT facilities oncampus. Claim your account by following theinstructions at: www.kent.ac.uk/gettingstarted/it.html

Fee payment arrangementsPlease refer to the section “Money matters” on page10 of this booklet for information on payment of fees,accommodation and any other charges.

Choose your modulesOnce you have claimed your Kent IT account, youshould log in to the online Student Data System tochoose your modules:https://records.kent.ac.uk/account.

Most full-time students are required to choosemodules online, although some programmes do nothave optional modules in the first year of study. Oncelogged in to the Student Data System, follow the linksto Online Module Registration to check whether youneed to choose your modules. You are also advisedto read your Faculty/School handbook which willcontain further information.

Part-time students cannot choose modules online. Ifyou are studying part-time, you should contact yourAcademic School.

Becoming a registered student of theUniversityYou will become a registered student at theUniversity of Kent when you attend the ArrivalsWeekend. However, to be able to completeregistration, you must provide us with specificinformation before you arrive:

You must:• Complete your online enrolment• Provide a passport-style photograph electronically• Claim your Kent IT account (including email)• Complete your fee payment arrangements• Choose/confirm your modules (only applicable tofull-time undergraduate and postgraduate taughtstudents, depending on your programme of study.Not applicable to part-time and postgraduateresearch students)

This will enable us to prepare for your registration,draw up your timetable and have your KentOne Cardready before the start of the academic year. This willensure you can enjoy Welcome Week without theneed for additional administration and delay.

Failure to complete all the stages listed above willresult in delays to your registration and your accessto student/campus activities.

The University’s primary means of communicationwith you at this stage is by email. You shouldtherefore check your email regularly once you beginthe online process as you will be given instructions atkey stages about what to do next.

When you have registered you will be issued withyour KentOne Card, which will allow you to accessbuildings and attend key events.

Online enrolmentGo to www.kent.ac.uk/gettingstarted/ and follow thelinks to Enrol.

The enrolment process should take no more than tenminutes and is simply confirmation of your detailsand provision of information we require in order toregister you as a student.

You will need:• Your Kent ID number (on your confirmation letter)• A passport-style photograph (in .jpg format)

Your confirmation letter contains your eight-digit KentID number. Input this number when prompted to doso, together with your date of birth, to access yourindividual online enrolment page.

Completion of enrolment is only part of theregistration process. To formally complete yourregistration you must report, in person, with asuitable form of photographic identification duringArrivals Weekend (17-18 September 2011). Whenwe have processed your enrolment, you will benotified by email.

Submit a photographYou will be asked to submit a passport-stylephotograph of yourself (head and shoulders, whitebackground) as part of the enrolment process. Thisphotograph will be used on your KentOne Card. Inorder to do this you will need to save a passport-stylephotograph in .jpg format. The system will promptyou to submit the photograph.

Important!In order to be able to engage with your academicschool and fully participate in the academicactivities which are part of your inductionprogramme, the deadline for choosing yourmodules is Tuesday 6 September 2011.

Apply for University accommodation(if you have not already done so)If you are studying at our Canterbury or Medwaycampuses you should apply for accommodationonline by 31 July 2011 atkenthospitality.kent.ac.uk/myaccommodation/

Whilst we will always try and allocate you to the typeof accommodation you request, please note that thisis not always possible and individual preferencescannot be guaranteed. Adjustment and Clearingapplicants should only apply via our Clearing websitewww.kent.ac.uk/clearing/

Offers of University accommodation are sent byemail after the A-level results are published duringthe week commencing Monday 22 August.

For adjustment and clearing applicants, offers ofany available accommodation are emailed duringSeptember.

InsuranceStudent rent includes insurance for loss of personalpossessions up to £4,000 in respect of claims arisingfrom fire, flood or theft within the accommodationarea, including losses by walk-in theft. Students willbe able to arrange additional cover online at theinsurer’s website, for accidental damage or all riskson high value items such as iPhones and laptops.www.endsleigh.co.uk/reviewcover

Bedding and bed linenIn University accommodation, beds are providedwith a mattress and pillow. You should provide yourown bed linen and towels. Alternatively, a beddingpack may be purchased on arrival. Please go towww.kent.ac.uk/accommodation/ for furtherinformation.

Ensure you are fully immunisedIn order to achieve maximum protection it is veryimportant that you have been immunised againstmeningitis C and Measles, Mumps and Rubella(MMR) before attending university. An open letter foryou to print and take to your doctor explaining thenecessity of these vaccinations is available atwww.kent.ac.uk/medical/.

Meningococcal Group CThere has been a small increase in the rate ofmeningococcal meningitis and septicaemia in recentyears. Young people attending higher education forthe first time are at greater risk of this disease,particularly in the first few weeks of their first term. Inthe UK there is now a nationwide immunisationprogramme through the schools to vaccinate thosemost at risk but, if you have taken a gap year orlonger, you may have missed out on this.

To achieve maximum protection you should havebeen immunised against meningitis C beforeattending the University and we urge you to see yourfamily doctor to be immunised. If you are unable toreceive immunisation in your home area we will beable to carry it out on your arrival, but you must makean appointment to be seen at the University MedicalCentre as soon after your arrival as possible.

Measles, Mumps and Rubella (MMR)During the last few years a number of universities,including Kent, have seen an increase in cases ofmumps among students. This can be a debilitatingillness in young people with the possible risk ofcomplications. The Department of Health advisesthat all those entering higher education should haveTWO immunisations against MMR. Please ensure thatyou are fully immunised before you arrive at theUniversity. If you have not been immunised, pleasearrange this with your family doctor.

Pandemic InfluenzaRobust plans are in place to deal with outbreaks ofinfectious diseases amongst students and there isclose collaboration between the University MedicalCentre and Local Health Protection Agencies. Pleaseensure that you have with you supplies such asparacetamol and paper tissues to deal with minorillnesses. For further information about themanagement of minor illness, visit the UniversityMedical Centre website at www.kent.ac.uk/medical/ .

Disability and Dyslexia Support Service(DDSS)If you have specific learning difficulties, physical orsensory impairments and medical conditions, youshould contact the Disability and Dyslexia SupportService (DDSS) The DDSS offers confidential adviceon suitable educational support and employs adiverse range of support staff to meet yourrequirements. Our advisers can also assist you withapplications for the Disabled Students’ Allowance.

Examples of help include: study skills tuition, notetaking, special arrangements for examinations,mobility scooter hire, radio aids and loop systems,liaison with the accommodation office for adaptedrooms and the examinations office for special examarrangements. At your first meeting with the DDSS,you will be able to discuss your specificrequirements with an adviser.

Applying for supportIf you are a UK resident, it is important to apply for theDisabled Students’ Allowance (DSA) before starting atKent. Visit www.direct.gov.uk/studentfinance/ todownload the DSA1 form and application guidelines.

Please inform the Disability and Dyslexia SupportService (DDSS) as soon as you receive notificationfrom Student Finance Direct that the DSA hasbeen awarded as we will need a copy of theAssessment Report.

Registration with the DDSSIt is important that you register with the DDSS beforeyou start at the University. Registering with the DDSSwill help to ensure the recommendations within theDSA are put in place as soon as possible.

FOR INTERNATIONALSTUDENTS

Visas and entry clearance –International studentsIf you are a citizen of the European Economic Area(EEA) – the 27 EU countries plus Iceland,Lichtenstein and Norway – or a Swiss national (all ofwhose citizens have the right of free movement andresidence in the UK) you do not need to seek entryclearance before travelling to the UK to take aprogramme of study for more than six months.

If you are not a citizen of these countries, you needto have a Tier 4 Student visa. For further informationand to check whether you need entry clearance, seethe website of UK visas at www.ukvisas.gov.uk/.guidance on how to apply for a visa, see the StudentAdvice and Information Service website:www.kentunion.co.uk/advice/international

To apply you must have received a Confirmation ofAcceptance for Studies(CAS) number from theRecruitment and Admissions Office. You must alsosatisfy the immigration authorities that you are able tomeet the costs of the course and maintain yourselfand any dependants during your course of studies.

You must be able to show that you have had thesefunds available to you (e.g. in your bank account) for28 days before making your Tier 4 visa application. Itis advisable to make your tuition fee andaccommodation fee payments early in order to getevidence of these payments for your visa application.

If you are a Masters or PhD student you must get aclearance certificate before submitting your visaapplication if you are studying a subject which is ona list under the Academic Technology ApprovalScheme (ATAS). It takes up to 20 working days toobtain the certificate.

You can find out if your course is on the list bychecking its JACS code with Admissions and visiting

the ATAS pages at the Foreign and CommonwealthOffice website: www.fco.gov.uk/en/about-us/what-we-do/services-we-deliver/atas/

You will need to make an appointment at your nearestvisa application centre to provide your biometricdetails as part of the application process.

Preparing for your visa applicationIn order to avoid delays to your visa being granted, itis essential that you prepare well in advance and thatyou submit the correct documents. Extending your leave to remainFor international students already in the UK, who mayneed to extend their existing leave to remain,workshops on immigration applications will run duringthe first term and at other times during the year.Check the Student Advice and Information Servicewebsite for further details. Details of the workshopswill also be available on the Student Portal.

Ongoing immigration advice can be obtained from theStudent Advice and Information Service in Kent Union(Mandela Building: www.kentunion.co.uk/advice/international ) at the Canterbury campus, or fromUMSA (Pilkington Building: www.umsa.org.uk/advice/international) at the Medway campus. Prioritywill be given in the first weeks of the autumn term toany students whose existing leave to remain isexpiring at the end of September 2011.

Paid workMost students on a course of more than six monthsduration will be given permission to work part-timeduring the term (up to 20 hours a week) and full-timeduring the vacations. However, for immigrationpurposes, you must be able to show that you canafford to study and live in the UK without having towork. You must be able to show other sources offunding apart from your part-time work.

Document checklistInternational students should have the followingdocuments readily available when they arrive at theairport or point of entry. Please ensure thesedocuments are kept in your hand luggage and not inyour suitcase.

• Current passport• ID Card for Foreign Nationals/Biometric ResidencePermit (if you have one – this only applies if yourcurrent visa was issued in the UK)

• Health certificate (if applicable, see information onchest X-ray below)

• Proof of your finances• Unconditional Offer Letter• Accommodation room agreement

Chest X-rayIf you are coming from the UK, Europe or NorthAmerica, you do not need a chest X-ray. If you arenot coming from these countries, then you mustproduce evidence of a satisfactory chest X-ray. Thisshould be taken in your own country prior todeparture. Please bring the chest X-ray and reportwith you. You may choose to have the X-ray takenafter arrival in the United Kingdom, but, if so, you willbe required to pay a fee.

Police registrationStudents whose visas are for more than six monthsand who are from certain countries must register withthe police within seven days of arriving in the UK.Your visa will tell you if this applies to you. If yourinitial visa is for six months or less, you will need toregister with the police if you extend it. You can getadvice on this from the Student Advice andInformation Service:www.kentunion.co.uk/advice/international

You will be able to make an appointment in theSports Hall on Monday 19 September between09.00 and 17.00

Late arrivalsIf you arrive after Arrivals weekend, please go to theRegistry where representatives from the Europeanand International Offices will be able to assist you.

CHECKINGOFQUALIFICATIONS

Equivalent or Lower LevelQualifications Status (ELQ)Applicants are required to disclose details of allqualifications they hold at the point of applicationin order that a proper assessment of fee status canbe made.

The University will take action to reclaim feesretrospectively from a registered student who isundercharged, if such undercharging was the resultof the applicant failing to provide complete oraccurate qualifications data on which their fee statuswas based, or as a result of a failure of the applicantto disclose their ELQ status when asked to do so.www.kent.ac.uk/studying/funding/elq.html

Qualification checksYou may be required to bring evidence of yourprevious qualifications with you to the University.

You will be notified by email via the enrolmentprocess if this applies to you*. We reserve the right tocancel an offer of a place to any student who doesnot provide evidence of qualifications obtained,either in the form of an officially certified photocopyacceptable to Kent or an original certificate, whenrequested to do so.

*This does not apply to undergraduate students whoseresults are sent directly to the University by the UKexamination boards.

Canterbury campusThe checking of qualifications will take place in theSports Centre throughout Arrivals weekend and onMonday 19 September. From Tuesday 20 Septemberat 09.30, this will take place in the Visitors’ Receptionarea of the Registry Building, adjacent to theRecruitment and Admissions Office.

Medway campusQualification checks, where required, will take placeat registration or at the Gillingham Building.

If, for any reason, you are unable to provide proof ofentrance qualifications, you must contact theRecruitment and Admissions Office on +44 (0)1227823883 without delay.

Canterbury students: Return the form to the IncomeOffice (Registry Building)Medway students: Return the form to the FinanceOffice (Medway Building)

The forms should be returned with a confirmationletter from your sponsor on company/organisationheaded paper. Failure to do so will result in the tuitionfees being invoiced to you.

Accommodation feesPayment can be made in full at the start of eachacademic year. Fees paid in full, in advance of 26September 2011, receive a 2% discount.

Accommodation fees may also be paid in instalmentsat the beginning of each term. Payment for the fullamount due for the term must be received on thedates quoted in your accommodation agreement.

Making a payment• The University will accept bankers drafts and bankpayments, however personal cheques will nolonger be accepted

• Cash will only be accepted at the UniversityIncome Office (Canterbury campus) – please donot send cash by post

Withdrawing from your courseAll students considering withdrawing from theircourse should discuss the matter with their personaltutor or student adviser in the first instance. Studentsmust then follow the proper withdrawal procedurethrough their academic school.

Tuition feesIf you have paid your tuition fees, upon withdrawal,you may be entitled to a refund based on thefollowing rules of withdrawal. The first four weeks ofterm one is considered as the ‘settling-in period’ andany student withdrawing within these four weeks willnot be charged tuition fees for this period.

Following this period, fees will be reduced based onthe number of months completed, pro-rated againstthe total months allocated to the year. This applies toall students and their sponsors.

Student Finance England(for undergraduate students)Student Finance England will not pay your fees ifyou withdraw before 1 December 2011 as youbecome ineligible for funding. You are advised tospeak to Student Finance England to discuss thefinancial implications when considering withdrawalfrom your course.

Accommodation feesIf you are withdrawing from your course you will alsoneed to inform the Accommodation Office.Accommodation fee refunds are at the discretion ofthe Accommodation Office and are subject to thedetails given in your accommodation agreement.

Financial PlanningBoth the University and the Student Advice andInformation Service advise you to put together abudget when you first arrive at Kent. It might seemdifficult or boring, but in the long run it is definitelyworth knowing how much you have to spend andkeeping track of where the money goes.

It can be difficult to adjust to your income arriving inthree major instalments if you are used to budgetingwith weekly, fortnightly or monthly incomes. Unlessyou can get a job in the summer vacation, the periodfrom June to the end of September is very leanfinancially if you haven’t made sure that you havesome of your loan/grants still available to cover yourspending.

How are payments timed?For full-time students, student loan instalments, themaintenance grant, parent learning allowances andchildcare grants are usually paid on the FIRST day ofeach term. Access to Learning Fund support (whereawarded) is also paid termly. Child tax credits arepaid across the year at a frequency you can select,and the Disabled Students’ Allowance is paid directto the supplier of services and equipment. Universityaccommodation fees are payable in advance at thestart of each term.

What happens if I get into difficulties?If you have concerns about your financial position, oryou find yourself in difficulties, ask for help soonerrather than later. It is much easier to sort out anyfinancial problems before they accumulate. You aremore likely to get a sympathetic reception frombanks and other creditors if you explain the situationas soon as possible.

RailFrom HeathrowYou can travel from Heathrow to both campuses bytrain. The journey is not direct, and you will need touse the Underground (tube) service in order to crossLondon. Please be aware that there is very limitedluggage space on the underground service.

London is divided into travel zones; Heathrow isin zone 6 and the mainline railway stations are inzone 1. The high speed service from London StPancras offers direct trains into Canterbury West(for Canterbury) and Ebbsfleet International(for Medway). Heathrow – London Victoria – Canterbury East• Take the Piccadilly line (dark blue on the tube map)to Earls Court. Change to the District line (green onthe tube map) and take a train to Victoria.

• Once you leave the train at Victoria, the directionsto Victoria station are clearly marked. From Victoriatrain station, you can catch a direct train toCanterbury East (approximately 85 minutes).

• When you arrive at Canterbury East, turn rightstraight outside the station (do not cross thebridge opposite the station) and follow the road tothe bus stop. Catch the distinctive, brightlycoloured UNIBUS service* which will bring youdirectly to the campus.

*Please note that the ‘Canterbury Triangle’ buses(routes 4,4a and 4b) all service the Canterbury campus

National Express Coach ServiceFrom Heathrow• On arrival at Heathrow, follow the signs for theCentral Bus Station, located between Terminals 1and 3. The terminals are a few minutes walk awayfrom the Central Bus Station via undergroundwalkways.

• There is a travel centre at the bus station whereyou can purchase tickets for National Expresscoaches. The bus station is open 24 hours a dayand the travel centre opens from 06.00 until 22.30.Baggage trolleys are available and there is a lift tothe underground level.

If you are arriving at Terminal 5, you will find aNational Express ticket office in the internationalarrivals area. A free transfer between terminals isavailable using the Heathrow Express, HeathrowConnect trains or one of the free bus services.

If your flight is delayed and you do miss your coach,make your way to the travel centre in the bus stationwhere you may be able to amend your ticket for thenext available departure (there is a £5.00 minimumcharge for this service). In some cases it may notbe possible to amend your ticket, and you will needto purchase a new one. We therefore recommendthat you buy your coach ticket when you arrive atthe airport.

From StanstedThe bus and coach station is located opposite themain terminal entrance. Tickets may be purchasedfrom the ticket desk in arrivals (open 06.00 – 01.00),in the coach station (open 24 hours a day, 7 daysa week) or on board the coach. Coaches departfrom Stansted to Victoria coach station up to every10 minutes and the journey takes approximately90 minutes.

From GatwickNational Express ticket desks are located in both theNorth and South terminals. Journey time to Victoriacoach station is approximately 80 minutes.
