The Ministry Manual for Grace Family Church is an outline of the various ministries of the church, their basic functions, their job descriptions including their duties and responsibilities as well as whom the leadership position reports to. Included in this manual are our Vision Statement and a useful flow chart illustrating the fundamental structures of the various ministries of the church.

Grace Family Church Job Descriptions

Job Description Audio/Video Ministry:

Principle Function:The job of the leader of the Audio/Video Ministry is to assist the pastor, Music Ministry leader and any visiting speaker through proper presentation of audio and video resources as needed.

Responsibilities:1. The position of leader of the Audio/Video Ministry reports to the leader

of the Music Ministry.2. To maintain, repair and evaluate for upgrades the sound and video

systems for church services.3. Set up sound system for each church service.4. Set up projector songs and videos for church services.5. Type and/or find songs on the Internet or in books and put them into the

computer.6. Adjust sound system and interact with the worship team during worship

service.7. Provide projector song lyrics during worship service.8. Provide a microphone for the speaker.9. Help to provide and audio and/or video resources need by the speaker if

possible.

Job Description Card Ministry:

Principle Function:The job of the leader of the Card Ministry is to assist the pastor by making out and mailing a variety of greeting cards in order to bless those in the church body on a wide variety of occasions.

Responsibilities:1. The position of leader of the Card Ministry reports directly to the pastor.2. The leader of the Card Ministry makes out and mails cards for the

following occasions: Birthdays Wedding Anniversaries Get Well We Miss You Thank You Welcome To Our Church Sympathy Just To Say Hello Holiday Cards

3. To keep in touch with the pastor and other church leaders, as well as the church body to learn of opportunities to send out cards.

4. To stay current with birthdays and wedding anniversaries that is in the Church Directory.

Job Description of Church Secretary:

Principle Function:Support the pastor in the weekly operation of the church.

Responsibilities:1. The Church Secretary reports directly to the pastor.2. Collect, open mail addressed to the church and distribute/take action as

needed.3. Answer phone calls, report voicemails to the pastor and document the

date, time and who called.4. Keep office supplies in stock (envelopes, stamps, ink etc.).5. Print weekly church bulletins.6. Mail out monthly board meeting minutes to District Superintendent and

Sectional Presbyter.7. Fill out and mail NNED Affiliated Monthly Church Report to District

Superintendent and Sectional Presbyter.8. Prepare and issue the membership roll call at all church business meetings.9. Record Weddings and Baptisms and issue certificates as appropriate.10. Keep member’s contact information up to date and update the

Membership Directory at least once per year.11. Maintain church membership roster and membership certificates keeping

up to date with transfers in and out.12. Assemble annual business meeting reports and distribute to the

membership.13. Provide a report for the Annual Business Meeting.

Job Description Church Bookkeeper:

Principle Function:The job of Church Bookkeeper is to assist the pastor, secretary and treasurer through the routine administration of accounting procedures.

Responsibilities:1. This position reports directly to the pastor.2. Count and record weekly offering/tithes.3. Make out all checks payable weekly and have them signed.4. Deposit weekly income into Biddeford Savings Bank account.5. Enter weekly offering into computer in each contributor’s name.6. Enter written checks weekly into church accounting program in computer.7. Enter deposit(s) weekly into church accounting program in computer.8. Pay the annual CCLI bill for our Music Ministries.

9. Order new checks from Biddeford Savings Bank when needed.

Job Description Grounds Ministry:

Principle Function:The job of the leader of the Grounds Ministry is to ensure that the property of Grace Family Church is presented to the public in such a way as to glorify God.

Responsibilities:1. The position of leader of the Grounds Ministry reports to the leader of the

Maintenance Ministry.2. To make sure the lawn is mowed, raked and properly picked up.3. To make sure that the driveway is plowed and the entrances are shoveled

and salted/deiced as necessary.

Job Description Hospitality Ministry:

Principle Function:The job of the leader of the Hospitality Ministry will work with the leaders of Real Women/Real Life in overseeing the scheduling, menu selection, purchasing, preparation, serving and clean up involved in church dinners.

Responsibilities:1. The position of the leader of the Hospitality Ministry reports to the

leadership of the Real Women/Real Life Ministry.2. Plan menus for church dinners, pot luck dinners and special occasions as

requested.3. Purchase or ask for the donation of all necessary food items.4. Maintain an up-to-date inventory of food and related supplies.5. Arrange for servicing, repairing and replacing equipment in the kitchen as

needed.6. Work with the maintenance staff on table and room arrangements for all

meals and social functions.7. Maintain accurate records of supplies, costs and operation.

Oversee and supervise the Panera Bread Ministry.

Job Description Internet Ministry:

Principle Function:The job of webmaster for Grace Family Church is to manage the content and publication of the online presence of Grace Family Church, to ensure that our church is represented appropriately and to promote our vision and values to a global audience for the glory of Jesus Christ.

Responsibilities:1. The position of leader of the Internet Ministry reports to the leader of the

Music Ministry.2. To be familiar with Internet terminologies, Web design and a Web

publishing platform.3. Monitor Web traffic and approximately each week update and post the

traffic details for all visitors to see.4. Take, maintain and upload current photographs of church functions and

staff.5. Maintain the current Position Papers for the Assemblies of God on the

Web site.6. Maintain and adjust Web design as necessary.7. Maintain relationships with affiliated organizations and publish ads for

commissions.8. Monitor and post news and upcoming events in an accurate and timely

manner to the Web site and our church’s Facebook Group page.9. Post videos and monitor traffic on the church’s YouTube Channel.10. Develop and implement search engine optimization efforts.

11. To provide an annual church report for our Annual Church Business Meeting.

Job Description Library Ministry:

Principle Function:The job of the leader of the Library Ministry is to assist the pastor and bless the church body by making presentable and appropriate reading material available at no charge.

Responsibilities:1. The position of leader of the Library Ministry reports directly to the pastor.2. To weed out books that are inappropriate, too old or for some other

reason is questionable.3. Take and maintain a current inventory of available books and reading

material.4. Clean any books that are filthy or moldy.5. Arrange the books in some sort of logical order.6. As time allows, present books and book reports to the church body.7. Keep a log of the inflow and outflow of books that are borrowed.

8. Present a need for books and/or resources that are not present, i.e. there is a severe lack of appropriate reading material for children, teens and young adults at present.

Job Description Maintenance Ministry:

Principle Function:The job of the leader of the Maintenance Ministry is to support the pastor and the church body through the supervision of all areas of building maintenance, grounds and custodial care.

Responsibilities:1. The position of leader of the Maintenance Ministry reports directly to the

pastor.2. To oversee the maintenance and upkeep of the church building,

plumbing, electrical work, grounds and all of the church-owned equipment.

3. To oversee the operation and maintenance of the HVAC systems of the building by keeping filters cleaned and checked and by properly maintaining and adjusting the boiler.

4. To oversee the maintenance and safety of any church-owned vehicles and any mechanical systems.

5. To be available to assist the pastor and/or the church body in a variety of functions such as basic carpentry, changing and/or adding locks, locksets, deadbolts et cetera.

Job Description Music Ministry:

Principle Function:The job of the leader of the Music Ministry is to be responsible to lead the church into worship and assist the church body and the pastor in developing and promoting the music ministry of the church.

Responsibilities:1. The position of leader of the Music Ministry reports directly to the pastor.2. To follow the leading of the Holy Spirit.3. Follow the leading of the Pastor.4. Direct the organization and implementation of a comprehensive church music program including choir, vocal and/or instrumental ensembles etc.5. Serve as a leader in the worship services, giving direction to the congregational singing, choir, and other phases of worship.6. Oversee music for projector.7. Oversee all music sung/used at church.8. Oversee and work with the sound technician.9. Oversee and work with the church webmaster.10. The Music Ministry Leader provides a report for our Annual Church Business Meeting.

Job Description Panera Bread Ministry:

Principle Function:The job of the leader of the Panera Bread Ministry is to provide the church body with the day-old baked goods from the South Portland Panera Bread.

Responsibilities:1. The position of leader of the Panera Bread Ministry reports to the leader

of the Hospitality Ministry.2. To pick up the day-old bagels, breads and pastries from the South

Portland Panera Bread and get those baked goods to the church on Thursdays.

3. To take care of and/or dispose of any baked goods that do not get distributed or used.

4. To clean up any left-over crumbs or scraps that might have fallen out of the boxes.

Job Description Prayer Ministry:

Principle Function:The job of the leader of the Prayer Ministry is to assist the pastor and church body through overseeing various prayer needs as necessary.

Responsibilities:1. The position of leader of the Prayer Ministry reports directly to the pastor.2. Be of assistance to any in-home prayer meeting. 3. To update a prayer journal with prayer requests given by request forms or

through the Prayer Chain.4. Praying for all requested prayers and all salvation requests at Thursday’s

prayer meeting.

5. Receive calls and requests for the Prayer Chain. Call the pastor’s wife and then the first person on the Prayer Chain list. If there is no answer, then leave a prayer message. Then continue calling each name on the list in succession until someone answers. Then that person will call the next person on the list and so forth.

Job Description Real Women Real Life Ministry:

Principle Function:The job of the leaders of Real Women Real Life is to unite women of the church for the Lord’s work and to encourage the salvation of every woman with whom the church comes in contact.

Responsibilities:1. The position of the leaders of the Real Women, Real Life Ministry reports

directly to the pastor.2. To have at least one meeting every month to enhance the ministry and fellowship of the women.3. Prepares monthly information for the church bulletin.4. Provides an annual church report for our Annual Church Business Meeting.5. Attend and encourage the women to participate in sectional and district events including spring convention and fall retreat.6. Attend all staff meetings.7. Works and communicates with the RWRL Co-leader and the RWRL Secretary.8. Coordinates and manages church kitchen activities (dinner/party/meal planning).9. Oversee all projects (secret sister, ladies tea, gifts for Mother’s Day and Father’s Day, gift certificates for Thanksgiving, monthly brunches etc.) that we do in the church throughout the year.10. Oversees and works closely with the Hospitality Ministry.

11. Administration and delegation of the church decorating is part of RWRL responsibilities depending on the needs/ability of the church to provide decorations with concurrence of the pastor.

Job Description Sunday School Ministry:

Principle Function:The job of the leader of the Sunday School Ministry Leader is to oversee and administer the operation of Sunday school and its activities.

Responsibilities:1. The position of Sunday School Leader reports directly to the pastor.2. To take and record the weekly attendance.3. To acquire the curriculum material for each Sunday.4. To coordinate Bible lessons, snacks and activities.5. To schedule the rotation of Sunday school teachers.6. To clean up the Sunday school rooms each week.

Job Description Usher’s/Greeting Ministry:

Principle Function:The job of the leader of the Usher’s/Greeting Ministry is to aid the pastor and the church body by greeting those who attend our services and being of assistance to the church body in a variety of ways during service. It is the responsibility of the usher/greeter to represent Christ to the church body and visitors.

Responsibilities:1. The position of leader of the Usher’s/Greeting Ministry reports to the

leader of Real Women, Real Life.2. To greet each person attending our services with a smile and make each

person feel welcomed.3. To keep the doors closed once worship service begins to eliminate any

noises from the front foyer or downstairs that may be of distraction to the pastor, speaker or church body.

4. To escort people to a seat if/when the sanctuary fills up and seats may be difficult to find.

5. To be readily available to the church body to answer any questions.6. To be in communication with the pastor and/or speaker and be of service

when needed.7. To print and hand out our weekly church bulletins and be ready to print

more if necessary.8. To have new visitors fill out a Visitor’s Card to enable us to mail them a

card or letter of welcome.9. To be ready and willing to aid the physically disabled as necessary.

To be prepared to help out a parent of a crying and/or disruptive child and to guide them toward supervision downstairs if necessary.

Job Description Youth Group Ministry:

Principle Function:The job of the leader of the Youth Group Ministry is to oversee and administer the New Fire Youth Group and its activities and fundraising efforts.

Responsibilities:1. The position of leader of the Youth Group Ministry reports directly to the

pastor.2. To provide a venue for the meeting of the New Fire Youth Group one day

each week.3. To plan a Bible study each week.4. To conduct a time of prayer and to take and pray for individual prayer

requests.5. To provide a time of song and worship.6. To provide a time of games and activities.7. To coordinate and/or provide for a snack time.8. To clean up after each meeting.9. Plan and coordinate fundraising activities.10. Plan and coordinate activities such as camping trips, movie nights and our

NNED Annual Youth Convention.11. To take care of Clynk bottle returns at Hannaford Supermarket for the

Youth Group Fund.12. The leader of the Youth Group Ministry provides a report for our Annual

Business Meeting.

Job Description Cleaning Ministry:

Principle Function:The job of the leader of the Cleaning Ministry is to coordinate with the leader of the Hospitality Ministry and oversee cleaning duties as necessary.

Responsibilities:1. The Cleaning Ministry leader reports to the leader of the Hospitality

Ministry.2. To oversee and assign cleaning duties that is necessary after church

dinners.3. To oversee the weekly cleaning of the church on Thursday evenings and

to make sure that the needed cleaning supplies are purchased.4. To submit the appropriate receipts for cleaning supplies to the Church

Bookkeeper.

Job Description Nursery Ministry:

Principle Function:The job of the leader of the Nursery Ministry is to coordinate with the Sunday School Leader and oversee the duties and responsibilities involved in running the nursery.

Responsibilities:1. The position of Nursery Ministry leader reports to the Sunday School

Leader.2. To take attendance each week.3. To manage the weekly duties of the nursery such as changing diapers and

providing snacks and nap time and anything else required by the parents of the child or the situation as they occur.

4. To submit the appropriate receipts for any purchased supplies to the Church Bookkeeper.
