    Security Features

    As office products evolve to advanced network devices, security threats such as Theft, Leaking orFalsification of the electric data by spoofing or tapping is becoming a major concern in MFP devices, likePC or Server. Customers are looking for more security and protection of data information or imageinformation handling with MFP devices. MFP devices without security features are not acceptable in themarket, especially in the major account customers. Without security protection capability could possiblybecome a security hole in a network environment and they should have the capability to eliminateunnecessary security threats. The capability to provide a secure and safe environment is crucial toincrease the MIF. B264/B265 shall equip with advanced security features such as WindowsAuthentication, LDAP Authentication, Data Overwrite Security(DOS) unit and new Unauthorized CopyControl features.

    Outline of AuthenticationIn order to establish a secured environment, such as protecting the data information in the machine,authentication process will be applied on the users as well as the administrator of the machine.Therefore, there are 2 types of authentication procedure in B264/B265:

    Administrator AuthenticationThis function is only available in Windows Server network environment. In large enterprise,sometimes-different type of responsibilities in office administration such as machine admin, networkadmin or machine user admin etc., are responsible by dedicated staff or section in order to maximizethe office management efficiency. To cope with this type of office admin managing structure,

    B264/B265 will allow the customers to set-up the access limitation by the type of responsibility of theadministrator.

    In B264/B265, it offers 4 types of administrator authentication capability.

    User AuthenticationTo limit and control machine users in accessing/operating machines or functions.In B264/B265, it offers 4 types of user authentication capability.

    Type of authentication system

    Administrator AuthenticationType of administrator:B264/B265 offers a Supervisor and 4 types of admin category setting:Machine, Network, File and Users, and each administrator manages a different responsibility of themachine. All 4 types of administrators can be the same person, depending on how the users assignedand allocated the administrative works responsibility in office. This administrator authentication systemshall limit the access of the administrators, any function that are not authorized to do so. For example, amachine administrator who in charge of the machine, default setting shall be limited to access to any

    network configuration setting in the MFP. Machine Administrator:

    Machine Administrator mainly manages the machines default settings.

    Network Administrator:Network Administrator manages the network settings.

    File Administrator:File Administrator manages the access authorization of the stored files in the machine.

    User Administrator:User Administrator manages the registration and users personal information in the addressbook.

    Supervisor:Supervisor is the person who has authority to delete an administrators password and specify a new

    one in the machine. The supervisor cannot specify machine settings or use any of the unauthorizedfunctions. However, if any of the administrators forgets their password and cannot access themachine, the supervisor shall provide support.

    Administrator Authentication processEach administrator has their login user name and login password to input before accessing the machine.

    UserMachine users are managed by the personal information registered in the machines address book.If the user authentication function is activated, only users who are registered in the address book areallowed to access and use the machine. And only user administrator can manage the registration of theaddress book, either from machine LCD panel or via Smart Device Monitor for Admin or Web Image

    Monitor.

    RemarksUsers can be registered only by a User Administrator when using Smart DeviceMonitor for Admin or WebImage Monitor.

    User AuthenticationThere are 4 types of user authentication functions available in B264/B265.

    Windows Authentication LDAP Authentication Basic Authentication User code Authentication

    No software or server will be required to activate these features.

    RemarksCannot use more than one authentication method at the same time.

    Windows AuthenticationSecurity conscious customers such as large enterprise, army and government agencies already havetaken necessary measures in protecting their information assets in their PC or Server environment.Windows Authentication is one of the major methods being used to limit and control the access of theinformation by utilizing Windows network login function. Windows Authentication requires users to inputeach User name and Password for verification before allowing to operate and access to the PC. Inorder to protect valuable and confidential information assets from unauthorized usage, many companies

    adopt this authentication structure.Now days, such security features are required in MFP, like in PC or Server as well. It is natural thatcustomers expect MFP products to adopt same kind of access limitation feature.Although access limitation by using User Code is available in current products, setting of User Codeindividually is a big headache for machine administrator/IT manager. In addition, each user has toremember the user code beside the login password for their PC. This is not acceptable by many largeenterprises. Windows Authentication in MFP devices is an excellent solution because exitingauthentication system can be utilized without additional investment. Also, no additional dedicatedusername and password is required. It is possible to authenticate an individual user by utilizing theexisting Windows network username and password that are already used in Login for their PC. WindowsAuthentication capability available in B264/B265 provides a seamless integration with existentenvironment.

    install separately.

    Remarks1. Machine has to equip printer/scanner unit because Windows Authentication utilizes SSL

    communication.2. Supported SSL version: TLS ver.13. User cannot be authenticated if they do not have their accounts in the directory server.4. Installment of Active directory to domain controller is required.5. Supported Windows OS version:

    WindowsNT 4.0 with SP6a and Exchange Server5.5 with SP4 or Windows Server2000 orWindows Server2003.

    6. Active directory is standard option of Widows 2000/2003 server, but it is necessary to installseparately.

    LDAP AuthenticationBesides the advanced Windows Authentication, another network authentication solution is provided inB264/B265. LDAP Authentication is a straightforward and simple network authentication system. Somenon-Windows Server network based major accounts may utilize the LDAP Server infrastructure for usersauthentication in MFP. Users with their accounts registered in the LDAP Server, where a password andusername is assigned, shall have the authorization to access to the machine via LDAP Authentication.

    Benefits for Customers

    Security: Eliminates unauthorized access or usage of the machine.Minimum investment: Utilizes existing network login infrastructure.Simplicity: No additional login-password for both IT and general users.Manageability: Allow user authentication even without registering individual setting in the address book ofthe MFP.(Note: machine address book does not synchronize with the LDAP Server and therefore user informationin the machine address book needed to be change manually if there are any changes of the user accountinformation in the LDAP Server)

    Remarks1. Machine has to equip printer/scanner unit because LDAP Authentication utilizes SSL communication.2. Supported SSL version: TLS ver.13. Supported LDAP version: LDAP ver.3

    4. If the personal information in the LDAP server is modified, information update of machines addressbook is executed automatically when authenticating user by LDAP authentication.

    5. Users cannot be authenticated if they do not have their accounts in the LDAP server.

    Basic AuthenticationThere are customers who want to apply user authentication in the connected MFP but do not have anyauthentication systems on their network or office environment, nor want to put in any investment in

    building the systems. In order to meet these types of customer needs, Basic Authentication in the MFPprovides a solution by utilizing the username and password in the MFP.

    Authenticates an individual user by utilizing MFP original username/password system. Only users with a valid username/password allow to access to the machine Can set to limited access to any or all application.

    Benefits for Customers Eliminates unauthorized usage of the machine

    Authentication system can be introduced into the non-Windows network login infrastructure

    Remarks This does not support authentication over the network.

    Basic Authentication can manage machines available functions and can limit the access tostored files and to personal data in the address book.

    User Code AuthenticationThis feature is already available in current products. Users are required to input the user code which hasbeen assigned by the administrator before allow to access to machines or any applications.

    RemarksThe same user code can be used by more than one user.

    EncryptionCommunication Path Protection by SSL (Secure Socket Layer)When accessing to the machine using a Web browser, IPP, or Smart Device Monitor for Admin, it ispossible to establish encrypted communication by using SSL.

    Benefits for Customers Protect data from interception, analysis and tampering.

    Remarks1. To utilize this function, machine has to equip printer/scanner unit.2. Network Administrator can set this function.

    SNMPv3 Encrypted CommunicationIt is possible to establish an encrypted communication environment via SNMPv3 when making machinesetting by Smart Device Monitor for Admin.

    Benefits for Customers Can protect data from interception and tampering.

    Remarks1. To utilize this function, machine has to equip printer/scanner unit.2. Network Administrator can set this function3. To realize complete encrypted communication when using SmartDeviceMonitor for Admin, following

    two settings are required other than this setting.1) Network Administrators [Encryption Password] setting.2) [Encryption Key] settings of [SNMP V3] in SmartDeviceMonitor for Admin.

    Encrypt Address BookEncrypt the user data, which are registered in the machines address book.

    Benefits for Customers Even if HDD is removed, disposed or stolen, the data in the address book is protected by encryption

    and cannot be read.

    Remarks1. To encrypt Address book, machine has to equip printer/scanner unit.2. User Administrator can set this function.

    Driver Encryption Key(PCL & RPCS Driver)By setting up the same encryption keys for both machine and users printer drivers(PCL and RPCS), it willbe possible to encrypt the login password of user authentication.

    Benefits for Customers Encrypted login passwords to prevent from being analyzed.

    Remarks1. To utilize this function, machine has to equip printer/scanner unit.2. Network administrator is requested to let users know the driver encryption key specified on the

    machine. Then users are requested to register this encryption key to their printer drivers. Make sureto enter the same driver encryption key as that specified on the machine.

    3. Network Administrator can set this function.4. Enter the Driver Encryption Key using up to 32 alphanumeric characters.

    Encryption of PDF PasswordBy setting up the same password for both machine and Desk Top Binder Lite, it will be possible to encryptthe password for PDF files when using PDF Direct Print function.

    Benefits for Customers Can encrypt passwords for PDF files transmission to prevent them from being analyzed.

    Remarks1. To utilize this function, machine has to equip printer/scanner unit.2. Network Administrator is requested to let users know the PDF password specified on the machine.

    Then users are requested to register this password to DeskTopBinder Lite. Make sure to enter thesame password as that specified on the machine.

    3. Network Administrator can set this function.4. Enter the password for PDF files using up to 32 alphanumeric characters.

    Prevent Stored Documents from Unauthorized AccessStored files in the HDD can be prevented from unauthorized access and edit by limiting access rights tothe files.

    Benefits for Customers Prevent stored files from unauthorized access.

    Remarks

    1. Owner (owner of the file: user who stores a document in Document Server) and File Administratorcan set this function.2. The default access level for the owner is Full Control.

    Prevent Data Leaks caused by Unauthorized TransmissionSpecify the users who are allowed to send files using the scanner function. Can limit the users who are allowed to send files and prevent unauthorized usage of scanner

    function.

    Restrict Use of DestinationsMake the setting to disable the direct manual entry of E-mail address under the scanner function.

    Can limit the direct entry of destinations to prevent files from being sent to destinations not registeredin the address book.

    Permit Adding of DestinationsThis can be achieved by the User Administration when [Restrict Use of Destinations] is set to [Off]. If youset [Permit Adding of Destinations] to [Off], the user cannot register destinations in HDDs address bookdirectly. Prevent the registration of an address that is not managed by the administrator.

    Unauthorized Copy Control Features

    Type for Copying/ Data Security for CopyingUnder the network environment, security of electronic data has become a common concern foradministrators/IT managers. Theft or leaking during the electronic data transmission is a threat. To protectthe information assets from these threats, features such as Authentication or Encryption are effective.But this is not enough for security management. Even if the protection of electronic data is perfect, therestill remains the concern of the outputted paper base data management. To solve this issue, B264/B265

    will offer a new type of security feature, which will improve the security of output document management.This will eliminate the risk of unauthorized copies of confidential documents in offices.

    Mask Type for CopyingSelect Mask Type from the RPCS driver when outputting confidential documents. A masking pattern withembedded message (which can be input from the printer driver) will be printed in the output document. Ifyou try to copy or scan it, the embedded message will appear on the copy.

    Limitation Some digital MFP might not able to detect the masking patterns. If the density on masking patterns of the output print is too light due to the settings of the machine or

    mechanical problem, the pattern might not be detected.

    Benefits for Customers This feature act like a warning or deterrent effect to people who try to make copy of confidential

    documents. Embedded message appear after making the copy help to identify where and who made the original

    documents, if the user name is typed from the printer drivers.

    Data Security for Copying*Optional Copy Data Security Unit is required.Select Data Security for Copying from the RPCS driver when printing confidential documents. A specialmasking pattern will be embedded in the printed out document. If you try to copy , the machine will detectthe special masking patterns and grayed out the output copy.To allow the B264/B265 to detect the special masking pattern, an optional Copy Data Security Unit isrequired.

    Copy or Store the printed document with B264/B265, which installs Copy Data Security Unit

    Limitation A small margin (approx. 4mm) of the special masking pattern will remain on the edge of the copy.

    This masking pattern was copy before B264/B265 detected the scanned original is a Data Security

    for Copying. When the Optional Copy Data Security Unit is installed in the B264/B265, the following functions

    will be deactivated or eliminated to avoid any possible security hole:I) Scanner function: Scan to E-mail/Folder/Twain.II) Fax (Only one Option -Fax Option or Copy Data Security Unit cannot be installed at the same

    time.) III) Copy reduction ratio : Less than 50% will be deactivated. Basically, if the output is printed on B264/B265, the grayed out effect is optimum if the copy is made

    on a B264/B265 (even if this is a difference unit).

    Benefit for Customers Eliminates the risk of unauthorized copy in offices. Efficient security management of outputted documents, especially for customers such as major

    accounts, army and government agencies.

    Data Overwrite Security(DOS) function*Optional DOS Unit Type D is required.Most of the current MFPs have an embedded HDD and many of the functional capabilities are processedthrough the HDD. However, just like a PC, the latent image data remains as temporary data in the HDDafter the completion of jobs. Without securing the access to the HDD, confidential information can bepotentially retrieved and stolen. Customers who have the needs to protect any temporary data remain inthe HDD, the DOS unit shall provide the solution for these customers. The DOS unit shall erase thetemporary data on the HDD by overwriting it after the completion of jobs. With this automatic HDD-erasecapability, after the completion of jobs, random data is written over the hard disk areas where thetemporarily data is stored.

    The DOS unit Type C (B140 series) and D (for Model B202, B205 and B264 series) are drasticallyimproved from Type A (for Model B089 and B135 series) and Type B (for Model B147 series). In type Cand D, it has the capability to overwrite any temporary data from scanner or document server function. InType A and B, the scanner function and document server function have to be deactivated, but in Type Cand D, these functions can co-exist. The DOS Unit Type C and D covers almost all features required forsecuring HDD and strengthen the competitiveness of this function when compete to competitors.

    In addition to above improvement, DOS Unit Type C and D provide a capability to overwrite all the datain the HDD(*) at one time. This function shall address customer needs to erase all data in themachine before the machines are disposed or relocation.

    Overwrite methodIn DOS Unit Type C/D, customers can select from three type of overwrite methods provided:

    1. NSA Standard: Random data => Random data => Null data (total 3 times)The random data is written over the temporary data twice, and then the null data is written over
