When refunding deposits the Head Leasing Service cannot take into account disputes amongst tenants regarding cleaning etc. The only circumstance where an individual may be held liable for a specific cost is when the individual concerned states his/her liability in writing. This condition is assessed on standards acceptable to the Head Leasing Service, not what the tenants or the property owner perceive as acceptable. You will be receiving the date of your inspection in June. All tenants are invited to attend the inspection. If all tenants vacate the property and keys are handed into the Head Leasing Service before 13 June 2014 then a declaration of leaving form can be signed. This needs to be signed by all the tenants living in the house and once completed students are not allowed to re-enter the house. Your contract expires on 22 July 2014 or 25 July 2014. You must have moved out by 09.00am on the day after your contract end date. Please check your contract for your actual end date.

WHAT DO YOU NEED TO DO?

1. Make sure that all furniture that should be in the property is there, in good condition, cleaned and polished, and in the rooms in which it was found. The Head Leasing Service will not be held responsible if items are placed in cupboards, lofts etc. and cannot be found on the inspection.

2. Make sure that the house has been adequately cleaned. In particular:

The cooker, including the oven, which should be moved and the sides and the floor underneath also cleaned;

The fridge is cleaned and has been defrosted. When you leave, make sure that the fridge is switched off with the door left open to prevent mould growth;

The kitchen has no waste food or rubbish of any kind left in it and all cupboards have been emptied of items belonging to tenants and thoroughly cleaned;

The kitchen, including work surfaces, are clean; The bath, shower and toilet are clean; The house has been thoroughly cleaned and

vacuumed. Unless your vacuum cleaner has recently been reported faulty, this will not be taken into consideration when assessing cleaning.

The paintwork in the house has been vacuumed and washed down, paying particular attention to skirting boards, window sills and all corners where dirt builds up over a period of time; Currently, even a light clean from a cleaning contractor will cost around £200.

3. Make sure that all appliances have been well treated and in full working order and no unauthorised appliances are left in the house.

4. Make sure that the decor has been kept in good condition and particularly that bikes have not scraped wallpaper, nails have not been hammered or plugs drilled into the walls. All damage should be rectified. Damage from blu-tak will be penalised.

5. Make sure that the linoleum and carpets have not deteriorated in condition and have not been removed, burned, ripped, torn or left dirty.

6. Make sure that no unauthorised internal door locks, padlocks or hasps have been fitted. If so they should be removed and any damage repaired.

If you have accumulated ‘junk’ during your tenancy it is your responsibility to remove this from your property, including the yard and any other external areas.The household will be charged for removal of rubbish from the interior or exterior of the property.

RETURNING KEYS

All keys must be returned to the Customer Service Desk, Second Floor, University House, in an envelope (provided), no later than 10.00 am on Wednesday 23 July 2014 if your contract ends on 22 July 2014 or to Security in the Venn Building by 10.00am on Saturday 26 July 2014 if your contract ends on 25 July 2014.

Keys not returned by this date or missing the Head Leasing Fob and barcode will incur a charge of £40.00. If you have lost your key fob and barcode, please come into the office to have them replaced Free of Charge now so that you don’t incur a charge later on.

Should more than one set of keys not be returned, residents may be charged for replacing all the locks to the property.

WHAT HAPPENS IF THE COST OF RETURNING A HOUSE TO A PROPER CONDITION IS MORE THAN THE DEPOSITS HELD?

The tenants will be billed for the excess amount. In the case of students leaving the University we will request that the degree or qualification be withheld until the debt is paid. For returning students future registration will be withheld until the outstanding amount is paid.

If you require a written statement of deductions made from your deposit please provide our office with a stamped addressed envelope. Please write the address of the property you live in on the back of the envelope. These envelopes must be handed to our office before the end of your tenancy, written statements may not be requested at a later date.

BILLS (For Not Inclusive Properties)

You MUST inform your utilities suppliers (if your tenancy is not all inclusive) that you are leaving the property, AT LEAST ONE MONTH BEFORE YOUR TENANCY ENDS. You then need to get a final meter reading on your gas and/or electricity meter, and arrange for a final account for the telephone. Ensure the accounts are taken out in your name. Receipts for these bills must be provided to the Head Leasing Service before deposits can be refunded.

DON’T FORGET TO SEND YOUR BANK ACCOUNT DETAILS TO STUDENT FINANCIAL SERVICES TO GET YOUR DEPOSIT BACK.

MAIL

If you expect mail to be delivered and you want to forward it to another address then you can have the Post Office redirect mail to you. The Head Leasing Service does not forward mail, and will not allow ex-tenants keys to collect mail from a house.
