What do I need to do?

• I have already created a work plan using Teamwork to plan and monitor the activities involved in organizing Clearsoft’s User Conference.

• The User Conference preparation has been completed and the conference itself has taken place.

• It has been a great success so now I wish to evaluate the team members’ work and assign bonuses accordingly.


What do I need to do?

• For the sake of the exercise I will review the work of two of my team members.

• I will review and award bonuses for the following tasks assigned to the Top Goal: Gather and prepare presentation materials– Prepare roadmap materials

• Assigned to and completed by Jason Heggs

– Prepare customer success stories• Assigned to and completed by Andrea New


• Clearvale’s Teamwork tool has been used to set up the project for the organization of the Clearsoft User Conference and to coordinate the team involved in the organization.

• The goals and tasks have been set to complete and for each goal and task it is possible to assign a Reviewer Rating ranging from 0 –100– This counts towards an overall evaluation ‘score’ that can be viewed in

one of the reports available in Teamwork.

• Within Teamwork it is possible to create a Bonus plan based on the activities of a work plan and to assign bonuses to the individuals involved.

How to: Assign review ratings

• In the summary below we can see that Jason Heggs and Andrea New each have an activity assigned.

• In the summary we can see the that the Reviewer Ratings have not yet been set.



• Only the reviewer of a Goal or Task may assign Review Ratings.

• You will need to log into the Clearvale network and then access the Teamwork plan as the reviewer– The My Objectives tab will open and you will select the appropriate plan.– Double-click on the goal or task you wish to assign a review rating for.



• In this example you will set the Reviewer Ratings for the tasks Prepare customer success stories assigned to Andrea New and Prepare roadmap materials assigned to Jason Heggs.

• Then press Save.


How to: Report on evaluations

• We will now create a report which summarizes evaluations assigned to project members.

• To create the report:– go to the Reports tab.

– select the My Reports’ task Completion Evaluation report.

– Select the plan to report on.


How to: Report on evaluations

• In this example the reviewer can see the overall reviewer rating for the work carried out by the people reporting to the reviewer.– Jason Heggs has completed 2 assignments, one of which has not yet been evaluated.

Hence, despite having received a rating of 90 for preparing the roadmap materials, his overall rating is 40 for now.

– The calculation is done as follows (where W= weight ; R=rating): • W:40 * R:90 + W:50 * R:0) / ( W:40 + W:50) = R:40


How to: Create and manage a bonus plan

• Based on the evaluations and reviews you will now assign bonuses to the project team members.

• To create a bonus plan:– Go to the Performance and Bonus tab.

– Click on Add to add a new Bonus plan.

• You will then provide the relevant details on the Bonus Plan as shown on the following slide.



• Select the work plan the bonus plan will be based on.

• Select the Report Start and End Dates (they will be relative to the work plan period).

• Give the bonus plan a Plan Name and specify the Total Target Budget for this bonus plan.



• Select a Reviewer for the bonus plan.

• Then select Generate Report by default all the members of the work plan will be included in the bonus plan.– These members are eligible for a bonus.

• Save.



• You now wish to assign bonus amounts – Highlight the member and

click on the name– A pop up window will list

the assignments assigned to this person and the relative evaluations, completion rates and weights.

– In this case you can see the assignments carried out by Jason Heggs.



– Based on this information you will decide how much to award each person.

– You will specify the amounts in the Actual Bonus column and the Total Real Bonus will be updated.

– Save.



• You will then Submit the bonus plan and the Reviewer may review the plan.

• Once submitted the bonus plan can no longer be edited.


How to: View and export data

• From the list of bonus plans it is possible to view a summary of the goals and tasks assigned to each team member and details of the scores, weights and completion rates for each assignment.

• To see this information select the third icon from the left.



• You will then select the person you are interested in visualizing data for.

• You will see details on the assignments carried out by that person.



• When you select Export the data relative to the assignments carried out by that person will be exported to an Excel spreadsheet as shown here.
