Program Guidelines

Job shadowing is an observation experience only.

Patient care will not be permitted and therefore the shadow time will not qualify as clinical experience.

Eligibility

High school students must be a Junior or Senior.

Parent or guardian witnessed signature required for all participants under 18 years of age.

Current college studentsIndividuals exploring a second careerAdult Education

Immunizations and TB Testing

To be eligible to participate in the Job Shadowing Program, you must provide proof that you have had a Tuberculosis (PPD) skin test within the last 6 months with a negative result.

Program Overview The following slides will cover the job shadowing dress

code, safety, health information security policy, patient confidentiality policy, St. Mary’s Medical Center standards of behavior, and tobacco free campus policy as they apply to job shadowing.

Your participation in the job shadowing program requires compliance with all of these policies.

Failure to comply with any of these policies will result in removal from the job shadowing experience.

Dress Code

Your clothing should be neat, tidy and clean. The following are expected:

Appropriate personal hygiene Professional/conservative clothing

• Examples: khaki pants, a polo-type shirt, or dress shirt, etc.

Comfortable, clean, closed toe shoes Socks or stockings

Dress Code

The following are not permitted: Scrubs Jeans, shorts, sweatpants, tank tops, or bare

midriffs Sandals or flip flops Visible body piercings or tattoos

Safety If you are feeling ill, have a contagious disease

or are coughing or sneezing on the day you are scheduled for your job shadow experience, DO NOT attend.

In this instance, please call your job shadow contact (Organizational Development 304-526-1240) and let them know you will not be attending that day.

You will be able to reschedule your job shadow experience for a later date.

Safety It is always important to remember the

following in order to avoid spreading germs in a clinical setting:

Cover your mouth or nose with a tissue when coughing or sneezing and dispose of tissue in a waste basket.

If a tissue is unavailable, use the upper sleeve and not your hands.

Wash hands with warm water and soap or use alcohol-based hand sanitizer after coughing or sneezing.

Health Information Security

St. Mary’s Medical Center is legally required by the Health Insurance Portability and Accountability Act (HIPAA) to protect the privacy and security of health information for every patient.

This law is applicable to every person participating in a job shadowing experience.

Access to patient medical and billing information is limited to those individuals that have a work related need for that information.

Job shadowing participants WILL NOT be given access to confidential patient information and should not attempt to access this information.

Patient Confidentiality It is important to remember the following:

Patients expect the Medical Center to keep medical

information confidential. You will sign a Confidentiality Agreement in order to

participant in the job shadowing experience and will be legally responsible for this agreement.

Patient information such as medical records, laboratory results, x-rays and the like is confidential, and it must not be disclosed except to those who are authorized to know by hospital policy.

This information is not to be discussed with family or friends even if the information is about them.

Patient Confidentiality After your Job Shadow experience it may be difficult for

you to decide what you may share with others about your experience. Please use the following guidelines to assist you in this decision:

You may share general information about the department you visited.

You may tell about the staff you met and worked with. You may share the types of procedure and healthcare

provided. DO NOT share any patient health information. DO NOT tell other people the names of or any information

regarding patients or visitors you saw during your job shadow.

Standards of BehaviorAt St. Mary’s Medical Center, all

While shadowing at SMMC, you are expected to abide by the same standards.

Tobacco Free Campus Policy

St. Mary’s is a tobacco free campus, all tobacco products including cigarettes, e-cigarettes, cigars, pipes, and all forms of smokeless tobacco are forbidden on our campus.

Parking

If you will be driving on the day of your job shadowing experience, you should park in the visitors parking lot.

Visitor parking is free of charge.

Miscellaneous Information

During your job shadowing experience, you will not need a purse, cell phone, pager or backpack.

Cell phones are not to be used during your job shadowing experience. (SMMC policy states employees are permitted to use personal communications devices during lunch and break periods only.)

Cell phones are not to be used to take pictures or film any patients, visitors, staff etc., while on medical center property.

SUMMARY

Remember to bring the following on the day of your job shadow experience: Consent and Release of Liability (if under 18

years of age) signed by parent or guardian.

Applicable Health Information Authorization/Release of Liability Proof of TB test (no older than 6 months)
