Officer Reports

Member-at-Large ReportDear Brothers of the Midwest District,

Our year kickstarted with an officer meeting in April, where we presented tentative goals we had for the District and our positions. I was excited about the calling program that we have in the District. As a Council, we decided to each submit a blurb onto Midwest Notes to promote the use and activity of the blog. For me, this led to several friend requests on Facebook, and some messages being sent back and forth over commonalities Brothers or Sisters read in the post.

In May, the Chapter Leadership Conference in Kearney, Nebraska led to the opportunity for both separate council meetings and for a joint council meeting. Sitting in the basement of Adrienne’s house, we decided on joint goals, and decided upon the chapters who were to host the three District weekends. As a joint council, our goal was to find and fix errors on the District Website, and several of the broken links were fixed or taken down. Our goal as a council for the summer was to completely update the contact information of the chapters in our District so that the calling program would begin correctly.

Throughout this school year, I had the pleasure of staying in semi-regular contact with five chapters across the District. This was great in upping communication and finding out how I could be of service to various chapters, and how, as a District Council, we could better serve the Midwest District.

In November, I traveled down to Kearney for their District Day. There, I was able to connect with many Brothers and Sisters, and we all had a chance to promote musicianship when we played in the stands with the marching band during a football game. The best part of that weekend was the bonding many of us had in going to see Pitch Perfect late at night- nothing is better than a bunch of band students sitting in a theatre to watch a movie centered around music.

Right before Winter Break, I began a District Connection project, which I hope to see the following Member at Large follow through with. This is a project that involves utilizing Google Hangout to connect officers across the District to share ideas and improvements they can make upon their positions.

This year, I also established a Twitter account for The Midwest District and Kappa Kappa Psi. It has been fairly active, and I want to see it used in the future to improve communications throughout the District.

In Programs Committee meeting this year, we did some serious reconsideration of the awards packet. Only five of our twenty eligible chapters applied for any sort of award whatsoever. We found that there was interest in the committee in staying with the awards program throughout the year and aiding the new Member at Large with the promotion and brainstorm of the structuring of the awards system.

Midwest District, awards are not something we need to do. If this is not something that the District is interested in, we do not have to give them. However, I feel that they are a fantastic way to honor outstanding Brothers and achievements and should continue, but in order for that to happen, we need to fill out and complete one or more awards in the awards packet. Therefore, I am charging you, for the upcoming year, to look at the District Website and find the new awards packet when it is updated. Begin thinking about awards for next year now, as many of them involve working over a full year. This may shape the way certain projects come about in your chapter for the upcoming year, and might change some of the different aspects in which you visit certain ideas.

On that note, if anyone is interested in being a part of this brainstorming task force for the 2013-2014 year, please contact the new Member at Large or find me immediately following the closing joint session.

My hope is that this system can be reworked and re-evaluated in the coming year, and can become a more successful program, with many chapters striving for the highest in every aspect.

My last job as this years Member at Large is to complete a handbook for the running of Programs Committee and consideration of the awards. It will encompass those items that are learned during the last weekend in office at District Convention. My hope is that this document can be added to and modified in future years to aid with officer transitions and having a starting base. This will be submitted to the new District Council and the current Governors no later than Sunday, March 17, 2013.

My charges for the 2013-2014 Member at Large are as follows:1. Continue the upkeep and maintenance of the Midwest District Kappa Kappa Psi Twitter

account2. Work with the aforementioned task force to reevaluate the awards system3. Stay in contact with the Governors to receive their recommendations on the awards

program4. Continue the District Connection project.

For the Midwest District:1. Make yourself aware of all awards that are available on both the District and National

Level. Next year, submit a packet with the completion of at least one Outstanding nomination and one other award, such as travel documentation or a scrapbook display.

To Pat, Faithe, and Eimile- I have loved all of our meetings and travel throughout the District this year. Pat, I am officially charging you with looking into that concerning noise your car tends to make. We need safe travel across our District. That is an aspect everyone can keep in mind. Midwest District, it has been a pleasure getting to know many of you this year and being selected to serve. Continue striving for the highest in all that you do.

Secretary/Treasurer ReportBrothers of the Midwest District,

To begin with, thank you for giving me the opportunity to be the 2012-13 Secretary/Treasurer. This year of being a district officer has been an adventure of sorts for me. I have learned many things, most of which were learned within the last week. I wish I had done more in a few areas, including convincing other district officers to submit paperwork to be reimbursed for travel funds and having more communication with Di, who is in charge of our account at Nationals. However, in the end, the year was not only a success, it was fun to achieve that success. I completed the remaining paperwork that had to be submitted to the publications host chapter after last year’s convention. I traveled to the Chapter Leadership Conference, two district days, and the convention site visit. I also took minutes at each of the District Officer meetings throughout the year using Google Docs so that the other officers could follow along if they chose to do so.

I wish there was more I could have done throughout the year. Taking minutes once a month or so doesn’t seem very significant. However, through conversations with the other Secretary/Treasurers from other districts, I have gotten ideas that the 2013-14 Secretary/Treasurer could implement.

Below is a summary of what I was charged with compared to what actually happened this year.

Charges I was given: Follow the two page “User Guide” created for the position. If the proposed amendment passes, be responsible for its implementation. Continue using the Google Doc budget & ledger. Keep detailed memos when recording

each credit or debit. Fundraise $550 of income. You should be able to raise most of this money by taking

advantage of the National District Officer Travel Grant on the National website (submit requests to the National President, Adam Cantley).

The User Guide was a great resource for me this year, but I should have checked it more throughout the year in order to make sure I was still following it. Overall however, I think I fulfilled this charge which encompassed several charges.

The proposed amendment was highly overlooked this year by the entire council. Luckily, it was implemented without my input.

The Google Doc budget & ledger was kept in the back of my mind, but there was minimal spending for the past year, meaning there wasn’t anything to record.

I did not do any fundraising. However, the excess money in our district account seemed to make fundraising unnecessary.

My charges to the 2013-2014 Secretary/Treasurer: Follow up with the district account throughout the year. Strongly encourage the District Council to submit reimbursement paperwork within the

30 day time limit. Consider updating the “Secretary/Treasurer User Guide” and making it more detailed

It has been an honor to serve the fraternity and district in this capacity. It has been a great experience for me to learn and grow. Had you told me two years ago at my first District Convention that I would be the one up there taking minutes someday, I may have laughed at you. Brothers, if you will be eligible, this could be you at a future convention. You can ask any district officer, past or present; this is the kind of experience that should not be passed up.

Vice President ReportDear Brothers of the Midwest District,

This year has gone by very quickly, and I cannot believe that my term as Midwest Vice President is coming to an end. While I have not done everything I intended to do, I did accomplish several things and set-up the position so that the next person will be able to jump right in and be productive from the start.

Over the summer I attended the Chapter Leadership Conference in Kearney, NE where I got to meet with many of the vice presidents throughout the district and learn what their chapters do to promote membership education. This was very informative for me and was a great way to share with each other and get new ideas and perspectives on many of the things our chapters teach. I also made plans to attend all of the district days. However, every time something unexpected came up so I was unable to travel as much as I had planned and would have liked to. I had conflicts with academics, a last minute concert, and snow that prevented me from traveling.

The District Vice President has two totes of paperwork that gets passed on every year, so I spent quite a bit of time going through everything. Many of the things in the totes were very old or irrelevant to the position, so I threw them out if I felt were unneeded and safe to throw out. There were things that I was not sure should just be thrown away so I left them, but the next vice president should consider finding out where such things could find a permanent home outside of vice president’s totes.

In January, I decided that I wanted to utilize the Midwest notes in a new way, so I decided to have each chapter vice president (of membership) write a short article about their membership process. This was not well-received and I had difficulty contacting some vice presidents, so only two articles have been posted. Thank you Eta Pi from UNI and Kappa Delta at NWMSU for submitting those. Hopefully a few more will come in by the end of the school year, and the new district vice president can continue this project into next year.

One of the most significant things I did, in my opinion, was to create a handbook for the Vice President office. Nothing in the totes is recent or describes what the vice president should do. Therefore, I took one of the binders from the tote and created a handbook for future vice presidents. I included the constitutional descriptions for the position from both the National Constitution and District Constitution as well as full a copies of the constitutions. I also listed my charges/ recommendations for what the vice president should do next year and in future years, and gave the next vice president a good starting point so he or she can jump right into the job. I started a list of former vice presidents with contact information, so future officers have the ability to contact past people to get ideas and advice as necessary. Another thing I included was a page about the MEP database so future vice presidents are aware of it and can actually get that updated since it has not been updated in a couple of years. Finally, I found some pages on the national website regarding membership, so I printed those and included those in the handbook. I saved the documents that I created onto a CD so that future vice presidents can add to it and make changes as necessary without completely having to retype what has already been done.

One thing that I wish would have happened sooner in the year was a video conference between all of the district presidents and vice presidents hosted by Adam Bates. We each talked about what we were working on within our district, and I gained several great ideas from it. However, it was too late in the term for me to try to implement any of those ideas. Therefore,

next year I would like to see a meeting like this happen in the fall semester rather than the spring. I recommend that the Midwest District Vice President initiates this if no one else does it first. It is a really informative experience to learn about the other district’s role for the vice president and gain ideas to further the role of the vice president within the Midwest District.

On a personal note, one of my motivations for taking this office was to help my own chapter reconnect with the district. We have not been active in the district beyond attending District Convention, so I was hoping to get my chapter more involved and recognized within the district. Due to our extremely busy and tight schedule, my chapter did not travel as much as I wanted, but at least we are opening up some to the district. I hope to see someone else from Kappa Delta hold a position within the district, and I hope that sometime soon the chapter will host a district event, perhaps Chapter Leadership Conference? I have several charges for the 2013-2014 Midwest District Vice President. They are as follows:

♪ Make a plan about what you want to do during your term as soon as get into office and set deadlines for yourself as soon as possible.

♪ Gather phone numbers and email addresses of all vp(m)’s in the district and introduce yourself to them all as soon as chapters elect new officers.

♪ Have each vp(m) post an article to Midwest Notes about their general membership education process.

♪ Once articles have been made to Midwest Notes, have vp(m)s create a more detailed Membership Education Program (MEP) and have them submit it you.

♪ Once you have looked through the MEP’s and given chapters feedback as necessary, put them into the database on the district website (contact website host chapter for help with this).

♪ Create a list and/or handout of ideas about membership education to send out to all chapters.

♪ Talk to other district vice presidents to see what they are doing and get materials from them if they have something you like.

♪ Keep record of everything you do and ideas you have for the next VP.♪ Communicate and Denali and Tony to see what they would like you to do and what ideas

they have.

President ReportBrother of the Midwest District,

The year has come and gone, and we are all back together at convention. I have had a roller coaster of a year, and I have loved every minute of it. I would like to thank each of you for giving me the opportunity to serve you as President these past 343 days. It has meant so much to me to be trusted by you all. I have met so many fantastic people, and learned so many fantastic things. I will always cherish the memory of this last year, and that is because of all of you.

The year started with a lot of excitement and a lot of energy. The joint council jumped on planning the CLC in Kearney, NE for early May. The event was a success, with sessions given by members of both organizations and by a guest speaker. Although the attendance was not as high as was hoped for, everyone that was there came away with new ideas and new energy for the upcoming year.

At the CLC was our first joint council meeting where we discussed plans for the next year, and evaluated the 2012-2013 District Day schedule. We chose themes and dates for the District Days, and created a preliminary list of activities for each. Around this time, the Kappa Kappa Psi Council discussed our individual plans for the year. We came up with a basic outline of the upcoming months and set about our first round of chapter calling. This was met with some difficulty due to some chapters not updating their officer and contact information, as well as a few presidents being plain old hard to reach. But we eventually got a hold of everyone with one exception. By the time August came around, we did another round of calls to see what chapters were doing, and to see how the start of the school year was treating everyone.

Before that, in July, I had the pleasure to meet with the other District Presidents and the National Council for the District Leadership Conference. At that point is when convention planning started and the wheels got rolling that brought us to today.

As the fall semester went on, we came to our first District Day in Kearney, NE. I was able to attend and had a fantastic time playing with the UNK marching band. We got to bond as brothers and sister over our love of music with an instrument petting zoo, a few workshops, and a nice big round table talk about the day’s theme, Music. The second District Day had the theme of Service and came up shortly after in Rolla, MO. Unfortunately, due to the schedules of the council, none of the Kappa Kappa Psi council was able to attend. The third district day was hosted by the chapters at the University of Minnesota, and had a theme of Brotherhood and Sisterhood. This was a very well attended event and a great bonding experience for all those involved.

As for what I was doing outside of district events this year, I spent most of my energy that was set aside for Kappa Kappa Psi on planning convention. Because of issues with not knowing which national officers would be attending until later than planned, the planning of convention really got underway later than planned. But I was still able to coordinate with the national representative to get them all here, and to have them all be a part of this weekend. I was even able to get NCD Governor, Rod Whiteman to join us here is Lawrence. Adam Cantley was originally planning on attending MWD Convention this year, but do to outside circumstances, he was not able to make it, and Adam Bates was able to take his place. I want to take this time to thank all the Kappa Kappa Psi representatives that made the trip to this year’s convention. You have all been very supportive of me through the planning process and through this weekend. Thank you.

I also spent time working with my lovely council members. I tried to take the approach this year of a supportive fellow council member, and not an overzealous president. With balancing classes, Kappa Kappa Psi, and my life outside of those two things, I was not as organized with the council as I could have been, but because of their skills and willing attitudes, we were able to make to convention together and in one piece. The council was very supportive of me all year, constantly asking if I needed help with convention, and always having ideas on a variety of topics. It is because of all your support that I was able to make it through this year. Eimile, Faithe, and Sarah have all been great resources and great friends to me this year, and for that, I thank you.

To the host chapters for this year’s convention: Eta Zeta and Zeta Delta. Thank you for putting on a fantastic convention! There were times that you did not know what was going on, and I did not know what was going on, and you thought I did, and I thought you did, and then things still happened, but we did not know what exactly any of that was. If that is not the definition of confusion, I do not know what is. And through all that, you have managed to pull together and put on a wonderful weekend. I cannot thank you enough for putting up with my confusion and for working so well with myself. Thank you, thank you, thank you a thousand times!

To the MWD Govenors, Tony Falcone and Denali Pearce-Alt. The two of you have put up with me for all this time, and everything that that involves. Where it was answering email questions, talking to me on the phone, or just being a good source of ideas and critiques, you two have been a massive help leading up to this weekend. In the last two days, you have been an even bigger help. Making sure I have continued breathing through everything, answering all my questions, reminding me of things I did not know I had even forgotten, and for being flexible and easy going with all my ideas and plan. But I think the biggest thing I must mention, is to thank you for letting me learn from this experience. You have watched as I have made mistakes and as I have tried to fix them. You let me learn from my mistakes while keeping an eye on me to make sure I didn’t set anything too important on fire. You have truly let me grow as a person and as a leader, both by your support, your distance, and you assistance. You made me learn how to ask for help, and that was a lesson I really needed to learn if I was ever going to be able to grow as a person. Thank you for everything.

Lastly, to the Brothers of the Midwest District of Kappa Kappa Psi, thank you all for being awesome. Each year I attend convention I recognize more of you, I meet new people, and I make new friends. You are the reason that any of us are here today, and you are the reason that I love being a part of the Midwest District. While you may not be the most organized bunch, and you do not always get your paper work in on time, I still love you all and feel extremely privilege to have served you this last year. I would like to thank Denali Pearce-Alt for her guidance during the process of interviewing and slating candidates, Kylie Mattke from Kappa Delta for taking minutes during our meetings, and the Nominations Committee for being so easy to work with and for helping the committee run so smoothly.

The Kappa Kappa Psi Nominations Committee began by addressing the constitutional eligibility of each candidate. We then made sure that no conflicts of interest were present in the committee before proceeding. The Committee decided to invite the candidates each for a 10 minute interview in which predetermined questions were asked. The committee discussed in length the merits of each candidate in relations to the office or offices for which they applied. Programs Committee Report2013 Programs Committee Report

The meeting was called to order at 8:02 pm. We appointed Erin Kelley to be the recording secretary, then began by reviewing the charges for both the Member at Large position and the committee for 2013. A schedule for the following day was created. Because awards were no due until midnight, the committee was unable to determine any award recipients during this portion of the meeting. We recessed at 8:21.

The following day, the meeting was called to order at 8:02 am. We began with the Outstanding District Involvement Award. In looking through the packets, several applications for it were determined to be incomplete. After reading the remaining awards and determining eligibility, the committee declared Kappa Delta the creipient due to a high level of described service and completed social functions.

Next, we spoke about the Representation Award and determined that the easiest way to obtain the information would be to set up a spreadsheet on one laptop, and chapter delegates could manually enter the information following the Town Hall meeting.

The Outstanding Musicianship award came next. After determining eligibility, the candidates were assessed separately. The remaining candidates both exemplified quality musicianship, but in the end, the committee felt that one candidate went above and beyond the call in striving for dedication to music and his surrounding organizations. The decision to award Stephen Wadsack from Alpha Nu.

Next came the Outstanding New Brother Award. After determining eligibility, the committee was very impressed with Matthew Dammrich of Eta Upsilon due to his strong involvement and dedication to the Fraternity in a few short months.

Outstanding District Involvement Award was next. Delta Kappa was exemplary in their submission and determined to be the recipients.

The next part of the meetings was spent addressing the Scrapbook, Display, and District Scrapbook awards. We reviewed criteria for awards and later asked three National Officers to view the submissions during the Block Party. They were to report to the Member at Large later that day with decisions for the recipients. Those recipients later became INSERT HERE

The next order of business was to address the title of the “Outstanding District Involvement Award.” It had previously been the “Most Outstanding Chapter Award.” We decided it would be

best to change the name back to its original due to the fact that the current title leads the applicants to believe it is an award based on District Involvement. We then talked about a possible new award, which was later decided against due to the fact that chapters need to begin applying for awards that are available before the presentation of a new one is included. However, through this discussion, we came up with the idea of a point system for certain awards, which is included in the end of this report.

At 9:55 am, the separates meeting was recessed and the meeting became a joint committee meeting with Tau Beta Sigma. We discussed the travel award and the work that it needs, and then addressed the adding in of details to other awards to ensure that necessary clarifications are present. For the promotion of awards, we discussed increased communication and checking joint awards packets for wordings and inclusion of some details. This led to a discussion about a point system or rubric being included to make both the clarification process and the assignment of clear winners more manageable. The suggestion is included at the end of this report. The meeting was recessed to 7:35 am the next morning.

The meeting was called to order at 7:38 the next morning. We approved the VIP decisions for the scrapbook, display, and district scrapbook awards. We approved the Representation and Travel awards, as well.

Lastly, we confirmed with members of the 2013 programs committee in the interest they have in creating a task force that will push the application and awareness of awards in the coming year. They will work with the upcoming MAL in ensuring chapters are aware of the current awards that can be applied for.

The Service Showcase will be decided by Delegate vote.

Upon discussion, the district Ways & Means committee agreed to propose to Joint Jurisdiction to remove the District Enhancement Apportionment (joint $2 fundraising fee) amendment that was proposed and passed at the previous district convention.

The reasoning for removing the amendment: The fundraiser brings in extra income that is unnecessary for Kappa Kappa Psi. There is nothing in the Bylaws that requires that the registration fees for Kappa Kappa

Psi and Tau Beta Sigma to be the same. Should Kappa Kappa Psi vote to remove this amendment, Tau Beta Sigma could still charge more for district convention registration as needed.

2 Chapters for District Convention

In order to host district convention, two chapters are required to host, one Kappa Kappa Psi and one Tau Beta Sigma. Should one of these not exist at the college, then another group is needed to help host. When recommended to Jurisdiction, they said that this discussion should come from the Convention Site committee, not Ways & Means.

To get better representation of our district at National Convention, a possible use for the surplus $14,000 is to use it and money already being raised to send a member from each chapter of our district to National Convention.

Discussion: This is a possible way to use the $14,000 in our account, but not all at once. The yearly cost will

be about $2625, with sending one member from each of the 21 chapters in the district. Having the costs covered for members to attend National Convention should increase interest

and allow the Midwest District to be represented by members from the Midwest District, instead of proxies from other districts.

Governors’ State of the District Report

State of the District Address

First of all, we're very pleased with the way things have been going in the district over the past year.  Congratulations to the district officers and to the host chapters for planning and executing a fantastic weekend.  We definitely got our money's worth!  And what a fantastic turn-out we have!  We couldn't be more pleased with the year and with convention.  Kudos to all.

We were very pleased with the number of chapters that were eligible for the Chapter Leadership Award this biennium.  Out of 22 chapters, we had 16 that were eligible and we ultimately nominated 4 chapters, of which 3 were nominated as Chapter Leadership Finalists and will present for the Founder's Trophy this summer at National Convention.  We both remember biennia where there were fewer than 5 chapters even eligible for nomination......

Please pay attention to what is going on at convention.  It appears that certain items have been passed at convention without it being noticed because no one was paying attention.  Did you just vote to sell the soul of your first-born child?  Would you know if you did?  You voted to increase convention registration fees by $2 last year......which we didn't need to do because we have over $10,000 surplus......did you even notice?

This year, the Midwest district will be subsidizing registration for one representative from each chapter in order to encourage representation from ALL chapters in the Midwest district.  We have proposed setting aside nearly $3,000 in our budget because we feel it is that important to get you there.

Kappa Kappa Psi is a student-run organization.  The only way this can remain the case is for you to show up and for your voice to be heard.  ***MORE FROM DENALI HERE***

The committee was called to order at 8:05pm by co-chairs Jessica Sousek and Carissa Vinovskis. A secretary was appointed to take minutes of the meeting. Members of the committee were introduced and the charges from the 2012 Committee for District Events were reviewed. The charges were as follows:

1) Charge the 2013-2014 Committee as necessary2) Evaluating and revising the bid process for the CLC if need be3) Charge committee to come up with workshop ideas for CLC4) Charge committee to come up with possible themes for DD5) Charge the committee with creating a guidelines page for bidding for CLC6) Charge the committee with revising bid page for CLC7) Charge the committee to review and select DD locations from the bids provided8) Effective ways of bringing in more people to DD9) Revaluate effectiveness of minimum amount of district days10) Location of district days11) Add points to article in the constitution describing the bid process for CLC

The committee began by addressing charge #4 and brainstorming ideas for themes of district days. The preambles to the constitution of both KKY and TBS were reviewed in order to come up with ideas. As a group, several possible themes for district days were suggested. The suggested themes were: musicianship, service, brotherhood/sisterhood, membership education review, ritual workshop, outreach, promotion of bands, promotion of the fraternity/sorority, and recruitment.

Next, the committee addressed charge #8 by discussing factors that might influence chapter and individual attendance at district days. Factors discussed included: location of the event, timing of the event, day(s) during the week, length of the event, content and theme, other brothers/sisters who might be attending, communication with other chapters regarding the event, promotion of brotherhood/sisterhood, and being able to promote the event within personal chapters.

Finally the committee addressed charge #9 to determine the number of district days to be held each year. The ideal number of district days suggested was proposed to be 2-3 during the school year, and 1 in summers during which National Convention is not being held. During the school

year, 1 District Day would be ideal during the fall, with 1-2 being held in the spring semester. During summers in which National Convention is not being held, an additional district day was proposed to keep members engaged and invested in the organization(s), increase brother/sister bonding throughout the district, and potentially discuss pertinent topics such as recruitment and rush in the fall semester. The committee agreed it does not make sense to hold an additional district day during summers in which most chapters will be focused on attending National Convention.

The committee began to review charge #7. However, there were no bids proposed for any chapters to host District Days for the 2013-2014 year. At 9:00pm, the committee recessed for the evening.

Saturday, March 9, 2013

The committee was called to order at 8:10 am by co-chair Jessica Sousek.

The committee began by addressing charges #2, #5, and #6. The committee first discussed the ideal location for the Chapter Leadership Conference (CLC) to be held. Several options were presented, including: continuing to hold it at the University of Nebraska-Kearney, as it has been in the past, or to move it to a new location every year. The chapters of Kappa Alpha (KKY) and Alpha Iota (TBS) from the University of Minnesota presented a bid to host the CLC this year. The committee decided it was most effective to keep the CLC at a centralized, consistent location every year. This would make it a well-established and regular event every year within the Midwest District. The committee also suggested that the University of Minnesota chapters perhaps host a district day this year instead of the CLC.

Due to the decision to keep the CLC at one centralized location for the time being, there was no suggested bid or application process for chapters to host CLC in the future.

Members of the committee then addressed charge #3 by brainstorming ideas for the Chapter Leadership Conference, which will be held at the University of Nebraska-Kearney on May 24 and 25. A proposed schedule was devised by the committee, with several ideas, breakout sessions, and topics for discussion for each officer position. The proposed 2013 CLC schedule has been attached.

Charge #7 was re-addressed. Several members of the committee expressed interest and potential ability to host a district day in the upcoming year. Because there are no current official bids for district day, there will be a thirty day period, during which several chapters are anticipated to submit a new bid to the District Council. If no bids are submitted by that time, the District Council can expect cooperation and ability to host a district day from the following chapters:

The joint meeting of the publication committee was held both Friday and Saturday with a focus on evaluating the effectiveness and implementation of the Midwest Notes blog. We looked at the user-friendliness and effectiveness of the both district sites and the social sites. We also discussed the feasibility of changing to a webmaster-based system.

Meeting

The meeting started with the introductions of advisors, chairpersons, and committee members. The chairpersons asked who would like to be the committee secretary and then appointed Lauren Hammond to the position. On the second day of committee, the chairpersons appointed Brett Steinbrink to the position. We reviewed and discussed the 2012-2013 committee report. We then reviewed the Midwest notes page and discussed it’s overall user friendliness and appeal.

We reviewed and discussed the bid packet from Iota Omega and Theta Xi Chapters at the Iowa State University. We discussed the changes they have implemented in the past year and the changes they plan on implementing in the upcoming year. Questions for their bid presentation were discussed.

During questioning, they had many ideas for implementing the changes we suggested and also had excellent answers to our questions. Seem enthusiastic about the future of the publications.

We addressed the topic of having a host chapter run publications when the role could possibly be filled by joint webmasters due to the shift to a blog format. We felt that joint webmasters may not be able to communicate as well or consolidate information as well as a committee run by a chapter. More importantly, we felt that the host chapter has done an excellent job with publications thus far. They show a great deal of pride in their efforts and have a well organized joint committee for publications which has enough members to adequately review submissions. We feel that the amount of work might be too much for only one or two people, and that the content could suffer for it. Also, the process of bidding each year challenges the host chapter to continually improve.

We discussed the results of the bid presentation and voted unanimously to recommend that Iota Omega and Theta Xi be recognized as the 2013-2014 Midwest District Publishing Chapters in charge of the MWD website and Midwest Notes blog in accordance with the charges below.

Review the format for clarity and contrast, make it more readable.

Think about coming up with a tag line more indicative of the content. Possibly move current tagline to a photo gallery page.

Add contact information to blog somewhere to make suggestions easier.

Look into making it possible to log in and comment via Facebook.

Embed videos into the blog possibly into a multimedia gallery. A dropbox account?

Make the printable version of the blog more streamlined without sidebars.

Chapter names should be associated with any pictures or videos submitted.

Submission guidelines should be accessible on blog.

Change the link on MWD site “Midwest Notes” to something like “Publications.” Make this link to a page with links to Midwest Notes, the Podium, and a blurb about these publications and what the host chapter does for them.

On the MWD page, make the header links bigger if possible, perhaps condensing into drop down menus if necessary.

Have a way for chapters to submit important calendar dates.

The 2013 Convention Site Committee was charged with the following tasks:1. Set a time limit for convention presentations and questions based on the number of bids

to be present. 2. Appoint one person to time presentations and question period during the presentations. 3. Review submitted bids to ensure that all required information is provided. Prepare a list

of pros and cons for each bid.4. Charge the 2013 Convention Site Committee as necessary.5. Charge the 2012-2013 District officers as necessary.

The Committee addressed the above charges as follows:1. The bid presentations had a time limit of 10 minutes along with a 15 minute Q & A

session.

The following chapters bid for the 2014 Midwest District convention:University of Missouri - ΚΚΨ – HΥ and ΤΒΣ – ΖΩ.University of Nebraska-Kearney - ΚΚΨ – ΙΨ and ΤΒΣ – ΘΜ

Eta Upsilon – Zeta Omega “Welcome to the Jungle”The bid from the University of Missouri was well developed throughout much of the packet and presentation. The presenters were able to answer our questions adequately with a broad knowledge of contingency plans and potential changes to their bids. Their theme, “Welcome to the Jungle” is a very interesting bid that centers on jungle cultures and their relationship to music. They were able to tie most things in their bid packet back to the theme. Their location within central Missouri makes air travel very easy and the bidding chapters had many plans to get persons to and from the convention and airport.

Iota Psi – Theta MuThe bid from the University of Nebraska-Kearney used a theme, “Musical ABCs”, which focused on music education. This theme has the potential for many great activities. Their music program was demonstrated to have the capacity to provide large numbers of Reading Band members with instruments. The location within a local hotel makes all of the activities easy and convenient to access, and the hotel facilities are of a high quality. In addition, their location is very centrally located which makes it easy for all chapters to attend.

Based on the committee’s evaluation, the 2013 Convention Site Committee recommends Eta Upsilon and Zeta Omega chapters from the University of Missouri to host the 2014 Midwest District Convention.

1. Committee chairs will provide constructive feedback, via e-mail, compiled during the committee meetings to all bidding chapters at the conclusion of the Midwest District Convention.

2. Set a time limit for convention presentations and questions based on the number of bids presented.

3. Appoint one person to time presentations and question period during the presentations.4. Review submitted bids to ensure that all required information is provided in accordance

to the Midwest District Convention Bid Guidelines. Prepare an evaluation for each bid.5. Charge the 2015 Convention Site Committee as necessary.6. Charge the 2014-2015 District officers as necessary.

The 2013 Convention Site committee appreciated the hard work and effort these chapters demonstrated in their bids and during their presentations.
