Locate the sequence_code_c135 field in your course master. a. For courses that DO award high school credit, enter a Y in this field. b. After the roll over process has been run, the HIGH SCHOOL needs to run the process to deactivate all previous transcript records that do not award high school credit. That means it is time for those final state reports to be submitted in addition to processing the end of the year grades. Did you add any new courses to your course master this year? If so, and you haven’t done so already, you need to be sure that the state course code is associated with your local course code for this new course. Please note that no matter what state you are in, you can use the view State Course Codes Illinois – Current Year found in the Master File and Code File Entry and Changes area in the All Entry Options application drop box to make these associations. Make sure that all of your courses are matched to a state assigned course code. If you discover that the state course code list is missing a course, use the view State Defined Course Codes found in the All Entry Options area to add that missing course. Refer to your state’s documentation for the appropriate values.

Junior High/Middle School Classes for High School Credit If your junior high/middle school students have the opportunity to take courses for high school credit, you need to

make the following adjustments.

1. Locate the sequence_code_c135 field in your course master.

a. For courses that DO award high school credit, enter a Y in this field.

b. For courses that DO NOT award high school credit, enter a J or M in this field.

2. Calculate your GPA so that this data is moved to the transcript records.

End of the Year Notes for State Reporting Matching New State Course Codes to Local Course Code Numbers

It’s hard to believe that the end of the school year is upon us! That means it is time for those final state reports to

be submitted in addition to processing the end of the year grades.

Did you add any new courses to your course master this year? If so, and you haven’t done so already, you need to

be sure that the state course code is associated with your local course code for this new course.

Rollover Procedures Close Out 2015-2016 & Open the 2016-2017 School Year

It is the end of the school year and soon you will want to close out 2015-2016 and get your system ready for

the new 2016-2017 school year. This process isn’t a difficult one, but it has several steps and we realize that

only doing it once a year does make it easy to forget. We have several resources that will step you through

this process.

Closing out the current year requires that you have all of your data for the 2015-2016 school year entered

and final processing done. This includes things such as grade entry, GPA calculation, class rank processing,

state reporting and also refreshing attendance. We recommend, particularly for high schools, to review

student transcripts and make sure that they look complete. Also, if your graduating seniors are grade_year

12 you will want to make sure that you change their “grade_year” field to something unique, such as their

graduation year, 16. If your school is currently using that grade year of 16 for something else, i.e. pre-

school, adult education or something else then you might consider changing this year’s seniors to uppercase

i6, “I6”. The purpose is to give this group of seniors a unique grade level so that in the future, if you want to

identify an entire graduating class you can setup a query using that unique value and easily get the students

you want.

Student Elementary Scheduling

Student Elementary Scheduling in the Scheduling folder of Web School Office provides an easy way for

elementary schools to create their course master and student schedules. By creating elementary schedules,

teachers can then create grade books for all the subjects they teach.

Elementary Scheduling can either be run in the Next Year area prior to running the Prepare to Open process

or in the Current Year area after the Prepare to Open Process has been run.

BLT Salad A favorite of bacon lovers everywhere!

1 lb bacon

¾ cup mayonnaise

¼ cup milk

1/8 tsp ground black pepper

1 tsp garlic powder

1 head romaine lettuce, rinsed, drained, shredded

2 large tomatoes, chopped or pint of grape tomatoes

2 cups of your favorite croutons

Salt to taste

1. Place bacon in a large, deep skillet. Cook over medium high heat, turning frequently, until evenly

browned. Drain, crumble and set aside.

2. In a blender or food processor, combine mayonnaise, milk, garlic powder and black pepper. Blend

until smooth. Season the dressing with salt.

3. Combine lettuce, tomatoes, bacon and croutons in a large salad bowl. Toss with dressing, and serve

immediately.

How to Adjust Your Calendar’s Last Day of School Ending School Earlier than Originally Projected? Didn’t use all your snow days?

Are you one of those lucky schools that didn’t use all of your snow days and will be ending your school year

earlier than originally planned? If so, remember that you will need to adjust the ending date of your last

marking period and inactivate all days in your calendar after that date. For instructions on making a
