Louisiana State Documents Depository Program

SUPERSEDED TITLES LIST 2002

Purpose The purpose of the Superseded List is to guide the selective depository librarians in disposing of superseded materials. These suggestions may be useful in weeding obsolete, dated or ephemeral documents from shelves. The materials listed in this publication may be discarded before the normal six-year statutory retention period for non-superseded materials, without submitting them on a weeding list for approval from the Recorder of Documents. Margaret Lane originally compiled the list, based on the federal documents superseded list. Alison Foster and Danny Gillane did the most recent revision in 1997.

Structure The Superseded list is divided into 3 columns. Column 1 contains the current Louisiana Document classification number stem for the public document, and column 2 contains the title. Column 3, “Retention”, indicates the specific disposition instructions for the superseded publication in question. The notation is usually self-explanatory with the terminology defined below.

Terminology 1. Discard if revised—Keep the latest edition/issue of each title published in the series.

This term is used for series issued with some type of regularity. 2. Keep latest edition/issue—Only the latest edition or issue of the title needs to be

kept. This term is used for series issued with some type of regularity. 3. Loose-leaf. Discard pages if revised. Keep latest edition- Identifies loose-leaf

“manuals”. Keep the latest edition of each title and the transmittals issued for that edition; revised pages may be discarded.

4. Some newsletters and announcements are listed with the notation “Keep current year plus previous year”. These publications are generally from one to four pages in length and are of a current awareness nature.

5. Periodicals/ serials that are superseded by a cumulative edition are identified by a notation such as “monthly issues superseded by annual”.

The following generic classes cannot be totally inclusive because of their broad coverage and repetitive nature. These publications listed below must be individually reviewed and may be discarded ONLY when a revised edition has been received. The Louisiana Documents Classification form divisions are included in parentheses.

All selective depository librarians should note that this Superseded List does not require that materials be discarded. Material of research or historical value may be vital to the depository library collection and each library should evaluate the needs and collection policy of the library before discarding any Louisiana material.

Each depository is required to retain permanently all volumes of Official Publications and all issues of Public Documents until the Official Publications cumulation.
