Microsoft Office 2010Overview & New Features

- Vasu JainGood Afternoon every one Welcome to Delhi IT proMy name is Vasu JainI am working as a Software engineer with TCS.

1

Microsoft recently launched Technical Preview or Pre Beta of Office Suite 2010.i would be disucssing about the latest version as well all new features included in it.

2

Before we move on I would like you all to see MS office 2010 add. Its an introductory video about Office 2010.3

If time permits I would like to share this teaser which Microsoft has posted for Office 2010, treating the next productivity suite like a forthcoming movie.Much like studios do with movies that are still months from hitting the theaters, Microsoft is looking to generate some advance buzz for the next version of Office. This video pokes fun at recent leaks of the product onto the Internet (and the fact that some leaked versions also came with a virus).4

So here we begin the Review of Technical Preview. Microsoft released the first major public milestone for Office 2010, Technical Preview, a pre-beta version of the traditional Office suite on 14th July 2009.5System requirements for Office 2010. 1. Available in both 32-bit and 64-bit versions. 2. OS Supported : Windows XP SP3, Windows Vista, and Windows 7.

3. Hardware Requirement : Same as of Office 2007Taking advantage of hardware like Windows 761. Office 2010 will be available in both 32-bit and 64-bit versions. 2. Office 2010 will run on Windows XP SP3, Windows Vista, and Windows 7.3. You don't need to replace hardware that is capable of running 2007, it will support Office 2010. Like Windows 7 has demonstrated, MS realize that taking advantage of the hardware you already own is just as important as supporting all the new technology coming out.New features to Office 2010Support "high definition" content : Special effects, transitions, image integration

Microsoft's "work anywhere" notion : document over PC, Web, Mobile. Like Google Docs. Perfect for Cloud Computing, Windows Azure

Online collaboration capabilities : Connect & collaborate in real time7Microsoft Office suite is now 20 years old. (Fun fact: The first version of Office shipped for the Mac; the first Windows version followed a year later, in 1990Microsoft has extended Office to mobile devices and servers and will further extend it in the Office 2010 product wave to the web as well.

~To the future~Office 2010 offers a few interesting if general new features.1.The product will support "high definition" content,, such as with better-looking special effects, transitions, and imagery in applications like Excel and PowerPoint. It will also support advanced visualizations.2. will support Microsoft's "work anywhere" notion via high-fidelity pass-through of documents between the PC desktop, the web, and mobile devices. The Office Web Applications, which are of course, brand new, will open up Office tremendously, allowing customers to access their documents from anywhere, even if the PC they're using is not their own and does not have Office installed. Somewhat like Googgle Docs. This is an interesting approach for taking a software suite and positioning it in the cloud computing generation. OS:Like Windows Azure3.All Office applications will be available in both 32-bit and 64-bit versions in Office 20104. It will allow users to connect and collaborate in real time, both on the PC desktop and on the web.Office Orb replaced by Menu Button

Application Button like Windows 7 ribbon based apps, Paint & WordPad8As noted previously, Office 2010 adopts the ribbon user interface across all applications, and it's an improved version compared to the one that debuted with many Office 2007 apps. Gone is the round Office Orb, replaced instead by a more traditional looking application button that is very similar to the application button that appears in Windows 7's ribbon-based apps, Paint and WordPad. The Office 2010 ribbon also picks up a handy Minimize button cornerBackstage Concept

Old file Menu Replaced with new interface that pops up, perform operations on currently loaded document Operations like print, permissions, meta data e.g. Print preview

9Office 2010 also replaces the old File menu with a new interface called Backstage. This view, which is triggered by clicking the application button, takes up the entire application window and represents the "behind the scenes operations that you can perform on the currently loaded document." It's also the place where you can access application options and other items that were previously found in the File menu, including Print, another essential, or core, Office capability. (In Backstage parlance, the document content is considered "on stage.") Instead of launching a menu of choices, Backstage pops-up a window-like view where you can quickly perform tasks like saving and printing files and configuring preferences. Quick access to permissions, document meta-data under document info is also there.Hands on & you might find you like Backstage even more. For example, you can preview a document right from the Print settings so you dont have to go to a separate Print Preview area anymore. Clicking Print under the Office 2010 button opens a plethora of printing options. No need go through a Print Wizard you can select all your print options from here & hit print.

I would discuss all of the Major products of this release one by one . Starting with Microsoft Office Outlook 2010.10Microsoft Outlook 2010 Clean Up Conversation : removes redundant parts of email messages, rid from quoted junk

Ignore thread : delete all current & future responses of a never ending email with a single click.

Quick Steps : collection of built-in multi step functions ,also you can define & modify by QS interface

Mail Tips : alerts/warns when sending inappropriate email or doing something not practical. e.g. sending mail to out of office, workgroup .No data leaks. requires Exchange 2010

UI of email conversations : message treSe, for better visual view of emails

11Microsoft now considers email a core capability of its Office suite-a basic feature that customers simply expect--and of course that functionality is provided by Microsoft OutlookClean Up ConversationA new Clean Up tool removes the redundant parts of email messages in a message thread, allowing you to focus on only those parts of each email that are unique. In other words, this tool gets rid of all the quoted junk that takes up space in each email but doesn't provide any useful purpose, since it's just unintelligently repeated each time someone replies to the thread. To activate it, simply right-click an email conversation and choose Clean Up Conversation.Ignore threadEver get involved in a never-ending email message thread that simply doesn't concern you .The new Ignore thread feature in Outlook 2010 helps you delete all current and future responses with a single click and get on with your life.Quick StepsThe ability to perform single-step functions--things like "Delete," "Mark as read," "Reply," and so on, is very useful. But what if you regularly need to perform multi-step functions? Suppose you reply to a message and then move it to an archived email folder. But with Outlook 2010 that's not a manual process anymore.By New Quick Steps feature in Outlook 2010, you can easily utilize a collection of built-in multi-step tasks. And you can create your own.It lets you perform multi-step actions with a single click.Quick Steps are found in the Quick Steps group in the Outlook 2010 Home tab. There are 10 pre-built Quick Steps, you can define and modify any Quick Steps through a Manage Quick Steps interfaceMailTipsA new Exchange 2010/Outlook 2010 feature called MailTips alerts you when you're about to send an inappropriate email message or will warn you if youre about to do something stupid or just not practical . This could be a large distribution list, people who are known to be out of the office,or recipients outside of your workgroup, where you might be accidently sharing confidential information. MailTips requires Exchange 2010 and is centrally configured for businesses through that server product. It can also help fight data leaks by reminding users when theyre sending something they shouldnt.UI of email conversations has been upgraded to look almost like a message tree, allowing users a more visual view of sent and incoming emails. Search functionality has been improved as well, making it much easier to find content. Also, you can preview calendars in emails and choose to ignore selective email conversations Jumplists in Outlook 2010:As you might have seen, Outlook 2010 now makes use of Windows 7s Jumplist feature for quick access to certain processes. Microsoft Word 201013Microsoft Word 2010 Improved document searching : replaces previous generation find dialog. New navigation pane for search. Enter text, search results highlights, mouse over tells page, Like Adobe PDFPaste Preview : Cut / paste info from internet is easy. No more clean up of Hyperlinks. Paste behavior can be set. Live preview of paste.Co-authoring : requires SharePoint server 2010.Coauthor in real time. members can work simultaneously. Edits tracked & flagged .You can also block sections of documents.14WORD installed on 85 percent of PC desktops worldwide.Inline searching in the Windows file system and in web browsers, Word and the other Office apps still utilize a previous-generation Find dialog In Office 2010, most importantly in Word, this is no longer the case: Now, when you use the Find functionality (via CTRL + F, typically), a new Navigation pane opens on the left side of the Word window, providing a handy Search Document text box. (The Navigation pane is used for other Word features as well.) When you enter text in this box, the search results appear in the pane, and each instance of the term you're searching for appears in the document itself. As you hover over the search results in the Navigation pane, a pop-up window tells you which page the reference is from. And of course clicking a search results navigates immediately to the correct place in the text. When searching through a document, you can now see results as section headings, thumbnail previews, or as excerpts like Adobes PDF does. Paste PreviewOne of the weird issues with Word, currently, is that if you're copying information from the web and paste it into a Word document, you often get a bunch of hyperlinks-mess that needs to be cleaned up. Using its application feedback tools, Microsoft found that the first thing most people do after pasting web content into a Word doc is to trigger the Undo feature. With Word 2010, things are a lot simpler. You can set the default paste behavior directly from the Paste Options smart tag that appears when you do paste information into a document, but you can also use this tag to get a live preview of how each type of paste will work. So as you mouse over the various paste types, you can see how choosing each will change the content that's pasted before committing. Nice!Co-authoringIn tandem with Microsoft SharePoint Server 2010, Word 2010 now provides the ability to co-author documents in real-time. That's right: Different members of a team can work on different sections of the same Word document, online, and simultaneously. Along the way, any edits are tracked and flagged so anyone working in the document can see what's changed. And thanks to a handy status bar-based notification system, you can easily IM (or phone) other team members if you need to discuss ongoing edits. While working offline, you can also block sections of documents you're working on so that other authors don't trample over your work. When you're back online, the document can be synced up so that all the changes everyone made are finalized. You and your coworkers can simultaneously work on the same document, whether it's in Microsoft Word, Excel, PowerPoint, or OneNote. Video & Image Editing: In addition to the new sharing features, many office applications, most notably Word and PowerPoint, will include both an image editor and a video editor for making changes to both types of files directly within the app itself with no need for an additional program The paste function also has an advanced option to create and insert screenshots. To make moving around a long document easier, Word now has a visual navigation pane and section header breakdown which makes it easy to jump around different sections of a document.

In Excel 2010, its further improving Excel's support for charts with a new feature called Sparklines, which are essentially tiny charts that appear within a single spreadsheet cell, giving you at-a-glance access to trends. Essentially, Sparklines are a visual way to represent numbers, and they will typically be placed next to the textual data they represent, providing more impact.Sparklines, which gives a visual snapshot image of a data trend over time within a cell. These cell-sized charts can be added to tables to show trends or can be pulled from rows and columns to give visualized representations of the spreadsheets data. SlicersSlicers also deliver visualizations, this time to add visual filtering elements to tables so you can see what it is youre filtering on. PivotTables provide Excel users with a way to summarize data in useful ways and then rotate, or pivot, the summary data so that you can dig deeper and answer specific questions. PivotTables are a key data analysis tool in Excel, but the processing of filtering the data in such a construct is often arduous. So Excel 2010 introduces a new feature, Slicers, which let you visually filter the data in a PivotTable and quickly extract exactly the data you're looking for. Slicers appear as separate objects on the spreadsheet and then can be moved around and resized like charts and graphs. Slicers are live--so as data changes in the underlying PivotTable, the Slicers are updated as well--and interactive, meaning that you can select filter fields on the fly.And more...Excel 2010 contains further refinements, of course. The application 's conditional formatting tools have been improved, and Microsoft is allowing Excel 2010 users to take advantage of a separate "Project Gemini" add-in to perform in-memory analytics of database-based data sets. Excel is also heading to the web as part of Office Web Applications, and a new version of the Windows Mobile-based application, Microsoft Excel 2010 Mobile, will appear in the future.

Microsoft PowerPoint 2010 Better transitions and animations : cinematic , transitions(fade, wipe, blinds),Animation capability improved, copy animation by Animation painter.

Broadcast Slide Show : remotely broadcast ppt via web. Requires SharePoint server 2010.se browser to view. Even on Smartphone. You invite users on net via email with the link to click & launch

Video editing : embed video clips in ppt, edit, compress w/o external app.Two ribbon tab : Video Tools Format (brightness contrast color, borders) & Edit (trim, playback configurations)

Equation Editor : Just like Excel22a lot of emphasis this time around on creating even more professional-looking presentations, Better transitions and animationsMicrosoft describes the transitions as "cinematic," and sure enough there are a number of subtle (fade, wipe) and moderate (checkerboard, blinds) transitions to choose from as well as associated effects for most of them. The animation capabilities have been also been improved, and you can now copy animation effects from object to object using a new Animation Painter that works much like the Format Painter. Broadcast Slide Show for Instant Sharing with PowerPointOne potentially huge new feature in PowerPoint 2010 is the ability to remotely broadcast your presentation via the web. This feature requires SharePoint Server 2010 inside a corporate firewall, but it will be offered for free over Windows Live to individuals as well. The best part? Those wishing to view the presentation on their own PCs only need a browser. You could even view the presentation from a smart phone if you had to.It allows you to invite other users on the net to see your slideshow. The app will simply send them an email with a link for them to click which will launch the web version of your presentation within their browser. Video editingPowerPoint has long been able to embed video clips in presentations, but what's been missing is a way to edit those videos. So in previous versions of the product, you'd have to use an external application to edit video. With PowerPoint 2010, you can edit the video right in the application and then compress it so that the underlying presentation isn't bogged down by unused video.PowerPoint 2010's video editing capabilities are actually pretty impressive, too. When you insert a video, you get two new ribbon tabs, Video Tools - Format and Video Tools - Edit. The Format tab includes controls for changing the brightness, contrast, color, and poster frame of the video, as well as a gallery for various video styles (borders and shapes, essentially), as well as numerous effects, like shadows, reflections, and glows. The Edit tab features actual video trimming tools, fade controls, and various playback-related configurations. So, what can you do with these controls that isn't obvious? You can configure video triggers that fire at precise points in your presentation. You can trim video, download it from sites like YouTube, and convert it into other formats. It supports AVI, Windows Media, MOV/QuickTime, MPEG-2, SWF (Macromedia Flash), and MPEG-4 (H.264).Equation Editor Powerpoint long with Eq Editor just like excel, there is another tab Action which allows you to configure mouse-click or mouse-hover action of objects. Options include running a Macro or a program amongst others. Screen shot:

More Features1. Built-In Screen Capture Tool: caches screen shots of the currently open windows for one-click insert

2. Background Removal Tool (for images):

26A really handy addition & at the same time a beautiful implementation of the same. Word & Powerpoint both have the Screenshot feature under Insert & the useful part is that it caches screen shots of the currently open windows for one-click insert. At the same time also gives you the marquee select option. Screen shot of the Screenshot featureBackground Removal Tool This is a feature that Im sure quite a lot of us will be using. A neat addition to picture properties is Background Removal. No use of Photoshop AT ALL!The tool also lets you have certain amount of background left with edges & effects, screen shot: 3. Protected Mode downloaded document cant be edited

4. New Smart Art Templates27Protectedmode: I found this to be a good addition as a feature. Every time you download a document from the internet & open it, Word 2010 will open it in a Protected mode that wont allow you to edit the document unless you enable editing of the document. Screen shot:

Smart Art Templates. Its right up there amongst the best features in Office & in Office 2010 there are new templates added. Existing categories have new templates & theres a new category as well. Screen shot: 5. Author Permissions: Restrict Editing

28As I had talked about co-authoring a document & collaborating over the internet will be one of Office 2010s USPs, the Protect Document option under Review in Office 2007 has now been renamed to Restrict Editing & a new tab titled Block Authors has been added. Screen shot of the option in Word 2007 & Word 2010 side-by-side.Other Products of Office 2010 SuiteOneNote 2010 adds simple screenshot functionality, new Side Notes and Linked Notes, ribbon UI.Access 2010 Excel-like Expression Builder for creating code with plain English, more web-savvy, web-specific databases InfoPath 2010 InfoPath Filer for forms-specific functionality, & better data validation.Publisher 2010 new picture manipulation and typography tools SharePoint Workspace 2010 Groove of 2007, synchronization functionality so that you can access SharePoint data directly from your PC.

29All Office, all the timeWhile Word, Excel, Outlook, and PowerPoint make up what I think of as the core of Microsoft's Office suite, there are of course a number of other Office applications, and they're all being updated in Office 2010.Microsoft believes that its OneNote application will one day be considered a core part of Office. It's not there quite yet. But OneNote 2010 adds simple screenshot functionality, new Side Notes and Linked Notes that can be taken from within other applications, improved inking support, and, of course, the ribbon UI. The application also features dramatically improved collaboration capabilities.Access 2010 will feature a new, Excel-like Expression Builder for creating code with plain English, as well as an improved Macro Designer with similar plaint text-to-code conversion capabilities. The application will also be more web-savvy, and allow you to create web-specific databases that do not include any incompatible (and thus unnecessary) objects.InfoPath 2010 picks up the ribbon UI, a new InfoPath Filer for forms-specific functionality, and better data validation.Microsoft's desktop publishing solution, Publisher 2010, features new picture manipulation and typography tools (like those in Word), huge changes to the print and print preview functionality, and an important new way to fine-tune the placement of objects in a document. It also picks up the ribbon UI.Newly renamed in Office 2010, Groove becomes SharePoint Workspace 2010 and provides access to SharePoint and Groove workspaces directly from Windows Explorer. It also picks up synchronization functionality so that you can access SharePoint data directly from your PC.Flavors of Office 2010Office Professional Plus includes OneNote and SharePoint WorkspaceOffice Standard includes Word, PowerPoint, Excel, OneNote, Outlook and PublisherOffice Professional includes Word, PowerPoint, Excel, OneNote, Outlook, Publisher, AccessOffice Home and Student includes Word, PowerPoint, Excel and OneNoteOffice Home and Business includes Word, PowerPoint, Excel, OneNote and Outlook.

30People who complain about Microsoft's strategy of creating multiple Windows versions should point an accusing finger at Office first: This strategy debuted with Office, not Windows, and it was the success of Office's multiple-SKU approach that caused Microsoft to try it with Windows as well. Fortunately, the software giant is backing off a bit in Office 2010, and instead of the 8 product editions we saw with Office 2007, we're getting just five in Office 2010. These include:Office Professional Plus. Aimed at enterprise businesses, this edition now includes OneNote and SharePoint Workspace.Office Standard, Also aimed at enterprise businesses, this edition includes Word, PowerPoint, Excel, OneNote, Outlook and Publisher.Office Professional is the premium product for home and small business use.Office Home and Student is the best-selling version of Office. It will continue to include Word, PowerPoint, Excel and OneNote.Office Home and Business. New to Office 2010 and replacing Office Small Business edition, this version includes Word, PowerPoint, Excel, OneNote and Outlook.(In Office 2010, the Enterprise, Small Business and Ultimate product editions have been removed.)Edition Comparison

Office Web Applications

Office Web Applications announced @ PDC, stripped-down, web-based versions of Word, Excel, OneNote, and PowerPoint. MS expectation lose the distinction between the PC desktop and web-based versions eventually32Microsoft announced the Office Web Applications in October 2008 at the Professional Developers Conference (PDC) and said that it would ship a beta version of the tools by the end of 2008. That never happened and, contrary to widespread public reports (guesses, as it turns out), the company won't be releasing the beta this week either. Instead, I was told that a beta of the Office Web Applications won't happen until later this year.Office Web Applications consists of stripped-down, web-based versions of Word, Excel, OneNote, and PowerPoint. Microsoft sees this technology as key to the future of Office, and the company's expectation is that we will lose the distinction between the PC desktop and web-based versions eventually. Seeing the difference won't be all that hard in the first generation version, however, but most of the work being done now is to ensure that the web applications preserve the fidelity of documents moved between the web, the PC apps, and the Windows Mobile-based mobile apps. The Office Web Applications will be made available in three different ways. Individuals will be able to access them for free via Windows Live. (And not Office Live, which is being discontinued and rolled into Windows Live.) Corporations will be able to host the Office Web Applications on-site. And those who sign up for Microsoft Online Services (MOS) will be able to access a hosted version of Office Web Applications as part of their subscription.

They will work equally well in IE, Firefox, and Safari. Microsoft is also ensuring that the Office Web Applications work identically in any browser, and they're specifically targeting Internet Explorer, Firefox, and, Safari. "We will definitely support non-Microsoft browsers fully, The web apps will be tied in with their desktop counterparts and will use SkyDrive to host the online files. For consumers, web apps will be free,

Most certainly a direct response to Google Apps, Microsoft is rolling out lightweight, FREE, Web browser versions of Word, PowerPoint, Excel and OneNote. All based in the cloud, the web-based versions of these products have fewer features than their desktop cousins but still give users basic tools to edit and change documents. Office 2010 on web

Word, Excel, PowerPoint and OneNote will be free to anyone .free version will be ad-supported. log in to Windows Live, upload document to SkyDrive, edit it in the browser. save your file, syncs to SkyDriveYou wont need Silverlight 33Office Web Apps will be available for free

The four key Office apps Word, Excel, PowerPoint and OneNote will be free to anyone with a Windows Live account, but according to Microsofts Office 2010 FAQ (a Word document), the free version will be ad-supported. Versions without ads will be available to people who buy Office Professional Plus and Office Standard 2010 licenses. The ad-free versions can also be made accessible privately by companies running SharePoint 2010 server. If youre a regular Jane, a grandpa or a poor student who wants to access the free version, you have to log in to Windows Live, upload a Word, Excel or PowerPoint document to your SkyDrive, then choose to edit it in the browser. You make your edits, save your file, then it syncs back up to your SkyDrive. Note this is only convenient if you already have a local copy of Office.

You wont need SilverlightA few advanced functions of Office Web Apps will require Silverlight, but theres no plug-in required for the basics like editing and saving. Almost everything is pure standards-compliant Ajax, so the apps wont be crippled if you dont have Silverlight.Office Mobile 2010

Office Mobile 2010 will include new versions of Word Mobile, Excel Mobile, PowerPoint Mobile, OneNote Mobile, as well SharePoint client that will allow you to access SharePoint-based Office documents34There's not much to say yet about Office Mobile 2010, but it will appear in early 2010 on Windows Mobile-based smart phones and will further Microsoft's promise to make Office functionality available beyond the PC desktop. Office Mobile 2010 will include new versions of Word Mobile, Excel Mobile, PowerPoint Mobile, OneNote Mobile, as well as a SharePoint client that will allow you to access SharePoint-based Office documents. Tell Microsoft what you think about Office 2010 (Technical Preview) Send-a-Smile Tool automatically installs with Office 2010

35Office user has the opportunity to provide feedback (likes and dislikes) about their Office 2010 experience Where can I get Send-a-Smile? Send-a-Smile automatically installs with Office 2010, youll see two icons added to the notifications area of the taskbar over by the clock: a Smile to click when you want to give us positive feedback and a Frown to click when there's something you dont like. On Win7, you may need to go specifically add them to the list of icons you want to see in the taskbar. Clicking on the Smile or Frown will launch the Send-a-Smile tool.

There is a text box to type your comment, and optionally you can include a picture of your screen and your e-mail address (so that we can contact you if necessary.) The screenshot is a really interesting and useful part of the feedback... especially where the UI is concerned. But, of course, you can just send the text if you'd rather. After you click Submit, off your feedback goes to Microsoft...
