Documentation and storytelling are the keycomponents of an instruction manual toleave behind for future generations of staff.The more stories you tell and the moredocumentation you provide about how theorganization functions, the more yourlegacy will be sustained. It is relatively easyto put together facility managementstorybooks because staff like to talk about“how it’s made” and what their contributionhas been. The stories could be recordedoral histories about specific pieces ofequipment or infrastructure within individualbuildings, as well as picture books thatprofile a complex of buildings or floorswithin a single facility.
Online documentation of facilitymanagement policies, procedures, andpractices is another component of the how-it’s-made story. Ensuring that policies,procedures, and practices are fullyupdated, streamlined, and accessible, thattheir upkeep has been assigned toappropriate staff members, and that userscan access them online are testedmeasures of how you are remembered asa leader.
Regardless of your exit strategy timetableand your decision about when to shareyour departure date, you need to makeyourself available to staff more now thanever before. It is a basic way to gathercritical intelligence about your organizationand your people, without giving away yourplans for the future. You and your staffhave had a long working relationship andnow is the time to become a mentor and abetter listener so they know they are part ofthe long-term vision for the organizationand not just spokes in the wheel. Theintelligence you gather during these opendoor sessions will assist you in crafting theinstitutional storybooks on how things workand leave a lasting memory of you as anengaged and empathetic leader.

Ric Kelly, a leadershipspecialist, in an article in Entrepreneurin an article in Entrepreneur ,points out that, to establish the kind ofreputation a leader wants to have as alegacy, it is necessary to make the roundsand bag the trash that may have been leftover the years. As you well know frombeing in an executive position for sometime, companies have overactive rumormills and the minute a facility leader walksout the door for the last time, those whofeel they have been wronged by theindividual will start to spread rumors thatundermine a potentially sterling legacy. Itmakes sense at this juncture for you toswallow your pride for the good of yourlegacy and go bag your trash.
After you’ve done all the things describedabove, your facility managementorganization should be in excellentcondition. At this point, with so muchsuccess, you may be thinking you mightstick around for a while longer. Don’tsecond-guess your decision. You havementally prepared yourself for a transitioneither to retirement or another employmentopportunity and your good fortune athaving established a lasting legacy shouldnot be squandered by overstaying yourwelcome. The rumor mill probably hasfigured out you are leaving. Just as youhave mentally prepared yourself for thenext chapter in your life, your staffmembers also have prepared themselvesfor a working environment without you.Turn out the lights, lock your door, say yourgoodbyes, and don’t look back. KeepBenjamin Disraeli’s saying in the forefrontof your mind: “The legacy of heroes is thememory of a great name and theinheritance of a great example.”
