1. ICDL’s new product and pricing structure - simple and flexible From 1 September, ICDL will move to a new, enhanced product and pricing structure, which offers test centres
more flexibility and choice when ordering ICDL resources and makes administering ICDL even easier.
ICDL test centres are no longer required to purchase named modules. Instead, you, as a test centre
administrator, purchase module pack credits, which can be used against any module from any ICDL
programme. Simply purchase the appropriate number of module pack credits, based on the number of
candidates and the number of modules you will offer those candidates, within a 1-year period.
2. System migration
2.1. Migration Schedule
You will be informed, well in advance, of the migration date and time, during which the Skillsbox system will
not be accessible. During this time no test sessions or classes can be scheduled.
2.2. Used ICDL Module Packs
Candidates who were allocated a named ICDL Module Pack prior to migration, and who started either a
diagnostic test, certification test or diagnostic learning, are considered ‘used’. These candidates will not be
affected by the changes and will carry on where they left off. Please note that eBooks and eLearning are
separate to Module Packs in the system and therefore candidates who have only started an eBook or eLearning
will be considered unused.
2.3. Unused ICDL Module Packs
Candidates who were allocated a named ICDL Module Pack prior to migration and who had not started either
a diagnostic test, certification test or diagnostic learning are considered unused. Immediately prior to
migration, your ICDL Operator will carry out an audit of unused module pack credits. After migration, you will
find the equivalent number of new module pack credits in your ATC folder. These new module pack credits can
then be assigned to candidates to access the system after migration.
2.4. Partially used ICDL Profile Packs
Candidates who were allocated an ICDL Profile Pack prior to migration, and who have started a diagnostic test,
certification test or diagnostic learning, will have used their ICDL Profile Pack balance and will therefore be
unaffected by the migration. ICDL Profile Packs assigned and used prior to migration will remain unchanged
and will continue to provide the candidate with unlimited access to modules and programmes, until such time
as the profile pack expires. It is important to note however, that new and old credits cannot exist together, so it
is important that you do not assign any new unnamed module pack credits to the previous profile pack
candidates, or it will block their access to the system. This should not cause an issue as there would be no reason
to add credits to old profile pack candidates (as they have unlimited access anyway). Simply leave the Profile Pack candidates where they are and remember not to move or change them. After migration, Profile Packs will
be hidden from the balance tab but will still be accessible to the candidates assigned profile packs. One year
after the last sale date the old Profile Pack product will be removed from the system.
4
2.5. Unused ICDL Profile Packs
ICDL Profile Packs which have not been started are considered ‘unused’ and will look slightly different after
migration. Your ICDL Operator will have completed an audit of unused Profile Packs prior to migration. After
migration, your ICDL Operator will create a Profile Pack folder with the appropriate number of profile pack
candidates. Each candidate will be assigned 10 new module pack credits each. Should you require more than
10 credits for a candidate, simple contact your ICDL Account Manager who will be happy to accommodate your
request. Please note that moving profile pack folders or candidates will result in the system automatically
returning the assigned credits to the ATC folder, so it is advised that folders are not moved after migration.
3. Ordering ICDL Resources Before the migration to the new product and pricing structure, you were required to confirm the names of the
modules you wished to purchase for each candidate.
After migration, you no longer need to know the module names at the time of purchase. All you need to know
is how many candidates you need to purchase for and how many modules you intend to offer those candidates.
Discounts are applied based on the number of modules you offer those candidates within a 1-year period. The
higher the quantity, the lower the cost per ICDL Module Pack. Your ICDL Account Manager will guide you on
how to get the best value.
3.1. Making an order in ICDL Connect
After the migration, when ordering via ICDL Connect, you will be presented with a much simpler list of options
to purchase; namely, ICDL Module Pack, ICDL Profile Pack and Candidate Registration Number (CRN).
To make an order, create a line item for the quantity of candidate registrations you require - these are free. Then
select either an ICDL Module Pack or an ICDL Profile Pack, which is essentially a bundle of ICDL Module Packs
(see Pricing Guide for options)
Example
If you wish to purchase one module each for a class of fifty candidates, you will purchase fifty Candidate
Registration Numbers (CRNs) and fifty ICDL Module Packs.
5
If those fifty candidates were doing three modules each, then you would purchase fifty CRNs and fifty ICDL
Profile Packs (3 module bundle)
On receipt of your order, your ICDL Operator will create the appropriate number of CRNs in the candidate folder
and assign the appropriate number of module pack credits to your top-level ATC folder. Your ICDL Operator
will also assign the equivalent number of learning material credits (eLearning and eBooks), as this is added
value included in the ICDL Module Pack.
For each ICDL Module Pack purchased, you will receive one module pack credit (which can be redeemed
against any module from any programme), as well as one eLearning credit and one eBook credit per candidate.
4. Candidate Administration
4.1. Adding candidate information
Your ICDL Operator will have created the appropriate number of CRNs in the candidate folder. You should enter
the name and contact details of each candidate under the Info tab. It is vital that the candidate email address
is entered correctly, as this email is used when sending candidates their digital badges and certificates. Please
note, this must be the candidate’s email and not the test centre email, as without a correct email address, the
digital credential will not be issued automatically to the candidate.
1.1. Assigning tests and learning materials to candidates
You will need to make the appropriate tests and learning materials available to candidates. To do this select the
candidate’s folder, then go to the assignment tab. Check ‘use’ next to each relevant ICDL test, diagnostic or
6
learning resource. Once checked, all candidates within the selected folder will have access to the ICDL
resources checked.
For test centres with multi-language options the test centre must select the appropriate language version for
candidates.
2. Assigning credits
2.1. About module pack credits
Before migration, you would have seen a credit balance against each named module you have purchased, and
you would have had to find the appropriate named module and assign them to the candidate.
After migration, you will simply see a balance of module pack credits, which can then be assigned to a
candidate without selecting a named module. This simplified process makes candidate administration easier,
as there is no need to confirm module selection at the time of purchase. The candidate simply requires one
ICDL Module Pack to access the ICDL resources (diagnostic test, certification test and diagnostic learning) for
each module. You are only required to confirm the quantity of candidates and the number of modules they will
be offered over a one-year period.
2.2. Viewing your credit balance
To view the module pack credits and eBook and eLearning credits available to you, select the test centre folder
and click on the balance tab. Any credit under the ‘available’ column is available to assign to candidates.
In this example the test centre EE999 has five module pack credits available, which can be assigned to
candidates and used for any module from any ICDL programme.
7
2.3. Assigning module pack credits to a group of candidates
Module pack credits can be assigned to a single candidate or a folder of candidates.
Firstly, allocate the module pack credits required for all candidates, to the Candidates Folder.
Candidates Folder > Balance Tab > Module Pack > Advanced
In this example, you purchased five module pack credits for five candidates. You allocated all five module pack
credits from the test centre folder (EE999) to the candidate’s folder containing the five candidates.
8
Then, with the candidates folder selected, go to the balance tab to view the credit balance. In this case five
module pack credits are now in the candidate’s folder.
Next, allocate a module pack credit to each of the five candidates
Select the candidates folder, go to the balance tab > Module Pack > Advanced
Enter the number of module pack credits each candidate should have in the ‘Lower Limit’ field. Select ‘allocate
to a minimum’. This will automatically top up all candidates within the folder to the lower limit set (in this case
1 credit). If a candidate already has a credit then the system will not allocate, as it is it topping up all candidates
to 1 credit.
9
Please note that this function requires that all candidates within the selected folder will be allocated to the
minimum set. If you have insufficient credits to top up all candidates within the folder, then the function will
not allocate any credits. For example, if a test centre has twenty candidates in the candidates folder and only
five credits, then this function would not allocate any credits, as you must allocate to all candidates or none.
To allocate to a class, test centres can create a sub folder and use the ‘allocate to a minimum’ function. Please
note that moving sub-folders after allocating credits will result in those credits automatically returning to the
test centre balance and will therefore not be available to the sub-folder candidates.
2.4. Assigning module pack credits to an individual candidate
In some instances you may need to allocate a module pack credit to one or more specific candidates. This is
done in exactly the same way, but instead of selecting the candidate folder, simply select the candidate
number.
Candidate CRN > Balance Tab > Module Pack > Advanced
In this example, the test centre is allocating one module pack credit from the candidates folder to the
candidate.
10
1.1. Assigning ICDL Profile Pack credits
In the system, ICDL Profile Packs are simply multiple ICDL Module Packs at a reduced fee per module.
Based on your ICDL Profile Pack order, your ICDL Operator will create an appropriately named sub-folder (e.g
Profile Packs 1/4/2021) and will assign the appropriate number of ICDL module pack credits to candidates within
the sub-folder.
For example, if you purchase an ICDL Profile Pack (5 Modules) for ten candidates, your ICDL Operator will assign
five module pack credits to each of the ten candidates in the ICDL Profile Pack sub-folder.
ICDL Profile Packs are sold on the basis that they are meeting the digital skills requirement for an individual.
Therefore, the credits associated with an ICDL Profile Pack must only be assigned to a single candidate, and
these credits cannot be assigned to other candidates. Your ICDL Operator will monitor usage to confirm this.
Please note that sub-folders and candidates within sub-folders should not be moved, as doing so will result in
any assign credits being returned to the test centre folder, thus restricting access to system.
1.1. Assigning eLearning and eBook credits
Each module pack comes with 1 eLearning credit and one eBook credit. To assign both these credits to the
candidate, simply go through the same process as with assigning module pack credits but instead select
eBooks and eLearning respectively.
