Sales Coordinator, November 2012 – Present

Key responsibilities:

Administration:

- Support the Account Manager in the coordination of sales and administration activities.- Work closely with the sales teams to streamline and develop standard reporting systems, processes and procedures.- Prepare sales reports as required including weekly and monthly rankings reports, orders forms by SKUs analysis.- Prepare seasonal retail budgets by week by store with formulised excel spreadsheets.

Rosters & Payroll:

- Prepare and administer weekly staff and promotional rosters and timesheets for store consultants in consultation with Account Managers and department stores.

- Track the collection and reporting of promotional hours worked per store.- Track and verify external agency invoices against rosters and update promotional spend re-charge summary spreadsheets.- Prepare store consultant productivity reports on a weekly basis.- Liaise with the Payroll Officer to ensure effective information flow between departments and to facilitate accurate processing

of payments.

- Liaise with the Marketing team with promotional launch activities such as; Point of Sale elements in-store, promotional uniform, launch manuals, promotional agency staffing, stock orders/deliveries etc..

- Liaise with Myer/David Jones Sales Managers & Visual Merchandising Manager regarding Point of Sale deliveries and status of launch.

- Monitor the Week to Date sales during launch week including stock levels by SKUs and additional instore support such as gift with purchase.

- Remerchandise POS towers and gondolas when required including; ticketing, Ad visuals, shelf talkers, relay new planograms when big changes are made by global.

Recharges:

- Coordinate re-charge arrangements with Account Managers and prepare re-charge summaries.- Monitor re-charges summaries to ensure proper reconciliation of re-charges against budget.- Cultivate close working relationships with external agency administration staff and support the State Sales Manager in

monitoring service levels.- Liaise with Payroll and Finance personnel to ensure effective information flow between departments.- Maintain and update all sales administration reporting systems.- Manage and raise purchase orders supporting the region.

Above and beyond key responsibilities:

Training Department:

As the National Training Manager is based in Melbourne, I have voluntarily taken on the unofficial training coordinator role in assisting her with the following duties:

- Develop training materials including; product flyers/brochures, product usage guidelines, product manuals etc...- Create National training reports and product sales/ranking analysis, consultant KPI results for seasonal training conferences.- Coordinate creative styling of the training conferences for eg; theme, props, venues, catering, gifts and training materials.- Assist in the administration of the ‘Star Performers’ Program. (A monthly/Annual awards program dedicated to our retail

beauty advisors).- Co-manage VIPS data system nationally – (VIPS is a data collection company in which they collect and collate data via online

reports and smart phone apps. This is a great tool as we can track day to day sales our beauty advisors are producing and it is a great platform for our beauty advisors to engage in an interaction reporting system) VIPS online also allows us to upload/download documents, videos, voice messages and text messages.

Miscellaneous:Apart from my key responsibilities, I also work independently with the Sales Director creating data analysis reports and Award schemes such as:

- Seasonal Budget & Sales Analysis for forecasting and Sales & Marketing Strategy presentations.- Created a National Commissions Scheme via Excel using formulas to allocate and sort individual commissions for beauty

advisors in each state. This is collated quarterly and paid at the end of the cycle.- Designed Sales Incentive schemes for new product launches/Major Status focus weeks.
