K20 Data Project: Mission

• Establish data linkages between K12 education and postsecondary partners by creating an electronic student transcript repository for K12 education and connecting to postsecondary data for Montana high school students who enroll in the MUS system.

K20 Data Project

• $3.9 million dollar grant from the US Department of Education running through 6/30/15

• OPI is partnered with OCHE• Major developments are the College

Readiness Domain in GEMS and the K20 Data Transport and Transcript system

College Readiness Domainhttp://gems.opi.mt.gov/CollegeReadiness/Pages/Overview.aspx

• Data from National Student Clearinghouse– Enrollment– Retention

• Data from Montana University System– Enrollment– Remediation

• Session presented this afternoon at 2:30 p.m.

Example of Report

Montana Electronic Transcript Initiative• Students can access transcript service to send

free certified transcripts to any institution in the country or other locations that require transcripts

• Provide a system to submit student data required to produce a Montana standard transcript from high schools and districts– Montana standard transcript was approved by the

Board of Public Education in 2013

Two Part Process• Step 1: Data Transport – Provide mechanism for effective data transport

between districts and OPI• Step 2: Electronic Transcripts– Provide high school students free certified electronic

transcript service – Parchment is the transcript vendor• www.parchment.com

Project Overview

Step 1: Data Transport

• Web portal for submission of student transcript data into a secure database by participating schools and districts.

• The data transport system is designed to improve the OPI’s data exchange with schools and districts. It will make pulling data from a school’s local SIS into the OPI systems easier and more efficient.

Data Submission

• Submission Methods– Batch • file containing data for one or more students

– SFTP• automated transfer of a file containing data for one of

more students

– Online• data entry for one student at a time

SIS Extracts

• Transcript Data Extracts are available for these SIS vendors– Infinite Campus– PowerSchool– SchoolMaster

• The OPI is having discussions with others to create an extract for their product

3 Separate Extracts

• Demographics– List of students with their demographic and

graduation information• Course– List of courses a student has completed or has

currently in progress• Assessment– List of students with their assessment information • ACT, SAT, MSU writing, etc.

Data Quality

• All data will go through a validation and certification process within the system to ensure data quality– Reports generated for missing required data and

validation errors– Reports are reviewed by the school and

discrepancies resolved• All transcript data is certified prior to being

sent to Parchment

K20 Website
