Order Management allows the supplier to create, save, and send Advance Ship Notices (ASNs) to
manufacturing plants (Bawal, Kansas City, Powertrain, Tomahawk, and York), Supplier Direct, General
Merchandise, and Parts, Accessories & Customization (PAC),
Advance Ship Notice Overview
Harley-Davidson expects suppliers to send an Advance Ship Notice (ASN) for all parts shipped.
The guidelines for ASN submission is:
•Local or same day delivery –sent immediately when material is shipped from supplier dock.
•Transit time of one day – within 30 minutes of shipment departure.
•Transit time of two or more days – within 2 hours of shipment departure.
The ASN functionality on Order Management has been designed to allow efficient, timely, and
accurate creation of ASN’s.
• Pre-populated fields from the Purchase Order, Picklist, Release, or Scheduling Agreement
• Simplified same number entries (Example: ASN # = Packing List #)
• Options for default settings
• Auto generation of serial numbers
• Draft mode capability
• Quick Ship capability
• Error Checking with email notifications (not available for ASNs to Bawal and York)
• Visibility of 90-day history

Opening Advance Ship Notice
• Log-on to www.h-dsn.com per standard procedure.
1. Mouse over the Menu button to open the first level menu.
2. Select Order Management to open the application.

an ASN can be initiated

line or lines on one or
more Purchase Orders or
Releases, check the
Select box(es) for the

Enter an ASN Number in the ASN # field. Notes:
•If Issuer is equal to Supplier Direct, then the ASN
number must be equal to the picklist number.
•If using Edibar’s Web Print to automatically create
Container Labels, then the ASN number must only
contain numbers—no letters.

To delete a line item from an ASN:
1. Enter Zero (or blank) in the Qty field.
2. Press the Tab key.
Note: The line will not disappear until after the ASN has been sent.

Packing List Number Requirement by H-D Site
Bawal and York
All line items/part numbers in the ASN must have the same packing list number.
H-D prefers that the ASN Number, Packing List Number and Invoice Number be the same, but it
is not a requirement.
If the supplier’s process does not allow all part numbers in the shipment to have the same
packing list number, then multiple ASNs will need to be sent.
For example: If the shipment has three part numbers in it, each part number must have the same
packing list number.

For example: If the shipment has three part numbers in it and each part number has a different packing list
number, then three ASNs will need to be sent.

Create ASN – Serial Numbers
There are two types of serial numbers that can be entered in the ASN:
•Container Serial Number: Displays in the ASN template when the ASN is sent to:
•Kansas City, Powertrain, Tomahawk •ASNs to the above sites do not require container serial numbers. However, population of the
field(s) is mandatory in the ASN. It is recommended that the user activates the Automatic Serial #
labeling functionality. The user will still need to view the serial numbers and press the Save button.
•Parts, Accessories and Customization (PAC) •ASNs to PAC require serial numbers. The user can activate the Automatic serial # labeling
functionality or manually enter serial numbers. The user will still need to view and save the serial
numbers. The container serial numbers entered in the ASN must match exactly to the value
documented in the serial number block on the Container Label.
•General Merchandise (GM) •ASNs to GM require serial numbers. The user can activate the Automatic serial # labeling
functionality or manually enter serial numbers. The user will still need to view and save the serial
numbers. The container serial numbers entered in the ASN must match exactly to the value
documented in the serial number block on the Container Label.
•Master Handling Unit Number (MHU#): Displays in the ASN template when the ASN is sent to:
• Bawal •ASNs to Bawal do not require MHU#s. However, population of the field(s) is mandatory in the
ASN. It is recommended that the user activates the Automatic Serial # labeling functionality. The
user will still need to view the serial numbers and press the Save button.
•York (SAP manufacturing sites). •ASNs to York requires MHU#s. The user can activate the Automatic serial # labeling functionality
or manually enter serial numbers. The user will then view/edit the data and press the Save button.
The MHU# entered in the ASN must match exactly to the value documented in the serial number
block on the Master Label.

Create ASN – Container Serial Numbers
Optional automatic Serial Number
generation is provided.
Check the box for Automatic Serial #
labeling to generate the serial numbers.
To set this auto generation as default,
check the Save as Default box.
A change in this functionality must be done before
viewing the serial number; otherwise, the ASN will
keep the previous setting.
To view, print, manually enter serial numbers and to
save the values, click the View button.
A window will open.
If applicable, enter
serial numbers.
Press the Save button to
save the auto-generated
serial numbers and manually
entered numbers.
To print the list of serial
numbers, click the Print
button.
For ASNs going to PAC, GM, Kansas City, Powertrain
or Tomahawk.

For ASNs going to Bawal or York.
OM will always generate Master HU#s. To
disable, check the box.
To set this option as a default, check the
Save as Default box.
A change in this functionality must be done
before viewing the serial number; otherwise,
the ASN will keep the previous setting.
To save, view, print, or manually enter serial
numbers, click the View button.
Please disregard this note.
ASNs to Bawal do not require Master
Serial Numbers, but the ASN requires
the fields to be populated. It is
recommended to have OM generate
the Master HU#. The user will still
need to press the View button and
save the Mstr HU#s.

Create ASN – Master Serial Numbers
Below is the Master HU#/Serial Number page that displays when the View button is clicked. If OM populates the
Master HU#, note each row will have a unique Master UH# that may need to be updated to match the shipment.
The Master HU# must be a total of 15 digits:
•The first 7 digits consists of the Supplier ID followed by a
zero. This value is in the grayed-out box and can not be
changed.
•The last 8 digits can be any unique 8 digit value.
The Master HU# entered in the ASN must match exactly
to the value documented in Serial Number block on the
Master Label.
If the P/N ships in a bulk container (must be moved by a
fork truck), then each row must have a unique MHU#.
If all containers ship on the same pallet, then each row
must have the same Master HU#.
If some containers ship on Pallet 1 and others ship on
Pallet 2, then all containers shipping on Pallet 1 will have
the same Master MHU# and all containers shipping on
Pallet 2 will have the same Master MHU#. Each pallet will
have a unique Master HU#.
To accept the Master HU#s OM generated or the ones the
user updated, press the Save button. If the Save button is
not pressed, a serial number error will generate when the
ASN is sent.
To print the list, press the Print button

Create ASN – Drawing Revision, Quantity, and Container Quantity
If the shipment quantity for a line item
needs to be modified, enter the actual
quantity and press the Tab key.
The Container Qty will re-calculate if the
quantity is changed. This quantity can be
modified.
Note: If the default container quantity is
incorrect, contact your Harley-Davidson
representative for corrections.
The number of Containers (Cont) is
calculated from the Container Quantity and
the Shipment Quantity. Changes to the
number of containers will re-calculate the
Cont Qty.
Important Note: After changing a
quantity, press the Tab key to perform auto
calculation of associated fields.
Enter the Drawing Revision level (Rev)
only if the shipment contains a Rev level
different than displayed.
If the Packing List numbers
(Pkg List) were not generated
using the Pre-populate buttons,
enter them manually.

Create ASN – Multiple Container Quantities
If a shipment contains multiple
container quantities for a single
line item:
1. Enter one of the container
quantities.
2. Press the Tab Key.
A second line will appear displaying
a calculated Container Quantity
equal to the balance.
If additional container quantities are
required, the new Cont Qty may be
modified. A third line will appear.

It may be necessary to add
a line item to an ASN.
1. To add a line item, click
on the Add Item button.
2. Click the Go button to
execute the filter for
open PO/Releases to
be added to the ASN.
A filter window will
open.
The Issuer and Ship
To location from the
ASN will display. The
Start and End Dates
will default to the
current date, but can
be modified.

3. Check the Select box for
the line to be added to
the ASN.
4. Click the Add button.
Note: The Pkg List Number field will not auto-
populate. The pre-populate button can be used
again or the number can be entered manually.
The new line will appear
on the ASN.
5. Changes can be made
as required for the line.

Create ASN – Shipment Details and Summary
Shipment Details Section
1. Enter the Gross Weight for
the entire shipment.
2. Enter the Freight cost (Optional
Field)
Note: If used, the cost must be
entered as a 2 decimal place
number (Example: 20.00)
3. Select the Packaging type from
the drop down menu.
Notes:
• For multiple packaging types,
click the + button. Additional
selections can be chosen.
• To set a single packaging type
as the default, click the Save
as Default box.
4. Enter the Total number of
Packaging types.
Summary Section
Total Line Items, Total Units
Shipped, and Total Containers
are displayed.

Saving a Draft ASN
When all entries are complete, the ASN can be
saved as a Draft or Sent.
For this example, a Draft ASN will be created.
Click on the Draft button.
A message will appear when a successful
entry has occurred.
Options available:
• Select an application
or
• Return to the Dashboard.
Important Notes:
• Draft ASN’s may be created ahead of the shipment departure.
• The use of the Draft ASN is optional.
• A draft ASN must be “SENT” to be available for processing by Harley-Davidson.
• Final “error” checking is performed only at the time of actual ASN submission.
• Errors are described later.

Reviewing, Modifying, and Sending a Draft ASN
On the Dashboard, the Draft ASN is
now added to the numeric count for the
Unshipped (Draft) Advance Ship
Notices (EDI 856) quick link.
To open the Draft, click on the numeric
count.
The Advance Ship Notice Visibility screen will display. All Draft ASN’s will be listed.
To open an ASN for review or modification, click on the underlined ASN number.
The Draft ASN will display. Changes can be made if required.
Note: The changes can be re-saved as a replacement draft, or the ASN can be sent by clicking
on the Send button.
To Send Draft ASN’s without modification:
1. Check the Select boxes for the
desired ASN’s.
2. Click the Quick Ship button.

Sending an ASN
When all entries are complete, the
ASN can be sent.
Click the Send button.
A message will appear when a
successful entry has occurred.
Options available:
• Select an application
or
• Return to the Dashboard.
Important Notes:
• Final “error” checking is performed only at the time of actual ASN submission.
• Twenty minutes must elapse (for HD error checking and processing) before changes can be
made and re-submitted on an existing ASN.
• Errors are described later.

To verify an ASN was sent, check that
the ASN Status is Shipped.
Following verification, return to the
Dashboard.
For verification of an ASN sent

Advance Ship Notices (EDI 856)
Shipped Today quick link.

Resubmitting an ASN Sent “Today”
Important Notes:
• Following error checking and processing (20 minutes), an ASN can be modified and
resubmitted prior to the shipment arriving at the Harley-Davidson receiving location.
• If the Harley-Davidson receiving location has already begun processing the receipt of
the ASN, changes may result in ASN errors. Contact site representatives for assistance.
.
Note: Resubmitting an ASN sent prior to “today” will be explained later.
To resubmit an ASN sent “today”,
return to the Dashboard.
1. Click on the Detail link for the
Advance Ship Notices
(EDI 856) Shipped
Today quick link.
2. Click on the ASN number to
open.
3. Make changes as required
to the ASN.
4. Click the Replacement button
to re-submit.
A message will appear stating the
entry has been submitted.

Errors
During the process of creating and submitting an ASN, it is possible to encounter a
few different types of errors.
Submission Error
If an error occurs prior to receiving a “successful submission”
message:
1. DO NOT use the browser BACK button.
2. Return to the Dashboard.
3. Click on the Detail link for the Advance Ship Notices (EDI 856)
with Error status quick link.
The ASN can then be selected and saved as a draft or sent again.
For reoccurring errors, contact Support at 866-490-4376.
Missing/Incorrect Data Error
If an error occurs describing missing or
incorrect entries, make the necessary
corrections and click the Send button.

Errors (Cont.)
• For ASNs sent to PAC, GM, Kansas City, Powertrain or Tomahawk, for Fatal and Critical errors on an
ASN, an error report will be emailed to all supplier contacts
(in the Supplier Profile Manager on H-DSN) with the role of ASN Contact Primary or
ASN Contact Backup.
• ASN’s with FATAL errors, must be corrected and re-submitted.
• ASN’s with Critical errors should be corrected but do not require re-submission.
The email message will identify the
urgency of the error.
Fatal Error messages will contain a red
Exclamation (!) (Urgent) identifier.
Critical Errors will not contain an
Urgent identifier.
An attachment report to the email will contain
specific details regarding the error as well as
the Harley-Davidson site affected.
For assistance, contact the appropriate
Harley-Davidson site representative.
To open an ASN with a fatal error, click
the numeric count for Fatal Advance
Ship Notices (EDI 856) on the
Dashboard.

ASN Visibility
The Advance Ship Notice Visibility link contains ASN’s submitted within the past 90 days.
From the Dashboard:
1. Click the Advance Ship Notice Visibility link.
The Advance Ship Notice Visibility filter window will open.
2. Select the filter options
Or
Click the Go button without selecting filter options.
Note: If no filter options are selected, all ASN’s for the
past 90 days will be listed.
The resulting ASN Listing is defined by the
selected filter criteria.
Note: To resubmit an ASN sent prior to “today”, select it from the listing. This must be done
before the shipment has arrived at the Harley-Davidson receiving location.

Delete Fatal or Draft Advanced Ship Notice
To delete a fatal or draft ASN, list the ASNs using the quick links or creating an ASN filter by
clicking on the Advanced Ship Notice Visibility Link (reference the ASN Visibility section in this
guide.
To delete an ASN,
check the Select
box(es) associated
with the ASN(s) to
be deleted.
Click the Remove button.
Click the OK button if the ASN is to
be deleted.
After the ASN is deleted, the ASN Visibility
screen displays without the ASN.

The use of Personal Filters within Firm Visibility can help to customize and improve the
process of generating ASN’s.
Filters can be created to identify specific:
• HD Sites and/or
• Time frames
Example: A supplier that prepares shipping paperwork for “2 days out” could create a filter for each
H-D Site supplied. (2 Days Out York)
1. Open the Dashboard.
2. Click on (create new) for Firm
Order Visibility in the Individual
Section.
3. In the Firm Order Visibility filter,
set the Issuer (York).
4. Enter the Req Date Start and the
Req Date End to both equal “2
days out” from the current date.
5. Type in the name of this filter (Ex:
2 Days Out York).
Note: No special characters.
6. Click The Save Button.

The saved filter will display on the
Dashboard in the Individual Section.
To use the saved filter:
1. Click on the link to execute the filter.
2. Click Select All or individually select.
3. Click the Create ASN button.
All lines will be added to the ASN.
4. Complete the remaining ASN required
fields.
5. Click the Draft or Send button.
The date saved in the filter will automatically reset each day.
Example:
A “2 Days Out” filter is created on 10/10/2005 and the Start and End Dates are selected as 10/12/2005.
On 10/11/2005 when the “2 Days Out” filter is executed, the Start and End Dates will automatically be
reset to 10/13/2005.

Downloading Container Labels and Packing List
Order Management allows the user to download the ASN data into a container label or packing list CSV
(Comma Separated Value) file format that can be imported into the user’s application to create and print
container labels or packing lists. For example, the container label CSV file can be imported into
BarTender © label software to print container labels.
Exporting ASN Data to Web Print
If a user has a subscription to Edibar’s Web Print (www.edibar.com) internet application, ASN data can
be sent from Order Management directly into the Web Print application to automatically create container
labels. Please note that the ASN number must only contain numbers—no letters.

Container Labels – Web Print
ASN Export Example:
1. In the Select column, click the check
box(es) for the applicable ASN’s.
2. In the ASN Export section, make a
selection from the drop down list:
Edibar Web Print (B10 Only).
3. Click the Export button.
Important Note: The ASN Export option is
currently available for the Container Label
for Edibar customers having a subscription
to Web Print. Contact Edibar at
www.edibar.com, telephone number

further information.

Packing List – CSV File Format
The process for downloading a packing list into a CSV file format is the same as downloading a
container label into a CSV file format. Please reference the Container Label, CSV File Format section of
this guide for step-by-step instructions on downloading the file and note that in Step 2 of the process that
Packlist Format option should be selected.

packing list template.
