General Reminders

Items to Bring to Recruitment

• Conf irmat ion Emai l – Save on smart phone or print to remember Assigned Number, Group and Meeting Location.

• Signed Forms- For students under 18, parents/guardians need to sign the photo release and travel form and students will need to bring it to check-in.

• Photos- Your student should bring 11 wallet size photos of herself to the Sorority Orientation Meeting (most use a senior portrait, etc.). She will also be taking a picture at check-in to distribute to chapters

• Project SOAR Donat ion - The Panhellenic Council is working with Project SOAR through the College of Education to help supply schools in Tucson with school supplies. If your student would like to show her support, we ask that she bring the item assigned in her confirmation email to check-in for sorority recruitment.

• Water Bot t le - We know that this week is

comprised of very long days in the heat and we strive to make sure the women are as comfortable during the process as they can be. They are provided with water during each event and between events . However, they can bring water bottles if they need additional water.

• If your student will not be attending the Sorority Orientation meeting or will need to miss events during the week, she will need to contact Marie at [email protected] with any issues ASAP to be excused. All missed events need to be reported to Panhellenic in order to remain in the recruitment process.

More About the Recruitment Experience

• At the University of Arizona we pride ourselves on having a forward thinking community dedicated to the betterment of its members. During the recruitment process we educate the women on the following topics so we can be assured they have the resources they need to be successful in college: Alcohol Use/Abuse, Anti-Hazing Education, Body Image, Leadership & Involvement Opportunities on Campus, and the 35 other fraternities and sororities on campus.

• We cannot guarantee membership in an organization to any woman participating in recruitment, however there is no limitation on the number of women that can join during the recruitment process. Each of our organizations are comprised of an outstanding group of women and we would love your assistance in helping your student remember to keep an open mind during the recruitment process.

• Each year we do have women that choose to stop out of the recruitment process or are not asked to join a sorority. During the recruitment week, our recruitment counselors (kind of like camp counselors) stay in contact with each of the women who stop out or are not asked back to ensure that they are still doing well. We also contact residence life with a list each day of the women who have stopped out or have not been asked back so the Resident Assistance can be sure to invite them to participate in planned activities. We educated the women on what their involvement options are on campus so they can hopefully find another avenue to get involved and get connected to campus.

Logistics

F inanci al Informat ion - This document contains the most up to date financial information for each of the chapters participating in sorority recruitment. Please do not contact the chapters directly at this time, but contact Panhellenic with any questions prior to recruitment. Res idence L i fe Move-In Information: Women will check in to their assigned residence hall according to the information on their My UAHousing. There is no reservation required; they will just verify your registration with recruitment when you arrive to move in. An early arrival fee of $160 will be charged to their Bursar’s account

Sunday, August 18th: Today begins the substance free week for recruitment. Individuals believed to violate this policy will be removed from recruitment.

• Sorority Recruitment Check-in is from 1pm to 3pm, will take 15-30 minutes and is located in the Student Union Memorial Center Ballroom

• Required Potential New Member Meeting from 5pm to 8pm , will begin at Centennial Hall, students will then continue their meetings in classrooms across campus

• Optional Parent Informational Meeting from 7pm to 8pm (Centennial Hall)

The Parent & Family Experience

The University of Arizona Parents & Family Association (PFA) hosts an annual Family Weekend Golf Tournament. Proceeds benefit the PFA Grants Program which funds student services on campus such as SafeRide and the Student Assistance Program. We encourage parents and family members of Greek students to play in our tournament representing your student’s chapter. You can register as an individual and we will assign you to a foursome or you can create of foursome with other families of your student’s Greek Chapter. If we have more than five Greek teams we will have a special prize for the winning Greek team.

Playing in the tournament is a great time for families to meet each other in a relaxed setting. The $200 registration fee includes greens fee, golf shirt, lunch and awards reception. Please note that we are not asking the chapters to pay for the registrations, parents and family members are expected to pay for themselves.

The tournament is on Thursday, October 17, 2013 at the Hilton El Conquistador Country Club. Registration/lunch begins at 11:30 am with a shot gun start at 1pm. Awards reception follows.

Wildcat Welcome Week Activities for Parents Welcome to the Wildcat family! Having a child start college is an important transition for the entire family, so we've included some special parent and family events during Wildcat Welcome. We hope that you enjoy your time on campus as your student begins their transition.

Highlighted Events

Wildcat Welcome for Parents at Campus Recreation - Parents come experience and enjoy all the great campus amenities that Campus Recreation has to offer at a special discounted daily rate during Wildcat Welcome Week.

Wildcat Fiesta - This special event is for students and family members. Enjoy dinner with other new Wildcat families, and learn more about the University of Arizona with speakers who will help to get you in the Wildcat spirit on Thursday, August 22 at 6:00 pm. Registration is required.

Wildcat Family Conference - The University of Arizona is putting together a conference just for you. While your student is at UA Clicks, stop by the Student Union Memorial Center to sit in on a variety of sessions designed to introduce you to campus resources. Campus participants include: leadership programs, academic advising, Parent & Family Association, Campus Health, UAPD and many more. We are also providing a break room and lounge with snacks and computer terminals. The Wildcat Family conference is a great opportunity to network with other parents who are proud to be a part of the Wildcat Family! Click here to view the Conference Presentation Summaries.

Proud Parent Social - Parents you are invited to this Parent Only event hosted by the UA Parents & Family Association. This is your chance to mix and mingle with other parents along with Parents & Family Board Members and staff members. The event will be held on Friday, August 23 at 7:00pm in the Kachina Lounge in the Student Union Memorial Center. Tickets for the event are $10.00 or $25.00 per person. $10.00 include light appetizers, desserts, ice tea and lemonade. $25.00 tickets also include two drink tickets for beer or wine.

Bon Voyage Brunch - Now that your student is getting settled, it's time to say goodbye. Join the Dean of Students office and the Parents & Family Association for a special brunch event on Saturday, August 24, 2013 at 10:00 A.M. in the South Ballroom in the Student Union Memorial Center. Tickets are $20.00 per person.

Policy on reimbursement due to resignation from the chapter:

Women must resign by August 1st or January 1st for that semester or they are billed in full.

Reimbursements are not typically granted after initaion unless there is a family emergency or medical necessity. If a reimbursement is grated it is prorated per month.

Members are given partial reimbursement.

Consequence of late payment

Chapter can send individual to collections and terminate membership.

After 90 days, chapter can send individual to collections, terminate membership and fine $50 per month.

Member will be fined after 15 days and put on probation after 30 days.

Payment Plan Options

An individual must submit an application for a payment plan. Once approved, the member is put on a contract and submits 4 payments throughout the semester.

Payment plans are set up on an indivivdual basis. Financially responsible party concat account manager to set it up. Contact information is provided on the invoice . Fall semesters are 3 monthly payments and spring is 3 or 5
