Induction Training
The word ‘induction’ comes from the word ‘introduction’. Induction training is
training which an employee first receives when starting a new job. The
personnel (or human resources) department will be responsible for general
induction training such as general policies and procedures.
In this topic area we will learn about:
Hazards in the workplace and measures taken to ensure safe practice
The procedure followed when an accident occurs (and how to complete
the required documentation)
What is meant by a health and safety policy and what it includes
The use of induction training to cover health and safety issues
Current UK health and safety legislation and what employers and
employees should do in relation to these acts

All employees must be given training on health and safety issues as part of their
induction training.
Workplace Hazards
A hazard is something about the working environment which may cause harm or
injury to employees. Potential hazards come in many forms including:
Slips and trips
Falling
Being struck by a moving object
Poor handling, lifting or carrying
Fire

has been repaired)

Measures to Ensure Safe Working Practices
The risk of all of the hazards in a workplace actually harming an employee, can
be minimised.
It is the responsibility of both the employer and the employee to ensure they
work in a way which prevents the likelihood of an accident happening, and
employee being harmed or injured.
Using the Health and Safety Game (follow the link) look at and try to identify
the different health and safety signs which you see around organisations.
Decide which of the potential hazards they are trying to prevent happening.

Other ways of preventing accidents are outlined below:
Slips, Trips and
Falls
• Provide adequate storage
• Ensure a cable management system is in place
• Position furniture and equipment away from doors
and passageways
• Provide appropriate equipment
• Not leave anything lying around that others could
fall over
• Keep work areas tidy
• Avoid storing materials in hard-to-reach places
• Mop up spillages immediately
• Use wet floor signs when necessary
Being struck by a
moving object
• When stacking boxes, always stack the heaviest at
the bottom and lightest on top
• Use an appropriate step ladder to reach high
shelves.
Poor handling Only carry small items at one time – ask for help
when required
Don’t try and carry heavy items alone
Train staff on how to handle/lift heavy goods

Accident Report Form
If an accident occurs they must be recorded. Accidents should be entered into
an Accident Book or an Accident Report Form. Serious accidents, by law, must
be reported to the Health and Safety Executive who will investigate the
matter.
Accident Report Forms should be completed with as much detail as possible to
find out exactly what happened and what can be done to prevent the accident
from happening again.
An example of an Accident Report Form is given below:

Use the form given to you by your teacher.
Mona Lott, the Mail Room Assistant, tripped over some loose carpet in
Reception at 9.15 am yesterday. Penny Choo saw what happened and
quickly fetched the first-aider who examined Mona, strappd up her wrist and
sent her to hospital for an X-ray.
The Health and Saftey Executive
The HSE check the standards of health, safety and welfare in organisations as
well as give advice on how to prevent people becoming ill because of, or being
injured at work.
They carry out random spot checks on organisations and if the business is not
meeting health and safety standards they will be given a penalty or fine.

Health and Saftey Polcicy Statement
An organisation that employs 5 or more people must, by law, have a written
health and safety policy. This describes how the organisation will manage health
and safety and lets others know that they are committed to keeping staff and
visitors safe.
It will include:
The name of the person (s) responsible for carrying out health and safety
checks and how often.
Appropriate health and saftey training to be given to employees.
The organisation’s emergency evacuation procedure.
Details of the maintenance of equipment.
Responsibilities of Employer and Employee
Health and Safety at Work Act 1974 (HASAWA)
The Health & Safety at Work Act 1974 sets out the responsibilities of
employers and employees with regards to health and safety in the workplace. It
also states all employees must have access to the organisations health and
safety policy. This act applies to all places of work and everyone at work.
Employer’s responsibilities:
provide and maintain suitable surroundings
provide information and training
provide protective clothing and equipment if necessary
Prepare a health and safety policy.
Employee’s responsibilities:
take reasonable care for their own safety and others
cooperate with employer
do not interfere with or misuse equipment.
Other current health and safety legislation includes:
Health and Safety (Display Screen Equipment) Regulations 1992

Health and Safety (First Aid) Regulations 1981
Fire Precautions (Places of Work) Regulations 1995
Health and Safety at Work Act (HASAWA) 1974 (G)
Employers have a responsibility to:
provide a safe entrance and exit from work
provide a safe place of work for employees
ensure that all equipment and machinery is safe and is regularly checked and
maintained
a copy of the Health and Safety policy should be available to all staff
to control dust, fumes and noise levels
to provide free of charge protective clothing and equipment eg anti-glare screens
members of staff should be trained in First Aid/Health and Safety procedures
allow the appointment of a health and safety representative
Responsibilities of Employee:
To take reasonable care of their own health and safety and of the health and safety
of others who may be affected by the work of the employee.
To cooperate with the employer on health and safety matters.
Not to misuse or interfere with anything provided for the employee’s health and
safety.
The main points are:
o fire extinguishers must be available
o fire exits clearly identified
o regular fire drills
o fire certificate if more than 20 employees
o emergency and evacuation procedures clearly displayed
o natural light or artificial light
o adequate space for each person
o storage space of work/outdoor clothing eg cloakroom
o adequate seating must be provided
o first aid box must be provided
o trained first aiders must be available
o if more than 150 employees, a nurse must be employed full time
o toilets available
o must be kept clean and maintained
o hot and cold water, soap and towels available
o drinking water made available
o floors and corridors must be clean, level, unbroken and kept clear
o minimum temperature of 16oC after first hour of work
o windows can be opened or suitable ventilation eg fans, air conditioning

First aid procedures (F)
If an employee witnesses an accident at work (s)he should:
contact one of the organisation’s ‘first-aiders’ or the emergency services (a first-aider is
someone who has undertaken an approved first-aid training course and has been awarded
a first-aid certificate recognised by the Health and Safety Executive (HSE) – first-aiders are
required to take refresher courses every 3 years)
reassure the injured person that appropriate action is being taken
talk to the injured person – try to keep them calm
wait with the injured person until the first-aider arrives
complete an Accident Report Form and enter information in an Accident Book.
Employees who have not received first-aid training should not attempt to treat injured
persons – they could make the situation worse!
Health And Safety (First Aid) Regulations 1981 (G)
Employers must:
Ensure that an ‘appointed’ person is available to take charge of first-aid arrangements
when someone is injured or falls ill and to look after first-aid equipment.
Ensure that a first-aider is designated – a first-aider can also take on the duties of an
appointed person.
Ensure that a suitably stocked first-aid box is available
Ensure that a record is kept of all incidents
Inform employees about first-aid arrangements, ie names and locations of appointed
persons and first-aiders, and location of first-aid box.
Employers must provide enough first aid qualified people for their business.
The Health and Safety Executive must approve any first aid training and
qualifications.
If an accident occurs in the workplace it is important that a first aider is called
immediately. He/she can make the decision if an ambulance has to be called or if
he/she can deal with the accident themselves.
An Accident Report Form must also be completed detailing who was injured, when it
happened, if there were any witnesses, if the first aider was called upon and the
outcome of the accident.
Potential Hazards When Using Display Screen Equipment
The following are potential health problems and remedies:

regular short breaks throughout the day should prevent
this from happening

avoid sitting at the VDU in a brightly lit area where the
lights can reflect on the screen - however there should be
enough light to read the text and see the screen
use lighting especially designed for VDU operations - avoid
unshielded fluorescent lights
keep the screen clean, removing dirt and grease from it
regularly
use anti-glare screens in front of VDU
posture fatigue use adjustable chairs which can be adjusted to the correct
height and backrest positions
adjust keyboard and tilt to suit needs of user
screen flicker adjust the controls to alleviate this problem
regular servicing is essential to prevent screen flicker

Employers’ responsibilities
analyse workstations to assess and reduce risks
ensure that workstations and equipment meet minimum requirements eg
footrests, brightness controls
plan work so there are breaks or changes in activity
provide training to ensure employees can use their VDU and workstation safely
on request arrange eye tests, and provide spectacles if special ones are needed
Employees’ responsibilities Adjust your chair and VDU to find the most
comfortable position for your work.
Make sure you have enough work space to
take whatever documents or other equipment
you need.
Try different arrangements of keyboard,
screen, mouse and documents to find the
best arrangement for you.
Arrange your desk and VDU to avoid glare.
Make sure there is space under your desk to
move your legs freely.
Avoid excess pressure from the edge of your
seat on the backs of your legs and knees. A footrest may be helpful.
Adjust your keyboard to get a good keying in position.

Try to keep your wrists straight when keying in.
Position the mouse within easy reach, so it can be used with the wrist straight.
Support your forearm on the desk, and don’t grip the mouse too tightly.
Rest your fingers lightly on the mouse buttons and do not press them hard.
Adjust brightness and contrast controls on the screen to suit lighting conditions.
Make sure the screen surface is clean.
Don’t sit in the same position for long periods.
Most jobs provide opportunities to take a break from the screen, eg to do filing or
photocopying. Make use of them. Frequent short breaks are better than fewer long ones.
Reporting Of Injuries, Diseases And Dangerous Occurrences Regulations
1995 (RIDDOR)
Employers must report certain injuries, accidents or incidents within 7-10 days to
the Health and Safety Executive office.
Employers can be fined for failing to report.
