PeopleSoft products for human resource management, financials, distribution,
manufacturing and supply chain, along with a range of industry solutions, are
used by more than 3,000 customers worldwide.
Until recently, copies of executed PeopleSoft contracts were maintained only on
paper. This meant that thousands of pages of license agreements, consulting
agreements, partnership relationship agreements, merger and acquisition con-
tracts, and maintenance contracts were not readily available to people who
needed to access, review or amend them.

A Documentum contracts application is enabling PeopleSoft employees to share financial, product and confi-
dential company knowledge. This Documentum-driven "knowledge chain" makes vital company and customer
information available on demand for the Legal, Finance, Maintenance, Customer Service, Alliances and Sales
organizations.

At PeopleSoft, sales representatives, legal staff, customer
care representatives, finance and maintenance staff, profes-
sional services consultants, and alliance managers must
have access to contract information for selling new
PeopleSoft solutions and services, and managing customer
relationships. Before Documentum, it could take several
days to obtain a copy of a particular contract. "These ineffi-
ciencies could easily result in longer time to close sales or
recognize maintenance revenue, and customer frustration,"
explains Pam Ganzberger, manager of Enterprise Document
Management (EDM) systems.
In evaluating solutions for document drafting and
versioning, PeopleSoft quickly realized that Documentum
was truly scalable. "It presented a solution offering global
access and enhanced security," says Sylvia McCorriston,
legal technologist. "It also integrated nicely with
PeopleSoft's enterprise architecture." In addition, the
Documentum contract management solution delivered
benefits quickly. "We have reduced the time it takes to
access a contract from days to minutes," continues
McCorriston. "This improves our ability to manage
customer relationships."
Fast, Easy Access to Knowledge
PeopleSoft integrated Documentum with its own applica-
tions, most notably its PeopleTools Contract Administration
application. When an authorized user working in this
financial database needs to review a contract, that user

simply logs into Documentum and accesses the contract
from within the PeopleTools financial application. In
addition, the ability to quickly access and update mainte-
nance agreements ensures that customers receive the
proper software updates on a timely basis and that mainte-
nance revenues continue uninterrupted.
PeopleSoft customer care representatives also have access
to Documentum. When a customer calls with a billing
question, a representative can refer to specific terms of the
contract without exiting one application and going to the
other. Approximately 500 users providing some level of
customer service will have access to the Documentum
contracts application at PeopleSoft.
New Areas for Innovation
The finance application's success led to Documentum
deployments for innovating key product development and
documentation processes. With these new Documentum
solutions, technical writers, product developers and
eventually third-party development partners will have
instant access to relevant documentation. Members of the
sales force will have instant access to proposal informa-
tion. Product developers and customer service
representatives will have immediate access to quality
systems information. In addition, an internal "knowledge
area" will store information for the company's internal use.
When completely implemented, PeopleSoft will have more
than 2,000 global users accessing Documentum.
As a result of a successful business partnership, PeopleSoft
and Documentum are co-developing applications that
combine each other's core technology. PeopleSoft also
plans to expand its Documentum solution over the Web.
This will enable authorized users to access content through
their Web interfaces and mine information across the
Internet from the central repository.
"Direct access to information offers PeopleSoft a
tremendous business advantage," says Ganzberger. As
Documentum solutions continue to foster innovation of
key business processes, they will help PeopleSoft operate
even more efficiently in the global marketplace.
